GaiaShift is an AI-powered workforce scheduling platform built by GaiaWorks, a leading workforce management (WFM) software provider in Asia. Born from a co-creation program with a global luxury retailer, GaiaShift turns frontline scheduling know-how into governed, reusable knowledge and compiles it directly into optimized, compliant rosters.
Why GaiaShift
Most scheduling tools only digitize the timetable. GaiaShift digitizes the judgment behind it. Its three-layer knowledge architecture - Raw evidence, governed Wiki knowledge, and compiled scheduling Schema - captures how your best store managers schedule, reviews every change through a draft-and-approve governance flow, and applies the approved rules automatically to every roster.
Scenario planning: five auto-generated plans (service-first, cost-first, balanced and more) with transparent scoring for side-by-side comparison
Built-in labor-law compliance audits: working hours, rest days, overtime limits and statutory leave entitlements are checked before any schedule is published
Supervisor scheduling studio: lock cells, edit drafts with real-time constraint evaluation, one-click AI repair, then adopt
Conversational AI assistant: generate, explain and adjust schedules in natural language; frontline feedback is distilled into new governed scheduling rules
Multi-industry: retail stores, manufacturing plants, and theme-park / live-entertainment daily show operations
Multi-tenant SaaS with per-tenant data isolation
Who it is for
Retail chains, manufacturers and entertainment operators that need demand-driven, compliant schedules without losing the store-level judgment their veteran managers have built over years.

You choose a plan based on how many employees you manage. The three plans scale by workforce size. Starter covers up to 100 employees. Growth covers up to 500 employees. Enterprise fits organizations with 2000 or more employees. Each plan is billed as a contract and priced by units tied to that employee band. As your headcount grows, you move to the plan that matches your size. Pick the plan that aligns with your current workforce count.
Top-of-mind questions for buyers
What counts toward my employee count for the plan I select?
Your plan band tracks the number of employees you manage in the system. Starter covers up to 100 employees, Growth up to 500, and Enterprise fits 2000 or more. Frontline, site-based, and mobile workers all count as employees when their attendance or scheduling is managed in the platform.
What happens to my plan if my workforce grows beyond its employee limit?
Each plan is capped at an employee band. When your headcount passes the upper limit, you move to the plan that matches your new size. Starter tops out at 100 employees, Growth at 500, and Enterprise covers 2000 or more. The move is a plan change, not an automatic overage charge.
Does the plan price cover payroll processing, or only workforce scheduling and attendance?
Your plan covers scheduling, attendance capture, time calculation, and labor cost allocation. It produces verified time outputs that feed your payroll system through API, file export, or scheduled sync. It does not process payroll or calculate statutory deductions. Those stay in your existing payroll system.
