AWS Purchase Order Management gives you the ability to define and manage your purchase orders (“POs”) for AWS services in a way that meets your business needs. You can manage your PO information from your AWS Billing Console, configure multiple POs, and define the rules of how POs map to your AWS invoices. You can also track your PO status and balance, and set up email notifications to proactively validate your POs.
Previously, you needed to contact AWS support to update your POs and could only use a single PO per master (or payer) account per AWS seller of record (“SoR”) entity. With Purchase Order Management, you can now login to your AWS Billing Console and navigate to a new Purchase Orders page, which provides you a single pane of view of all your PO information. From the Purchase Orders dashboard, you can configure multiple POs, define the rules of how they map to your invoices through line item configurations, and access associated invoices. You can also track your PO’s status and balance on the Purchase Orders dashboard, and configure contacts to receive email notifications for your POs nearing expiration or running out of balance. You can update your PO configuration at any time.
Adding a PO is a two-step process involving configuration of the PO and its line items. In step 1, you enter your PO's details, such as PO ID, AWS SoR entity ("Bill from"), and effective/expiration periods. In step 2, you define your PO's line item configurations that are used to match your PO with different types of invoices and to optionally track your PO balance against invoiced amounts. You can choose from multiple line item types (for instance, Marketplace, Subscription, and Monthly usage) and different time periods (for instance, separate PO line item for each month your PO is active) to fine tune your invoice association configurations to meet your needs. Based on your configurations, we will automatically use the most suitable PO when an invoice is generated. In addition, you can add contacts to your POs to receive email notifications when your POs near expiration or are running out of balance.
