Amazon WorkDocs can integrate with existing corporate directories, and provides administrators with flexible sharing rules, audit logs, and control of the location where data is stored. It’s easy to get started with Amazon WorkDocs. Sign up in the AWS Management Console and start inviting your users. Amazon WorkDocs costs $5 per user per month in most regions, and includes 1 TB of storage. You can invite as many users as you wish.
Amazon WorkDocs lets users quickly access and gather feedback on files. Users can comment on files, send them to others for feedback, and upload new versions without emailing files as attachments. Users can leave comments by highlighting a section of a file, or specific text, and typing feedback. Users can format their feedback for emphasis with bold, italics, and strikethrough using commonly used shortcuts. Users can use conversation style commenting by replying to comments, and they can notify specific contributors about relevant feedback by tagging the comment with their email address. Users can also send private comments to document owners. Users can set optional deadlines for feedback, track files that are out for review, and are notified by email when they have been asked to provide feedback. Users can lock a document to prevent it from receiving further feedback. Amazon WorkDocs automatically stores previous versions of every file so that users do not have to. Amazon WorkDocs uses an innovative overlay technology that enables users to see all the comments from others that they have been working with consolidated in one place. Microsoft Word users who prefer working with comments directly in a Word document can download a version of the document with the comments included. Amazon WorkDocs supports most common file formats, including .doc, .docx, .xls and .xlsx.
Amazon WorkDocs provides users with a central location for both the documents and files they are reviewing as well as those they own and are soliciting feedback on. With all these files in one location, reviewers have access to all of the related feedback in a single web view, making reading or contributing comments as simple as a few clicks. Users can easily add any type of file to Amazon WorkDocs with a few clicks in their web browser or by using drag and drop from their desktop. Once a file is stored in Amazon WorkDocs, users can share with others inside or outside their organization (depending on whether an administrator has enabled internal and external sharing), and Amazon WorkDocs automatically notifies the other users, via email, that a file has been shared with them. Users can comment on files, send them to others for feedback, and upload new versions without having to resort to emailing multiple versions of their files as attachments. Users don’t have to search through emails or for others' email addresses and attach files to emails that they send. All they need to do is select the file they want to share, choose the people they want to share with, add an optional note, and click send. The Activity Feed helps users keep track of what’s changed, and stay connected to what’s going on.
Users can access files stored in Amazon WorkDocs and view and leave feedback on files anywhere, anytime, from the device of their choice. The Amazon WorkDocs Sync client lets users designate a folder on their computer to sync. Any files saved to this folder will be automatically uploaded to Amazon WorkDocs using an encrypted connection, and synced across their other devices.
The Amazon WorkDocs tablet applications provide users greater productivity on the go. iPad, Kindle Fire, and Android tablet users can install the Amazon WorkDocs app on their device. The app is designed to provide users with a tablet-optimized experience for working with files. Users can leave overall comments, and can press and drag to highlight text or a region in a file and enter a comment. Users can also view and annotate files while offline without an Internet connection. Comments are automatically submitted when the user’s device reconnects to the Internet. Files and metadata stored locally on mobile devices for offline access are always encrypted. The apps can be downloaded from Amazon Appstore, iTunes Store, and Google Play.
Amazon WorkDocs provides a number of features to enable organizations to maintain control over the files they share. All files and comments stored in Amazon WorkDocs are encrypted at rest. In addition, all data transmitted to Amazon WorkDocs is encrypted. Using the Amazon WorkDocs Management Console, administrators can view audit logs to track file and user activity by time, IP address, and device, and choose whether to allow users to share files with others outside their organization. Storage limits can be specified for individual users. Users can control who can access their files and disable downloads of files they share. WorkDocs also integrates with your existing RADIUS server to enable multi-factor authentication (MFA).
To reduce latency for users, or to comply with regulatory requirements that govern where data must be stored, administrators can choose the AWS region in which they wish to use Amazon WorkDocs. The service is currently available in the US East (N. Virginia), US West (Oregon), EU (Ireland), Asia Pacific (Sydney), Asia Pacific (Singapore) and Asia Pacific (Tokyo) AWS regions. Users can access Amazon WorkDocs from anywhere in the world regardless of which AWS region is chosen by the administrator.
Amazon WorkDocs can integrate with your existing Active Directory. This means that your users can easily access Amazon WorkDocs using their existing Active Directory credentials, and allows you to control which users in your organization are permitted to access the service. Once you have configured an Amazon Virtual Private Cloud (VPC) with a hardware VPN connection to your on-premises environment, or provisioned a dedicated connection with AWS Direct Connect, you can configure Active Directory integration. Once you've done this, you can invite users in your existing Active Directory to use Amazon WorkDocs.
