A great way to manage contracts
What do you like best about the product?
I like the simple and easy to use interface when using Gatekeeper. The dashboards are clear and easy for all users to understand
What do you dislike about the product?
I would like the ability to customise the reporting more than is currently available. Although the dashboards are good, the ability to focus onto some key areas for driving the business forward would be a real plus
What problems is the product solving and how is that benefiting you?
Keeping control of contracts and events within contracts is the main benefit we have realised from using Gatekeeper. Before Gatekeeper we did not have full control of in contract events. Gatekeeper has improved our ability to manage this beyond our expectations
Recommendations to others considering the product:
Ensure your data is clean and your people know how you manage data effectively. The biggest problem we encountered was not preparing internally well enough to get the best out of the Gatekeeper system from the beginning

I like the "event" feature which allows easy tracking of reviews/renegotiations.
What do you dislike about the product?
I would like an easily accessible User's Guide.

Keeping track of auto renewals can be an issue. Gatekeeper makes this easy!

no, the data is not organized. It is hard to search and upload contract data, many repetitive steps that are a waste of time.

The in built features & the functionality!

Maybe the User Interface could be better.

Ability to easily manage numerous contracts. Target savings optimization by knowing the renewal dates in advance.
Finally a Procurement Platform that Connects People to the Market
What do you like best about the product?
Flexibility of Gatekeeper staff members to adjust the way to do things for our organization. It provides connectivity for Procurement personnel and the marketplace whilst presenting endless possibility.
What do you dislike about the product?
Item descriptions need to be improved. The data entry persons working at Gatekeeper might need to polish up their knowledge around this area and be familiarised with UNSPSC codes.
What problems is the product solving and how is that benefiting you?
Dashboard that provides everything under 1 view was great.
Contract Management made easy along with seamless reporting and analytics
What do you like best about the product?
The ability to generate quarterly reports has been the key in putting in place a robust contract management program. The ease with which you can access and link contracts is time saving. Gatekeeper also allows me to customize my categories to suit my needs.

It does not allow you to bulk export contract files and it can be a little overwhelming to get started with so many features

Gatekeeper is helping us store all our current and legacy contracts in a single place which is accessible by everyone. It also allows contract owners insights into the renewal status of their contracts which ensures we don't end up renewing something we don't want.

What do you like best about the product?
The first thing I noticed while I was being shown around Gatekeeper was the ease of use, the program is very intuitive. It really is a one stop shop to find out all the necessary information and documents in regards to tracking our Subcontractors.
What do you dislike about the product?
I've been using Gatekeeper for about 10 weeks and haven't come across any features/items I dislike.
What problems is the product solving and how is that benefiting you?
Before Gatekeeper I would have to email another department in our company for information on where a Subcontractor was in our on-boarding process or to access documents pertaining to the Subcontractor; now I can retrieve those documents in moments. Gatekeeper is definitely helping us save time and in turn money.
Recommendations to others considering the product:
Gatekeeper is saving us time and money, it's extremely intuitive and truly a one stop shop for tracking our Subcontractors.

What do you like best about the product?
I like the ability to customize gatekeeper into what fits your needs. You can add or take away as many add-ons which makes it super user friendly.

Sometimes it the interface is a little laggy.

Everything is cohesive and organized in one place. It's super easy to find things.

The system is intuitive and user-friendly, easy for most people to pick up and start to use with minimal training.
The ability to sort contracts by vendor (funder in our case), type, start and end dates, etc. is very helpful, as is the ability to filter the data to provide a more limited subset of information. This has allowed us to be more proactive about certain contract renewals, develop greater insights into sources of funding, and

I would like to see:
a) more options for customizing the labels on the navigation bar such as changing Vendor/Supplier to Funder (as we did), Entity to 'Branch" or "Unit."
b) additional reporting options - e.g. by contract type
c) from an end user perspective, I would like to see a more streamlined process when creating new contract cards so that there are fewer "clicks" between tabs and so that certain fields are populated by default with the option to change them via a dropdown menu. (e.g. set the default contract status as "live" with the ability to change to "pipeline" when needed.
d) scrolling up and down the screen or left to right can be a bit cumbersome at times.

What problems is the product solving and how is that benefiting you?
To date, we have used Gatekeeper primarily as a repository of contracts - having moved from disparate collections of contracts held by regional offices or local units to a central repository held by our national office. This has helped to enhance compliance monitoring.
We have used Gatekeeper workflows on a pilot basis in an effort to replace a slow, paper-based and Canada-Post based process for circulating contracts between our local, regional and national offices with a digital one. Doing so has allowed us to speed up the process of circulating, reviewing and signing off on contracts so that our local units get paid sooner!

Consider whether you have the expertise internally to configure Gatekeeper to your needs or whether to engage the vendor team to do so.
If you are moving to a digital repository and workflow from a paper-based or Excel spreadsheet-based tracking system, give thought to how you want to label the contract cards, uploaded files, etc. so that end users will intuitively know where to look to find the contracts they need.
