Powerful but difficult to learn

What do you like best about the product?
I like the customization options for the dashboards and the ability to pull in lots of data from other sheets. It's helpful that we can link multiple sources of data together in one place without needing a "common denominator" like we would in an object-based product such as Workday. This helps us fill in the gaps when Workday doesn't allow us to link some data together (without spending several hours customizing in Workday).
What do you dislike about the product?
The actual UI to reference other sheets has had a steep learning curve in my organization. We had a Smartsheet superuser who left, and it has taken us a while to learn. While it's great we can link from so many different sources, it can be overwhelming to navigate through the UI and track down our points of reference. Maybe a best practices tutorial for all new users could be good - I'm sure this exists somewhere, but I had a hard time finding tutorials on the site.
What problems is the product solving and how is that benefiting you?
Smartsheet is solving project management issues for us to keep our stakeholders on task and highlight key milestones needed to complete our time sensitive projects.

Smartsheet Superuser

What do you like best about the product?
The most beneficial aspect is collaboration. I appreciate the support and community around Smartsheet. They guide our organization in building tools or workflows by answering questions, providing solutions, and suggesting ideas.
What do you dislike about the product?
The least helpful aspect is the limited access and tools to troubleshoot advanced problems. At a certain point, our organization was running into bugs/issues that only support could address. These bugs/issues would be easy to solve in other software we use because they had the tools and global access for us to do so.
What problems is the product solving and how is that benefiting you?
Smartsheet provides our organization with accountability, efficiency, and history. We had information scattered across different software, which was inefficient and frustrating for employees. By consolidating into one primary workflow management system, we could assess and track responsibilities, improve and study inefficient processes, and save history as teams changed.

Has become a key tool for work projects and collaboration between departments.

What do you like best about the product?
Smartsheet has allowed us to develop process improvements through collaborated sheets that leverage the use of forms. In addition, the automated tools within these sheets make repetitive follow-up requests and manual data handling a thing of the past. To be able to close out a cross-department submission and having all parties get the email and update accordingly helps cut out so much wasted time.
What do you dislike about the product?
There are some challenges with the limiting options of the smartsheet automations. I think this is the area that they may be able to improve the most, where there is more flexibility with the types of automations that can be done as well as the complexity of said automations. Similarly, the column formula function is amazing, but it would be nice if it worked for more types of formulas to make calls to data on other smartsheets.
What problems is the product solving and how is that benefiting you?
Being able to keep work organized between collaborating departments where work overlaps between the two, but each team handles a different piece of the work. It benefits us in freeing up time and resources in managing the work overall. We no longer had to micro-manage every submission we got.

Powerful and Versatile

What do you like best about the product?
Smartsheet has enabled a wide range of processes in our company that have had huge impacts on our productivity and synergy. Before Smartsheet our project managers used Microsoft Project to create schedule that only acted as baselines to compare against our actual progress and it was up to them to chase down data and reports and compile the status of the projects on their own. Now, with Smartsheet, we're able to create baselines, then empower individual contributors to keep the schedules up to date with their actual progress. Progress and statuses are automatically fed through reports into dashboards that empower managers to quickly evaluate their teams standing. Public dashboards empower indirect stakeholders to keep track of projects without taking up the time of direct stakeholders and contributors. Smartsheets has even been utilized by teams outside the typical project workflow for things like material requests or issue reporting through the use of Smartsheet forms,

The biggest thing for me when comparing Smartsheet to other similar platforms is not just that Smartsheet is more powerful and has more features, but it's extremely intuitive and easy for new users to navigate and use.
What do you dislike about the product?
Other tools allow contributors to actually clock in and clock out of tasks for time tracking. This is extremely important for jobs that are billed by the hour and currently Smartsheet does not have this. This forces us to use two different tools for project management, one for tracking hours and one for tracking progress.

The maximum capacity of the tables, 20k is often to small, and it need to make a lot of back ups and latelly there is a lot of latency

Changed how we communicate in the company.

What do you like best about the product?
My favorite part about Smartsheet is how it opened communication across our 7 locations. Now everyone can see where an order is in the process. It's also made us more efficient, and we can give more accurate lead times to our sales staff.
What do you dislike about the product?
If viewers/commenters could get access to create and keep their filters, it would be beneficial for us. About half of the users are viewers or commenters and can't have their filters saved in Smartsheet. Also, the calendar view in reports could have the task bars change colors as it does on the source sheet. It would help us in our installation department immensly.
What problems is the product solving and how is that benefiting you?
Smartsheet has helped us be more transparent between the sales staff and production. This allows sales to give accurate timelines to the customers. It also allows us to be more flexible between production facilities, as now we can assign work to a facility via Smartsheet in seconds. Our communication across the 7 locations has dramatically improved. It also helps us document notes on orders and store them for future reference.

Great tool for streamlining projects

  • Review provided by G2

What do you like best about the product?
Smartsheet allows us to share data in realtime with multiple collaborators to streamline the effectiveness of our projects. It also allows for notifications to facilitate follow up if actions are not completed in time and allows you to layout gantt charts quickly.
What do you dislike about the product?
A few things that smartsheet is lacking that other tools have also struggled with is real time collaboration where multiple users are editing the document. Google sheets handles this decently but its the one area I would love to see Smartsheet (and all others) improve upon.
What problems is the product solving and how is that benefiting you?
Smartsheet is helping us manage multiple enterprise wide projects at one time. This is benefiting us by allowing notifications to be sent when projects are updated, tasks are behind, and reducing the amount of meetings needed to get aligned on project status.

Great way to keep things organized across departments.

What do you like best about the product?
I like that it makes it easier to collaborate in real-time and organize information across users when they are in different places. It makes it easier to share documents, tasks, and schedules with others users to keep everyone onboard.
What do you dislike about the product?
The restrictions on what users can/can't edit depending on their 'user access' that has been assigned to them. Seems pretty restrictive unless you are full access which I am sure is by design.
What problems is the product solving and how is that benefiting you?
Having users assigned to certain tasks within a workflow or project that are all in different locations can be tough to collaborate and see when things are getting done, what is left, and what needs to be adjusted. SmartSheet helps with our workflow and helps users update information in real-time so other users know what comes next and when to step in for their assigned tasks.

Smartsheet is a great business tool to include in your tech stack

What do you like best about the product?
I find Smartsheet easy to use for a variety of purposes. Because we can set up forms so quickly using their tool we can easily gather data in a pinch when other tools are too complicated. We also are using Smartsheet for project management of our internal graphics and production services which enables multiple team members to stay informed on progress of projects. We have used the system to display and track timelines for projects so that all stakeholders can see how far along a project is towards completion.
What do you dislike about the product?
This may be user error, but I do have a hard time finding a form once it has been created within the system.
What problems is the product solving and how is that benefiting you?
Keeping stakeholders informed so answering superfluous questions is not necessary. Also, by using the tool for our marketing calendar we can see overlap for messaging across products and therefore develop more effective communications to our members.

My goto tool for Project/Program management

  • February 21, 2023
  • Review provided by G2

What do you like best about the product?
The top driver for me adopting Smartsheet from the beginning was the ease of use and feature-rich Gaant capabilities. I deal with extensive waterfall development schedules that contain complex dependencies. This tool gives me exactly what I need to keep cross-functional teams aware of project timing and blockers.

As I get to use Smartsheet at a more in-depth level (Control Center, Automation, Resource Management), it is clear that this is also the right tool for scalability on more extensive programs and portfolio managment.
What do you dislike about the product?
Setting up Control Center, Blueprints, etc., is very complex at this point for intro users. Consulting contracts were needed with Smartsheet specifically, and I think long-term enablement of end-customer set up for these would be ideal.
What problems is the product solving and how is that benefiting you?
- Complex program/portfolio management
- Dashboard communications and rollups to executive levels
- Increased productivity/efficiency with utilizing automation within the Gaant tools
