The second feature I want to discuss is the integration feature; in this integration, many other features are exported from other tools and built into this single tool, which helps us to reduce manual effort and limit errors that could be caused by manual data exchange. All the information is gathered in a single place, and OneLogin has become a solution for all security purposes as well as the integration of other tools we use.
When we talk about security and usability, SmartFactor Authentication is a valuable tool because it helps in enhancing the tool's security. One of the valuable things I see is that it can detect errors and risks in authentication and provides advanced security for the tool, meaning that it can detect higher-risk logins and prevent unauthorized access. It also identifies non-compliant users and detects unsafe places, including anonymous IP addresses, which may be used by spies or phishers, providing strong security for the system.
OneLogin has positively impacted us in many different ways, particularly in terms of cost, as our costs have been reduced compared to what we have been spending.
What needs improvement?
OneLogin can be improved mostly by maintaining and upgrading it. Everything is running well currently, so I have not identified any required improvements at this time.
I believe the initial setup should be more straightforward. The initial setup should include all instructions in a tour video, so when someone is running it, they can watch and realize how things are done, not only regarding domain booking but also having posted videos daily about added features. This would make it easier for the person installing initially to know what should be done and what has been added. This would help anyone, regardless of their coding skills, to learn how to install it through video explanations.

It has been very convenient for employees working remotely where they can collaborate effectively. I would like to add a few more points about how I use OneLogin based on my experience. The process has significantly reduced the onboarding time, as I have mentioned.
I do use OneLogin Smart Factor Authentication to adjust authentication flows in real time, though in a targeted way rather than across all use cases. I have configured smart factor policies to evaluate contextual signals such as user location, device, IP reputation, and login behavior. When the risk level is low and the user is logging in from a known device or trusted network, the authentication experience is kept simple. If OneLogin detects higher risk, such as a login attempt from a new location, unfamiliar device, or unusual behavior, it dynamically enforces additional verification steps such as MFA. This approach allows me to maintain strong security without creating unnecessary friction for users during normal, low-risk access.
My impression of OneLogin's ability to provide a seamless end-user experience is very positive. The single sign-on functionality ensures that users only need to remember one set of credentials to access all their applications, which eliminates password fatigue and reduces login-related frustration. My use case for OneLogin has many uses including SSO, desktop SSO, multi-factor authentication, advanced directory integration, access to other applications, smart factor authentication, role-based access control, and identity lifecycle management from start to end, including user onboarding, user updating, and user offboarding processes.
What is most valuable?
The best features I appreciate most about the solution are OneLogin SSO and advanced directory integration. OneLogin SSO integration has almost 6,000 pre-integrated applications, which allows users to access multiple applications with just a single set of credentials. OneLogin provides seamless integration with existing directory services such as LDAP, Active Directory, and cloud directories such as G Suite and Workday.
OneLogin has a role-based access control feature that provides role support, allowing admins to define roles and assign specific permissions to users based on their roles within the organization. I use smart factor authentication to adjust authentication policies in real-time. For multi-factor authentication, OneLogin has many authentication factors. In India, we primarily use one-time passwords, email, SMS, and web authentication for biometric factors. We also use third-party authenticators such as Google Authenticator, Duo Security, RSA SecurID, and YubiKey.
What needs improvement?
The authentication process is good, but sometimes the responsiveness to requests for enhancement is very slow. I sometimes face issues with platform stability, flexibility in configuration, and limited API availability. I experience downtimes two to three times per year. OneLogin's support team is sometimes very slow to respond. There is a feature limitation with mapping, as OneLogin does not provide one-to-all mapping. For client deployment, we need to create separate mappings for each request, and we cannot use the same mapping for multiple requests.
Other areas that have room for improvement are related to API limitations. If a client requires more APIs, such as 5,000 or 6,000, OneLogin charges more. The API rate limits by default or the standard limit should provide more than 5,000. Additionally, OneLogin could provide more flexibility in configuration. These are the main limitations I have identified with OneLogin.

For the advanced professional feature, OneLogin provides around seven to eight dollars for clients who want advanced features such as lifecycle management and HR-driven identity. For the expert premium plan for clients who want all professional features, smart factor authentication, and dedicated admin features, it costs almost nine to ten dollars per user. OneLogin provides customized solutions that vary based on customization and client features. The cost is less compared to Okta and Entra ID.
OneLogin requires maintenance in the sense of cloud storage, and they have different pricing for that. The cost varies depending on the clients.
Which other solutions did I evaluate?
When I compare OneLogin by One Identity to other authentication and SSO tools, I find that there are other actors such as Entra ID and Okta that are similar products. All three products are used for application integration, security, and integration. OneLogin is mostly for small and mid-sized businesses, whereas Okta is used for multi-cloud and vendor-neutral setups. Entra ID is only for setups that have an Azure setup or Microsoft 365.
OneLogin has almost 6,000 pre-built applications for SSO, whereas Okta has 7,000, and Entra ID has around that number, but it provides deep native integration only for Microsoft 365 or Azure. My experience of the solution's ability to provide a seamless end-user experience for signing in and authenticating applications is seamless. I have experience as both an admin and a developer. As an admin, I manage user lifecycle management processes and application onboarding based on SAML, OIDC, RADIUS authentication, and OAuth protocols. I onboard different applications in OneLogin based on different SSO protocols and manage user lifecycle management as it is integrated with various Workday directories, Active Directories, and CSV onboarding of users. As a developer, I use Smart Hooks and their client SDK to integrate multiple APIs based on Python, and I manage users, apps, and roles based on OneLogin API.
The number of users that work with OneLogin in my company depends on the clients. For banking-related clients, OneLogin has almost 20,000 users. For education-related clients, it is around 10,000 to 15,000. Overall, I have worked with around one to two lakh users in my three years of experience with OneLogin.
I am a partner of One Identity, specifically OneLogin, as I was at Grade Software Pvt. Ltd., which is a Pune-based organization in Pune, India. We bought OneLogin, and we deployed multiple client projects as a solution implementer or solution partner. My company has about 10 to 15 specialists, specifically 15 engineers.
Maintenance is easy. My impressions of the user identity synchronization across directories functionality are that OneLogin is used for secure access to campus resources including data and apps. It ensures fast access and easy authentication while blocking regular or unauthorized access. OneLogin allows third-party integration, making it better. It is a comprehensive identity and access management solution designed to streamline workplace authentication and authorization. This feature on this platform enables users to access multiple applications with a single set of credentials and provides solutions for admins with granular control over permissions, security policies, and user provisioning.
I have used the adaptive login flows with intelligent AI, specifically in the adaptive login flow feature in OneLogin where we need to set configuration for the adaptive feature and add one to two devices to test it. Once it works, adaptive authentication comes with different credentials if a user has them. When a user logs in with standard credentials such as username, user ID, email ID, and password, it sometimes makes them vulnerable to cyber attacks. We can implement risk-based authentication in OneLogin by creating a profile for each user that includes information such as the user's geographical location, their different role, and a registered device. Each time someone tries to authenticate, the request is evaluated and assigned a risk score. Depending on that risk score, the user may be required to provide an additional credential. If the risk score is high, we can add additional multi-factor authentication. If the user passes, the user can access the application.
My advice for others looking to implement this product is that I can recommend it based on the product features. If you want OneLogin Desktop, VLDAP, RADIUS integration, or user lifecycle management processes made easy, I can recommend OneLogin for small-base or medium-base organizations. I would rate this product 8.5 out of 10.

My main use case for OneLogin is that it has really enhanced our security in my organization, especially when it comes to password protection for all our applications. It is a great tool that is used company-wide in my organization for security purposes of our applications. Every employee in my company uses OneLogin, and it helps us secure and store credentials with strong long passwords, which are a must for security nowadays. However, it is almost impossible for a human to remember them, and storing them in notes is a security breach by itself. OneLogin comes in and encrypts all the sensitive data before saving it. OneLogin also gives us easy access whenever we need to log into our applications easily.
What is most valuable?
The best features OneLogin offers include ease of use for users, connection to Active Directory, and secure login for all applications.
Out of those features, all are great because this tool is very easy to use with a very flexible and intuitive user-friendly interface. This tool has really made it very easy for us to log in using one password for all our applications, which has simplified how we log in, hence saving a lot of time, and it has enhanced security. There is no reset of applications nowadays since we started using OneLogin.
OneLogin has positively impacted my organization since this tool has been very helpful. We have seen more security, simplicity when it comes to log in, and more time to be productive for everyone in my organization since we are not wasting time trying to log into different applications.
I have seen specific outcomes or results, such as a reduction in password reset requests and improved productivity metrics. Since many employees were forgetting their passwords and asking for resets, it would give our tech team a hard time. However, since we started using OneLogin, everything is now simplified to one long password that is easy to remember and keeps our security very safe. We have also saved a lot of time, as we are not logging into each different application. We have been able to save sixty-five to seventy percent of time, and we have also seen enhanced security overall.
What needs improvement?
OneLogin could be improved if there were easy configuration options. Additionally, enhancing the help portal would be beneficial.

What other advice do I have?
A quick specific example of how I use OneLogin in my daily work is that the day before, we had to remember every password for every application, and it was somehow forgetful. Some employees would forget, and requesting a reset of the application would take time and would really give our tech team a hard time to reset and forget the password. So we decided to go for OneLogin to centralize all the passwords, and it created one long password which is easy to remember and easy to log in. This has really simplified the login for any application. We are able to access them even when working remotely easily.
The GUI is very simple and user-friendly. It saves a lot of time by remembering the credentials and logging them once. It is easy to implement as a SAML SSO application where it provides reasonable pricing plans. So it is very cost-effective. The support is very friendly and quick to resolve any issue.
Based on my experience, I use the solution's Smart Factor Authentication to adjust authentication flows in real-time depending on the risk score associated with the login attempt, and I assess Smart Factor Authentication as effective for balancing security with usability. The authentication process allows all users to access multiple applications with one set of login credentials easily. It enables users to have all services registered with the account and allows all journeys from implementation to end-user experience seamlessly.
My impression of the solution's ability to provide a seamless end-user experience for signing in and authenticating to needed applications is that it is very seamless and time-saving.

My advice to others looking into using OneLogin is that it is a great tool that helps with one set of login credentials, removing the risk of security concerns when it comes to simplification of login processes for end users, and improves user productivity. Training has been completed quickly and user-friendly access management is now simple
What is our primary use case?
I did not use OneLogin in a customer phase. My company wanted me to learn about it because I recently joined the company. I used it for about one month for training. I took the trainings with some trainers from OneLogin and then applied the total course of OneLogin and received certification. I have not used it in a customer phase yet. It depends on the project I am assigned to, but until now I have not used it in a real-life scenario.
What is most valuable?
The most valuable thing about OneLogin is the user interface. It is very simple and very clear for users to understand, and not only technical persons can work with it. Non-technical persons can also use it because the user interface is very simple and we did not have to write a lot of lines of code while making any configurations. It is one of my favorite SSO tools that I trained on. I have used other SSO tools as well, but OneLogin is one of my favorite tools I trained with.
What needs improvement?
From what I studied, I did not face any issues with OneLogin. However, if there were multiple documentations about the technical points and what each tab on the GUI is used for, it would be very helpful for others who want to learn, because I did not find a lot of resources about it on the internet. I used the admin essential document and tried to learn from the videos which were in the course itself. The course was very good, but I need more information and more documented parts because the course is not available for all users to learn from. Users just need to be assigned to the course before they are able to access the content. Many of my colleagues at work, when they learned that I took the certification for using OneLogin, want to learn but they were not assigned to the course itself to learn from. If there were any available documentation related to the product, I think it would be a very useful resource.
If there were some pictures from the GUI in the documentation part to illustrate where things are and what they are in the GUI, it would be helpful. The steps are in the documentation, but if we support the steps with pictures from the GUI, it will be more interactive for users.

I tried to use another tool in SSO and used one of them in my real project. I took training about both of them at the same time. However, I found that OneLogin's user interface is simpler than the other one. Although the admin essentials document does not have all the information about OneLogin, it was very useful for me and it has the steps for doing the technical parts. The steps were very clear and it has steps for every point in OneLogin when you want to make something. If you continue the documentation for all the product well, I think it will be perfect. The other tool's documentation was very difficult and very confusing for me. I preferred the OneLogin documentation.
What other advice do I have?
OneLogin is easier than other tools. For me it was very easy. When I took the headlines from the instructor, then I returned to the documentation and watched the videos. It was very easy for me. I took the certification in less than one month because I had other jobs to do while studying.
I joined the technical discussions and worked on the technical part only. I did not join in the business discussion or go into the licensing and other details.
I would give OneLogin a rating of nine out of ten.

It is very easy to integrate with third-party authentication providers through the Single Sign-On feature. There are a few steps to follow, and OneLogin has shared documentation on the process. You have to visit the application directory, click on a new application, set up its logo and metadata, authentication, encrypted codes, and then the application starts authenticating and Single Sign-On starts working.
What needs improvement?
There are many downsides. OneLogin is designed for small businesses, not for big enterprises, which is why it has limited features. It does not have those features that enterprises request or would like to have from OneLogin. It is not that scalable because it is intended for smaller businesses. It does not have the functionality to add multiple enterprise-level applications. Although OneLogin has many applications available, I cannot add multiple enterprise-level applications and advanced features to OneLogin setup screen.
I used OneLogin authentication to adjust authentication flows in real-time depending on the risk score to set up the IPOU. It was very simple, but it lacked enterprise-level features like push notification, which makes authentication very easy and seamless. It has only basic features, such as code running, and I have to look at the code and authenticate.
This is also a concern for end-users. Every time they have to sign in, they will need to open their smartphone, open OneLogin authentication application, copy the code, and enter it into the laptop screen to authenticate.

I have been working in my current field for around three and a half to four years.

During the trial period, which was for thirty days, I never faced any downtime. OneLogin was up and running every time I tried to log in and use the application in the web portal.

It did not take long to set up OneLogin, but if you have a set of policies to implement, it obviously takes time to set up organizational units, integrate directories, and set up all policies per department. It takes time on every application you set up in your organization, but it was not difficult and did not take much of my time.
What about the implementation team?
Since that was a test environment, I was the only one to set up OneLogin administration. I could have allowed some other users as administrators to help me out, but I was the only one who set it up and everything went smoothly.
Which other solutions did I evaluate?
I have used many alternatives in the market, and the best one is Okta.
Okta is a huge enterprise-level application. It provides Single Sign-On, provides integration with enterprise-level applications, and also those applications which do not have Single Sign-On capabilities using web authentication system. So it has much more than OneLogin.
What other advice do I have?
If I am looking for a solution for small or mid-businesses on a scale of one to ten, I would rate OneLogin seven and a half to eight and a half. My overall rating for this product is eight.
