Over the last several years, enterprise document and collaboration systems have tried to be too many things to users, and ended up becoming overly complex and expensive for both users and IT organizations. This is especially true as it relates to document and file storage, sharing, and feedback. As a result, enterprises are left with the unfortunate choice of using email to share documents and files (which is simple to send, but not secure nor easy to keep organized) or suffer with the status quo, work around the complexity and high cost, and hope new alternatives are made available. Now, Amazon WorkDocs makes it easy for users to share and gather feedback through a secure, central tool and with a consistent experience on the device of their choice, including laptops, iPad, Kindle Fire, and Android tablets. It’s also possible to access Amazon WorkDocs from your Fire phone, iPhone or Android phone. Amazon WorkDocs can integrate with existing corporate directories, and provides administrators with flexible sharing rules, audit logs, and control of the location where data is stored. For a low monthly fee, Amazon WorkDocs provides a fully managed service so customers can easily provide secure file storage and sharing capabilities to their users.

It’s easy to get started with Amazon WorkDocs. Sign up in the AWS Management Console and start inviting your users. Amazon WorkDocs costs $5 per user per month in most regions, and includes 1 TB of storage. You can invite as many users as you wish.

Amazon WorkDocs lets users quickly access and gather feedback on files. Users can comment on files, send them to others for feedback, and upload new versions without emailing files as attachments. Users can leave comments by highlighting a section of a file, or specific text, and typing feedback. Users can format their feedback for emphasis with bold, italics, and strikethrough using commonly used shortcuts. Users can use conversation style commenting by replying to comments, and they can notify specific contributors about relevant feedback by tagging the comment with their email address. Users can also send private comments to document owners. Users can set optional deadlines for feedback, track files that are out for review, and are notified by email when they have been asked to provide feedback. Users can lock a document to prevent it from receiving further feedback. Amazon WorkDocs automatically stores previous versions of every file so that users do not have to. Amazon WorkDocs uses an innovative overlay technology that enables users to see all the comments from others that they have been working with consolidated in one place. Microsoft Word users who prefer working with comments directly in a Word document can download a version of the document with the comments included. Amazon WorkDocs supports most common file formats, including .doc, .docx, .xls and .xlsx.

Users can share files inside or outside their organization by inviting users or sharing a link. They can create a shareable link for any file on Amazon WorkDocs by clicking “Share a link”. This allows users to share the link with coworkers and external partners, embed it in a document, or display it on a webpage. Users can make their link public to anyone or restrict access to only their Amazon WorkDocs site. They can also specify an expiration date, set a four-digit password for access, and disable a shared link at any time. Site administrators control if public links can be created, can limit which users create links, and can disable all existing public links at any time.

Amazon WorkDocs provides users with a central location for both the documents and files they are reviewing as well as those they own and are soliciting feedback on. With all these files in one location, reviewers have access to all of the related feedback in a single web view, making reading or contributing comments as simple as a few clicks. Users can easily add any type of file to Amazon WorkDocs with a few clicks in their web browser or by using drag and drop from their desktop. Users can comment on files, send them to others for feedback, and upload new versions without having to resort to emailing multiple versions of their files as attachments. The Activity Feed helps users keep track of what’s changed, and stay connected to what’s going on.

Amazon WorkDocs allows you to lock files for editing, and unlock them when you’re done. Locking a file while you make changes ensures that your edits are not overwritten by others, and eliminates the need to coordinate changes. You can lock a file directly from the document you need to edit. When you unlock a file, you can choose to save your changes to the file, or you can discard your changes. If you need to edit a file which someone else has locked, you can request that they unlock the file and WorkDocs will notify the person who has the file locked, as well as the file owner and co-owners.

Users can access files stored in Amazon WorkDocs and view and leave feedback on files anywhere, anytime, from the device of their choice. The Amazon WorkDocs Sync client lets users designate a folder on their computer to sync. Any files saved to this folder will be automatically uploaded to Amazon WorkDocs using an encrypted connection, and synced across their other devices.

The Amazon WorkDocs mobile apps allow you to store and sync content to WorkDocs from other apps on your device that support this functionality. You can also open WorkDocs content in other apps by sharing from the WorkDocs app. This allows you to save photos from your Camera Roll, and store email attachments directly to WorkDocs. You can edit content using popular office productivity apps, and save the changes back to WorkDocs.  

Amazon WorkSpaces users can use Amazon WorkDocs Drive. With Amazon WorkDocs Drive, users can access all of their content stored on Amazon WorkDocs on-demand through a mounted drive connected to their WorkSpace. Users can use Windows File Explorer to copy a shareable link, lock, unlock, or open a file in the web client with a right click. All content on Amazon WorkDocs Drive is automatically synced to Amazon WorkDocs over an encrypted connection and available on their other devices.

The Amazon WorkDocs tablet applications provide users greater productivity on the go. iPad, Kindle Fire, and Android tablet users can install the Amazon WorkDocs app on their device. The app is designed to provide users with a tablet-optimized experience for working with files. Users can leave overall comments, and can press and drag to highlight text or a region in a file and enter a comment. Users can also view and annotate files while offline without an Internet connection. Comments are automatically submitted when the user’s device reconnects to the Internet. Files and metadata stored locally on mobile devices for offline access are always encrypted. The apps can be downloaded from Amazon Appstore, iTunes Store, and Google Play.

Amazon WorkDocs provides a number of features to enable organizations to maintain control over the files they share. All files and comments stored in Amazon WorkDocs are encrypted at rest. In addition, all data transmitted to Amazon WorkDocs is encrypted. Using the Amazon WorkDocs Management Console, administrators can view audit logs to track file and user activity by time, IP address, and device, and choose whether to allow users to share files with others outside their organization. Storage limits can be specified for individual users. Users can control who can access their files and disable downloads of files they share. WorkDocs also integrates with your existing RADIUS server to enable multi-factor authentication (MFA).

Amazon WorkDocs provides administrators deep visibility into site-wide activities in near real time, six AWS Regions to choose from to meet data locality requirements, and is HIPAA eligible and PCI DSS compliant. You can also use the Amazon WorkDocs SDK to integrate Amazon WorkDocs with your auditing, anti-virus, and data loss prevention applications. This helps protect your files against both internal and external threats and maintain regulatory compliance.

The Amazon WorkDocs Activity Feed allows administrators to track all actions on their Amazon WorkDocs site. This includes commenting, sharing, file updates, and file and folder changes. Administrators can also see who made changes, and when. Administrators can search by file, folder, or user name, and apply filters to narrow their results. This makes it easy for administrators to review file and user activities for legal, regulatory, compliance, or internal inquiries.

To help comply with regulatory requirements that govern where data must be stored, administrators can choose the AWS region in which they wish to use Amazon WorkDocs. The service is currently available in the US East (N. Virginia), US West (Oregon), EU (Ireland), Asia Pacific (Sydney), Asia Pacific (Singapore) and Asia Pacific (Tokyo) AWS regions. Users can access Amazon WorkDocs from anywhere in the world regardless of which AWS region is chosen by the administrator.

Amazon WorkDocs is HIPAA eligible. If you have an executed Business Associate Agreement (BAA) with Amazon Web Services (AWS), you can use Amazon WorkDocs for HIPAA-compliant file storage and collaboration, including documents that contain protected health information (PHI). Amazon WorkDocs is PCI DSS compliant. With PCI DSS compliance, Amazon WorkDocs can be used to store and collaborate on files that contain sensitive card holder data (CHD). The PCI Attestation of Compliance (AoC) for our merchant status is available upon request.

Auditing, anti-virus scanning, and data loss protection (DLP) applications can scan Amazon WorkDocs content either periodically or as new contents gets added, to detect security threats and data leakage. Once detected, applications take mitigation actions such as purging or quarantining files and enforce appropriate permission policies.

Amazon WorkDocs can integrate with your existing Active Directory. This means that your users can easily access Amazon WorkDocs using their existing Active Directory credentials, and allows you to control which users in your organization are permitted to access the service. Once you have configured an Amazon Virtual Private Cloud (VPC) with a hardware VPN connection to your on-premises environment, or provisioned a dedicated connection with AWS Direct Connect, you can configure Active Directory integration. Once you've done this, you can invite users in your existing Active Directory to use Amazon WorkDocs.
