Process mining has delivered major savings and now needs better automation and task mining

What is our primary use case?

Celonis is used for process mining in material movement, tracking, buy analysis, well control tower, and asset management. Celonis is especially valuable for identifying bottlenecks and routing inefficiencies in these live use cases.

One project involved material movement where Celonis was used to map material flow and spot bottlenecks and routing efficiencies. The data came from Databricks, where all cleansing and processing was completed before the data reached Celonis. This project achieved a proven impact of approximately 32 million dollars.

Several additional use cases have been implemented, and Celonis demonstrated great impact by identifying bottlenecks. As a result, automation was implemented to improve the overall process.

What is most valuable?

Action Workflows backed by PQL and views are the best features in Celonis. The reason for preferring Action Flows backed by PQL and views is that Celonis provides insights into targeted tasks that can be acted upon today. They set up the infrastructure for control API write-backs when ready with RPA integration.

Currently, write-back capability to the source system is not available. The source systems being used are SAP and Oracle in most use cases. Action Flow is helping to trigger emails, but in the future, there is a desire to write back to the source system itself. Action Flow is excellent for current requirements.

The integration with SAP is good, but the integration with the Microsoft environment needs more capability. The combination of time saved and improved efficiency makes these features valuable.

What needs improvement?

Collaboration with ERPs should be improved. Compared to SAP Signavio, Celonis is less competitive for BPMN modeling. Deployment flexibility needs enhancement, as on-premises support is not as strong as SaaS support.

The most important area for improvement is the automation part. End-to-end automation capabilities are desired. Currently, workflows are being used, but actions should be able to go via email, task, APIs, and ultimately write back to the source. Adding RPA capability that can interact with required systems and write back to the source would greatly enhance Celonis.

Task mining capabilities also require improvement. UiPath Process Mining and Microsoft Process Mining have better task mining capabilities compared to Celonis.

Usability and support from Celonis need improvement. They should help clients find more value in the product. Cost is another significant concern, as Celonis is very expensive compared to other process mining tools. The license cost should be reduced.

Celonis should establish partnerships with clients to find more use cases and maximize the value gained from Celonis.

Celonis has been used for the past three years in the organization.

What do I think about the stability of the solution?

Celonis is stable.

What do I think about the scalability of the solution?

Scalability is good. Since it operates in the cloud, it offers very flexible scalability.

How are customer service and support?

Customer support is average and not particularly great based on personal experience.

Which solution did I use previously and why did I switch?

Celonis has been in the organization for three to four years, but the tool has not been fully utilized until this year. The plan is to use Celonis to the maximum this year.

UiPath Process Mining and Microsoft Process Mining were explored, and some gaps were identified in those tools. Celonis is a good solution and is clearly the leader in process mining.

What was our ROI?

One use case alone, the material movement project, proved an impact of 32 million dollars. Another use case called buy analysis resulted in an impact of approximately 200,000 dollars. Asset management also delivered a great ROI.

Full ROI has not been reached yet because the organization is concentrating more on process mining from this year onwards. However, it is hoped that the ROI goal will be achieved by the end of this year. An exact figure is not available at this time.

Which other solutions did I evaluate?

UiPath Process Mining and Microsoft Process Mining were evaluated as alternative solutions.

Celonis was found to be a very expensive tool compared to other options. Other tools are currently being explored as alternatives.

What other advice do I have?

Celonis is deployed as a private cloud solution on Amazon Web Services (AWS). Celonis is a great tool and is clearly the leader in process mining. The key is making full use of the tool, though it can be difficult to get resources for implementation. Overall, Celonis is a good solution worth pursuing. The overall review rating for this product is a 6 out of 10.

Process insights have reduced SLA breaches and continue to improve automation and rework control

What is our primary use case?

Recently, I worked on blocked invoices for one of my clients where I was able to identify the types of blocks occurring in their accounts payable process. I showed them why the blocks were happening and where they were occurring in the process.

My main use cases with Celonis include automation, where I assess how much automation rate my clients currently have and where they can improve their processes to reduce full-time equivalent requirements and save cycle time. I also identify where rework is happening, why it occurs, and how to reduce it, providing these insights to my clients.

Regarding Action Flows, I have used several modules for different use cases, including sending daily reports to my clients for tickets where service level agreement breaches are occurring. I used data from the incident management process to check how many tickets were breaching SLA daily, writing filters for specific categories reaching certain time points to indicate SLA breaches. Regarding live data connections, Celonis allows connections to various sources like SAP and Amazon, and even supports custom extractors for building data connections.

In terms of specific outcomes with Celonis, I focused on identifying root causes for high-priority tickets that should be resolved in twenty-four hours. In my client's case, many tickets were breaching SLA due to misallocation to the wrong group, which I helped identify, leading to changes in their ticketing process.

What is most valuable?

The best features Celonis offers are its advanced tools in the current market, including Action Flows which allow you to automate any process to send information or trigger anything in your SAP. Celonis is also user-friendly for clients, and you have a live connection to your data, refreshed on a daily basis for the latest information from SAP to Celonis.

I have seen a positive impact of Celonis in my organization, as I receive many testimonials from clients mentioning that process mining has genuinely helped, especially through Celonis. For instance, I sent daily reports on SLA breach cases, showing how many were breaching SLA each day, allowing clients to take quick action and improve their process efficiency. I also helped automate certain processes, which saved them money, and it enables clients to identify and change areas needing improvement in their processes.

What needs improvement?

I believe Celonis could provide more detailed documentation so that users do not struggle to understand the tool, as the resources are somewhat limited.

For how long have I used the solution?

I have been using Celonis since my career started, so I have been using it for almost three and a half years.

What do I think about the stability of the solution?

Celonis is stable.

What do I think about the scalability of the solution?

Handling a large amount of data could pose challenges for any tool, so I recommend focusing on recent data or perhaps five years of historical data along with live data for better visibility and stability in the process.

Celonis customer support is really good; they investigate concerns thoroughly and provide solutions or troubleshooting steps, which I find helpful.

I have not used a different solution before Celonis, as I started my career with Celonis and have not had the chance to work with any other software. There were no evaluations of other options before choosing Celonis; my organization has been using Celonis from the start.

What was our ROI?

I have seen a return on investment, especially in time saved for my clients; in the incident management process, the average cycle time for handling tickets was over ninety-eight hours, but after identifying root causes, such as tickets being held due to wrong group allocation, the cycle time reduced to approximately thirty-eight hours.

What's my experience with pricing, setup cost, and licensing?

My experience with pricing, setup cost, and licensing indicates that pricing varies depending on the processes you will work on; for example, creating a data model for one process will differ in cost if you add more data models for additional processes.

What other advice do I have?

I would rate Celonis an eight point five on a scale of one to ten because there is definitely room for improvement. I chose eight point five specifically because, as I mentioned, the documentation can be enhanced, and there are other areas for improvement I previously covered. My advice for those looking into using Celonis is to check pricing beforehand, as certain features will incur additional charges. It is important to understand what clients need from Celonis, whether it is Action Flows, Action Views, or the process view, as there are more options in the market besides Celonis. My overall rating for this product is eight point five.

Process modeling capabilities greatly improve efficiency and provide insightful analysis

What is our primary use case?

I am calling from PeerSpot, a review website for enterprise technical tools, to ask for feedback. We will make an article on our website from this feedback and publish it so other people who are considering using the tools can have a better understanding of what the tool is about and what they should expect. I have experience with some BPM tools, which are business process management tools, not mining tools.

I would like to list the tools I have tried before describing my experience with Celonis. First, I tried Celonis CPM (Celonis Process Management). Then I had SAP Signavio Process Manager, followed by GBTec BIC, and the fourth one is Prime BPM.

GBTec is the company name, and BIC is the tool name. All four tools mentioned are with respect to BPM.

Celonis is available on the PeerSpot website in the process mining category, not the BPM category. The BPM category on PeerSpot is not properly defined, as there are some issues with categorization.

What is most valuable?

In my Celonis experience, it is easy to use and has higher AI capabilities. The AI capabilities allow me to reduce the timeline for process modeling.

Overall, process modeling is streamlined due to these capabilities.

What needs improvement?

Celonis is good, but it is not comfortable for the India market. I am from India, and the Celonis CPM is not compatible with our country's cybersecurity policy.

This lack of compatibility is a major setback for us. I touched upon this issue with the CPM regional manager, but we could not make a deal due to the cybersecurity constraints.

Celonis is not compatible with the policies that we have, not the tools we are using. It doesn't support them due to policy constraints.

How are customer service and support?

Since we could not proceed further, I cannot comment on the technical support, but the marketing part was excellent.

I haven't tried to contact Celonis technical support to ask them questions regarding the issue.

Which other solutions did I evaluate?

In terms of pricing, Celonis is on the same level as SAP Signavio, with not much difference, but with better capabilities.

What other advice do I have?

I tried four tools including CPM (Celonis Process Management), as Celonis has their own BPM tool. I recently procured CPM.

For the analysis part, I would rate Celonis four out of five because it generates a detailed Excel report when I enter the activity-wise cost, time, and value. It provides a complete overview of the per event cost and the total cost, allowing me to simulate processes. When I streamline a process, I work on multiple scenarios such as reducing time and cost while modeling multiple charts. It shows how much time I've reduced and how much value I've saved.

We didn't make a deal with them due to the cybersecurity issues. For the India market, I would not recommend Celonis, but for markets outside India, I would recommend it.

Overall, I am satisfied with Celonis; it's just unfortunately not compatible with the policies of India. I would rate Celonis eight out of ten.

What is our primary use case?

Our main use cases for Celonis cover finance use cases and analyzing comparable performance.

How has it helped my organization?

Celonis provides business process analysis and technical consulting for deployment.

What is most valuable?

The process mapping is most valuable to us. It shows the sections of the different timestamps and the statistical information on the timestamps' waiting time. So that feature helps us give feedback to businesses and identify the final root cause.

What needs improvement?

They could provide artificial intelligence where, based on data they collect from reference cases, they could give us suggestions. For example, we see a long delay between steps, and based on the context, they could provide more suggestions on where the problem could be, and that would provide a very different value proposition for the solution. Likewise, if you can't define something as account receivable or account payable, Celonis could ask a lot of questions to fix the context to provide the right recommendation. It would be relatively easy.

For how long have I used the solution?

It has been three years since we started using Celonis, and we are using the SaaS version.

What do I think about the stability of the solution?

I rate the solution's stability an eight out of ten because we have not seen performance issues so far.

What do I think about the scalability of the solution?

I rate the solution's scalability a ten out of ten, it is very scalable. We have 200 end users using Celonis globally. Developers have multiple use cases.

How are customer service and support?

Their consultants are quite knowledgeable.

Which solution did I use previously and why did I switch?

We have used UiPath, they also have a process analysis tool. We did a POC and saw that it's lighter and easier to adapt, but the functionality was limited. That's why we don't use it anymore.

How was the initial setup?

As a German software, Celonis' initial setup is difficult, so I rate the initial setup a five out of ten. Celonis has a learning curve. It's not very easy-to-handle software. It takes one month to negotiate and deploy the solution.

When deploying the solution, not counting the data of the consulting engagement, we have the environment discussion and the setup of the AWS environment their consultants put into the system. Then we do the rough testing, run some simple cases through the system, verify, and then go ahead. After that, we announce we can provide services to external customers. Overall, those are the general steps standard for any IT application. One or two people are enough for deployment. The solution is not a big one.

What's my experience with pricing, setup cost, and licensing?

I rate Celonis' pricing a ten out of ten because it is expensive.

What other advice do I have?

Celonis is now becoming the corporate standard solution. That's why we have been talking to the team at the global COE to get support for any future requirements. There's no extended collaboration with external companies anymore.

Celonis has identified the product's limitation, which is that it tells me where the problem is, but it cannot fix the problem. The tool only gives the proposal to fix it. Celonis is aware of the problem and provides transparency, and they are looking for solutions and options for businesses, but that is not in its scope. For example, when you go to a hospital and use an X-ray machine to understand what's happening, you won't expect the machine to fix your problem. You still have to get a doctor to do the operation and fix the problem. Celonis uses some of its features to solve problems, but not so successfully in all areas. Businesses are dynamic, and we are aware of our problems, and more transparency is great, but fixing that problem is much more valuable to us.

We are not considering increasing the usage at this stage because the business has just completed the first wave of deployment. Also, the license is not cheap.

Two things to keep in mind before choosing Celonis: do not think the solution can be easily adopted just because it is valuable for others. The system relies highly on the availability of data. Your company or business environment should provide the data that can fit the solution, especially since the timestamps available show the value. The second thing is that though process mining is valuable, double-check with businesses as to what they do to follow the transparency to convert the investment into business value. I rate Celonis an eight out of ten.

What is our primary use case?

I use the solution for process mining. We create dashboards for auditing activities. In the insurance industry, the throughput time is essential. We ensure we deliver insurance within seven or fourteen days, depending on whether it is for personal or commercial purposes. We also use it for standardizing the processes within the organization. We try to reduce the variance within the processes by discovering the variants and standardizing and improving the processes.

What is most valuable?

Cause analyzer is a very good feature. It helps find coherence between the lagging and leading parameters. It is one of the most valuable features of the solution. The product has a very robust system.

What needs improvement?

Since the solution has a lot of features, it should improve on training. The features are sometimes overwhelming. The product must focus on training for low-code and no-code people.

For how long have I used the solution?

I have been using the solution for two years.

What do I think about the stability of the solution?

The product is pretty much stable. We haven't found any technical glitches or downtime. It is a reliable product.

What do I think about the scalability of the solution?

The tool provides very limited data. They have their own cloud system, and they provide 40 to 50 gigabytes of data. It is easy to scale the tool, but it is costly too. If we need additional 20 gigabytes, we would have to pay $30,000 to $40,000. It is the main restriction to scale the solution.

How are customer service and support?

Celonis provides us with a Customer Value Architect who provides us with resources, use cases, and insights into implementations. Celonis’ customer service is pretty nice.

We use the tool as a SaaS solution. We have everything on a website. Celonis provided us with the website license and the credentials. I rate the ease of setup a ten out of ten. We did not face any difficulties with Celonis.

What about the implementation team?

Our Celonis team comprises a business analyst, a developer, and a manager. To maintain the solution, we clean the databases. If we do not need a particular data, we remove it. There is no hard-core maintenance necessary.

Celonis has the highest pricing in the process mining domain. I rate the pricing a ten out of ten.

What other advice do I have?

Celonis has an admin center within its website. We can use it to add and remove people. It is a cloud solution. We use AWS for most of our application deployment, scalability, and production. The product is robust, reliable, and scalable. The only downside is its pricing. Overall, I rate the tool an eight out of ten.
