Asana Keeps Teams Aligned with Clear Project Visibility and Efficient Workflows

  • May 21, 2026
  • Review provided by G2

What do you like best about the product?
What I like most about Asana is how it keeps everyone aligned and organized. It provides clear visibility into projects, makes task ownership simple to track, strengthens collaboration across teams, and reduces confusion around deadlines and priorities. The different project views and automations also help make workflows more efficient, smoother to run, and easier to manage overall.
What do you dislike about the product?
What we dislike about Asana is that it can sometimes feel overwhelming, especially on larger projects with lots of tasks and notifications. Keeping boards and tasks up to date takes consistent discipline from everyone, and without that, information can quickly become outdated or confusing. It can also be hard to customize certain workflows, and some features feel more complicated than they need to be.
What problems is the product solving and how is that benefiting you?
Asana is solving problems around project visibility, task coordination, and communication across teams. It helps keep work organized in one place, clarifies ownership and deadlines, and makes it easier to track progress without relying on constant meetings or follow-ups. This benefits us by improving collaboration, reducing confusion, increasing accountability, and helping projects move faster and more efficiently.

What do you like best about the product?
The integrations with Make, Zapier make Asana a great power user tool. I like how easy is to create automations, manage large groups of tasks and use emails to auto magically update statuses
What do you dislike about the product?
Regular users find it confusing and tend to not use it in my company which trigger the look for an easier to use alternative. Reminders are not as straightforward to define if recurrence is needed
What problems is the product solving and how is that benefiting you?
Asana is the perfect PM tool to collaborate for power users, it helped me automate my workflows and my teams as well. It saved me about 10-12 hours per week that I’d had to spend keeping track of progress

Reducing Manual Coordination Effort Through Better Workflow Organization

  • May 20, 2026
  • Review provided by G2

What do you like best about the product?
What I liked most about Asana was the visibility it provided while handling multiple project coordination activities, documentation follow-ups, and pending tasks simultaneously.

During engineering coordination and review activities, I used task dependencies, timelines, and status tracking to monitor pending approvals, BOM updates, drawing-review tasks, and follow-up discussions without depending on scattered emails or manual spreadsheet tracking.

The board and timeline views were especially useful because they helped quickly identify delayed activities and workload priorities across ongoing tasks. I also regularly used reminders and automated status updates to reduce manual follow-up effort during busy project cycles.

Another practical benefit was the integration with Microsoft Outlook and documentation workflows, which helped centralize discussions, deadlines, and task visibility in one place instead of switching between multiple systems continuously.

From a UI/UX perspective, the layout remained clean even while handling multiple projects, and onboarding was straightforward because task creation, assignment, and workflow setup were easy to understand without heavy training.

I also found the AI-assisted task suggestions and automation workflows useful for improving prioritization and reducing repetitive coordination activities.
What do you dislike about the product?
One challenge I noticed is that notification volume can become excessive when working across multiple active projects and teams simultaneously.

I also felt that managing larger project structures with many subtasks and dependencies occasionally becomes cluttered, especially during frequent workflow changes.Certain advanced automation, reporting, and dashboard features are restricted to higher-tier plans, which may feel limiting for smaller teams.
What problems is the product solving and how is that benefiting you?
Before using Asana, project coordination, pending-task tracking, and follow up activities were mainly managed through emails, personal notes, and spreadsheets, which made it difficult to monitor priorities and deadlines consistently.

For example, while handling BOM updates, drawing reviews, documentation coordination, and multiple engineering follow-ups simultaneously, tracking pending ownership and status updates required repeated manual communication.

Asana solved this by centralizing tasks, deadlines, ownership tracking, reminders, and project visibility into one structured workflow. Instead of manually following up through separate chats and emails, I could directly monitor task progress, pending activities, and responsibility assignments from the dashboard.

This reduced coordination delays, improved visibility across ongoing engineering activities, and helped prioritize workload more effectively during high-volume project cycles.

From an ROI perspective, the reduction in manual follow-ups and better deadline tracking improved workflow efficiency and reduced the chances of missing critical review or documentation activities.
