What is our primary use case?

Planview Portfolios serves as our main tool to track development efforts for new products during their entire life cycle and to centralize all the steps and requirements for easy access of the team members who execute the process while also providing good data to monitor process health. The primary positive use is to provide our team members a unified experience instead of jumping through multiple tools and access requests.

It has allowed us to work with teams, stakeholders, and project managers to identify where issues may lie with staffing and what potential tradeoffs may be required. Resource managers are able to manage and schedule their resources with ease. Resources are also able to review their schedules to see what expectations and schedules are upcoming.

We are also using Planview Portfolios for project management, capacity, demand planning, intake, and financial reporting.

What is most valuable?

Planview Portfolios offers great features such as capacity monitoring, task breakouts, portfolio groups, life cycles, document storage, the ability to create simple or complex life cycles when needed, viewing a portfolio of data at once for an approval group view, and resource management expansion over the years which has allowed more valuable data to be gathered.

I find myself relying heavily on the product because it has already solved for getting project data into the tool and identifying who is managing those projects. It has also helped to align those efforts to company leadership strategies. User administration is easy and flexibility in the project life cycle workflows is excellent.

Planview Portfolios has positively impacted my organization with faster project prioritization and decision making, as well as improved resource and team utilization. There is visibility into hidden work, Power BI reporting functionality with portfolios, and visibility for resource managers in supply and demand.

We save time while making decisions because we are able to gain more data, enabling data-driven decision-making to be very fast. Being able to see and manage all projects in a single location has been very positive, and the reporting frequency available via OData Power BI has also been positive.

By using Planview Portfolios, we have saved considerable time and improved our organization by delivering projects to our clients on time and within a good health margin and required budget, hence saving time and cost. We have also improved our teamwork and collaboration. In my opinion, it is very time-saving and has added more to our team, especially when dealing with complex projects, enabling us to complete them on time.

What needs improvement?

Improvement in integration should be prioritized, and flexibility with out-of-the-box reporting should also be enhanced.

Automated notifications for new work and approvals should be improved.

Recently, I have encountered challenges because it is difficult to manage and approve the worked hours.

I previously used ServiceNow IT Business Management.

I switched from ServiceNow IT Business Management to Planview Portfolios because while ServiceNow offers a great platform to manage applications from a programmatic and tactical vantage point, Planview takes it up a level, allowing strategic teams like enterprise architecture and PMO to view the whole landscape and make long-term decisions, which is far better than the previous tool we were using. Planview also has more tools than most modern EA teams will probably ever need, and it takes time to see the value; however, once the value starts to emerge, the possibilities are limitless.

My experience with pricing, setup cost, and licensing has been very positive, as it is a very flexible and scalable tool that can be used by any size of organization, making the price perfectly competitive and affordable.

Before choosing Planview Portfolios, I evaluated Microsoft Power BI.

I rate Planview Portfolios nine out of ten according to my experience.

The reason I chose a nine out of ten is because Planview has the perfect project management tool to manage the entire project life cycle from a centralized source, ensuring controlling, tracking, and delivering projects on time with good health margins and within the agreed budget to our clients.

I would rate the customer support nine out of ten.

My advice to others looking into using Planview Portfolios is that it is a great tool, probably the best tool for both project management and APM capabilities on the market right now. It is well-suited for companies who are ready and able to commit, which means total buy-in from the entire organization. I also think it is a decent tool. Planview Portfolios is highly customizable software that enables users to create custom fields, workflows, and reports. It fits perfectly with increased efficiency and productivity. It has performance reports in real time, where it enables us to make data-driven decisions. It also helps the automation and digitization of our processes, hence saving a lot of time and cost.

How has it helped my organization?

Planview Portfolios has positively impacted my organization by improving our time management by 20% and reducing the sending of internal emails by more than 10%. We have been more stable and have been able to gain more product; we have been able to be more productive in my whole organization because it has reduced internal communication clutter of emails and improved our time management by 20%. Hence, we are able to focus and put that time into more strategic tasks and projects.

The best features Planview Portfolios offers in my opinion include good integration with the financial area, good capacity planning, purchasing, and billing. There is comprehensive monitoring of the project from start to finish, strict control of hours worked, full control over cost and margins, and correct and accurate billing. The integration of financial and project data in a single solution helps us to deliver projects on time within the agreed budget and with healthy margins.

It provides company-wide consistency thanks to the central source of data and a DMS system with centralized documentation to facilitate its search and indexing.

What needs improvement?

Planview Portfolios can be improved by enhancing the DMS system and centralized documentation to facilitate its search and indexing, visualizing difficulties, especially in WBS management, and improving the management and approval of hours worked. What is our primary use case?

I have used Planview Portfolios for a long time, even in my previous organization, and in my current organization, this is my seventh year.

Planview Portfolios is very efficient and can be treated as a one-stop solution for project management. I appreciate the functionality to manage portfolios, manage projects, and the ability to customize life cycle workflows with a simple or complex approval process. The ease of reporting across all functionalities using standard reports or creating custom reports with Power BI tools is excellent. I have also used AgilePlace, and the Project Place user interface is performing well. I am excited about the hub where we can integrate all applications, which will be a milestone for Planview.

We have also used Planview Portfolios to track financials, forecast and actuals on all our strategic investments over one thousand one hundred million dollars in annual spend, capacity and resource management, as well as the CTM enterprise architecture product.

What is most valuable?

The best features Planview Portfolios offers include financial management, system uptime, and cloud-hosted availability. Customer support is very strong. Resource management and the ability to configure the tool to our company needs through customization are valuable.

I also appreciate the workflows and life cycles in Planview Portfolios, which perform well. Planview support is responsive and effective. Integration with Power BI has significantly increased the scope of reporting where we gain insights to make data-driven decisions easily.

Regarding the features of Planview Portfolios, user administration is very simple, especially because of the user-friendly and intuitive interface.

Planview Portfolios has been a great tool, especially when dealing with large projects, serving as one source of truth for our projects, particularly financial projects, and providing a single source of truth for resource capacity.

Visibility into hidden work and project prioritization with Planview Portfolios has been outstanding. Our Power BI reporting functionality with portfolios and visibility to resource managers in supply and demand provides great analytics, which gives us insights and has enabled us to improve our decision-making by fifty percent.

What needs improvement?

Planview Portfolios integration with Power Apps is an area where there is still opportunity for improvement. Planview trainings need to be more frequent.

I believe easier and less expensive ways to integrate with other platforms in our company would be great improvements for Planview Portfolios.

Planview Portfolios is my main tool for project management because it is very efficient and serves as a comprehensive solution. I appreciate the functionality to manage portfolios, manage projects, and the ability to customize lifecycle workflows with simple or complex approval processes. The ease of reporting across all functionality using standard reports or creating custom reports with powerful BI tools is also beneficial. I have used AgilePlace and ProjectPlace, and I find that this user interface performs exceptionally well. I am excited about The Hub where we can integrate all applications, which will be a milestone in Planview Portfolios.

I can provide a specific example of how I use Planview Portfolios in my daily work. We use it to track financials through forecast and actuals on all of our strategic investments where we had over $100 million in annual spend, capacity and resource management, as well as the CTM enterprise architectural product.

Additionally, we are able to integrate it with ServiceNow and are planning to integrate it with Workday and other tools to enhance our project capabilities in the future.

Planview Portfolios offers several valuable features that stand out in my experience. The workflows and lifecycles perform exceptionally well, and Planview's support is very proactive and effective. Integration with Power BI has significantly increased the scope in terms of reporting, and the financial management capabilities are excellent. System uptime and availability are outstanding because it is cloud hosted, and resource management is also excellent. The ability to configure the system to our company needs is remarkable.

I have seen a return on investment with increased visibility and transparency of work being done. We have been able to offboard from some other tools and consolidate our efforts within the Planview suite of applications, saving money and time.

Regarding my experience with pricing, setup cost, and licensing, this tool is somewhat cost-effective, especially for medium and large enterprises. However, for smaller organizations working on a tight budget, it might be out of their budget.

The advice I would give to others looking into using Planview Portfolios is that it probably is the best tool for both PPM and APM capabilities on the market today. It is well-suited for companies who are ready and able to commit, meaning total buy-in from the entire organization. It is also very cost-effective and easy to use for both users who are technically proficient and those who are non-technical.

Planview Portfolios is also an excellent tool for tracking projects that follow traditional methodology with a defined beginning and end. Some challenges exist in leveraging the tool for agile and persistent teams, where multiple projects are being delivered on very short time cycles that do not align with how funding is approved.

A specific example of how I use Planview Portfolios in my daily work is that we use it throughout the year to support strategic planning, prioritization, financial planning, and project management processes. The main problem we were looking to solve was having multiple sources of project management and related business case data, such as financial data. Planview Portfolios offers us a single source of truth and enables a faster, more reliable decision-making tool.

I also appreciate the ability to see the business objectives and the support work activity end-to-end, including financials in regard to my main use case for Planview Portfolios.

What is most valuable?

The best features Planview Portfolios offers include managing approvals through lifecycles, custom screens, and scripted dialogues, which allow access to data only to certain roles, thereby creating data limitation. We have not really started using this, but I appreciate how it will connect with Projectplace and AgilePlace. Additionally, it is extremely flexible with reporting and dashboards, offers robust business case functionality, and provides comprehensive financial data.

These features help my team day-to-day through the robust system performance, comprehensive resource management capabilities, and visibility enhancement. The visibility ensures that users can track progress, identify bottlenecks, and make informed decisions to optimize workflow efficiency. The system stability and reliability contribute to a seamless user experience, enabling all users to focus on their tasks without disruptions. The comprehensive set of features empowers users to allocate resources strategically, analyze costs accurately, and align project timelines with available resources seamlessly.

Planview Portfolios has positively impacted my organization by allowing me to save time. Through the CIO, approvals are no longer sent through email; they are done in the tool. There are more timely reviews and approvals, thanks to the email notifications. Additionally, there has been accurate budgeting, the ability to complete more project work within a given short timeframe, and the ability to take additional projects as resources allow.

What needs improvement?

One area where Planview Portfolios could be improved is the reporting module, which needs to be more flexible as it is not easy to switch between data representations easily.

Regarding improvements needed, the size of field names and ALT structure values need to be larger for a better user experience.

Another improvement needed for Planview Portfolios is the option to configure the return on investment metrics calculations, especially with IRR calculations.

My advice for others looking into using Planview Portfolios is that if you are planning to do robust project, program, and portfolio management with integration with other critical tools within the organization, Planview products are the best suited for this kind of work. Additionally, Planview product teams work with customers such as us to implement and improve features requested by users quickly and efficiently. This makes Planview the recommended application for project management and other needs.

I want to highlight that our project teams now have a better view of their project's health and rely on the system to perform their tasks effectively. I would rate this product a nine out of ten.

My main use case for Planview Portfolios is to ensure governance and decision auditability by incorporating embedded workflows, approval management, and key document retention supporting a single configured delivery life cycle. Additionally, Planview Portfolios serves as the primary tool for project financial management where it provides accountability and rigor throughout the organization.

A specific example of how my team and I use Planview Portfolios in a real project is that it is ideal for large enterprises where executives, transformation leaders, finance teams, and EPMOs need to drive business outcomes across multiple functions. What is most valuable?

The best features Planview Portfolios offers include approval management, financial management, and a configured delivery life cycle, where it manages large portfolios with thousands of projects, rolling up financials across the strategic hierarchy for projects around the world.

Out of those features, I rely on strategic alignment the most day-to-day, where the system ensures that work gets done to make sure strategy informs execution and vice versa. End-to-end visibility enables us to analyze performance data across the organization to measure the success of strategic initiatives with key performance indicators and make timely decisions to ensure outcome realization. Adaptive program management helps me manage dependencies, track progress, and mitigate risk by integrating top-down financial and capacity planning, roadmaps, and cross-functional delivery teams.

Planview Portfolios supports a variety of reporting and analytics methods that stand out to me.

What needs improvement?

Planview Portfolios can be improved as the user interface defaults to the last opened portfolio, which can waste a lot of time loading a large portfolio if that is not what I need at that moment. Job management logs need better error messages to diagnose issues.

Reporting flexibility is needed so that end users can create their own quick ad hoc reports for analysis and for better data-driven decisions.

Other improvements needed for Planview Portfolios include increasing what the data system can process regarding reporting, as well as allowing strategic structure capabilities to be similar to all others. Currently, I find it limited in adding or deleting from a structure standpoint and have to go the portfolio route.

I have seen a return on investment because it improved visibility of the entire change portfolio across the bank and across my organization, and improved our ability to connect strategy back to work, making critical business decisions easily. What is our primary use case?

Planview Portfolios is used for work management, scheduling, and milestone communication, resource management, and financial planning across multiple departments to create an enterprise-wide picture of the health of the organization. I use it to track and communicate key items to stakeholders around the organization and automate reporting of that information.

I have been using Planview Portfolios to manage the five-year rolling capital plan where there is a centralized location for all projects forecasting and strategic alignment.

I also manage our IT initiatives, and I love that Planview Portfolios enhances visibility. Visibility into our work and resources allows for better organization and decision-making processes.

What is most valuable?

The best features Planview Portfolios offers are visibility enhancement, robust system performance, and comprehensive resource management.

This enhanced visibility in Planview Portfolios ensures that all users can easily track progress, identify bottlenecks, and make informed decisions to optimize workflow efficiency. When discussing robust system performance, the system's robust performance in meeting our various work requirements effectively and efficiently stands out. It is very stable and reliable, contributing to a seamless user experience, which enables users to focus on their tasks without disruptions.

I also love the financial breakdown, planning and prioritization, and attribute collection on projects in Planview Portfolios.

Planview Portfolios has positively impacted my organization since I started using it. It has enabled me to gain insights into the full scope of work consuming resources. I am able to know where the resources are being consumed more, especially which resources are consuming the most. I have been able to leverage resources management and resource time reporting, which enabled the generation of $90 million in annual revenue through labor billing to customers.

What needs improvement?

User information and resource information in Planview Portfolios are separate. I wish automation worked better because, although some of the automation has been done in the user creation using UiPath, I do not find any necessary documentation for better understanding.

Additionally, there should be plenty of resources online, such as tutorials and videos on how to guide and how to use Planview Portfolios, especially with its robust features, explaining each feature and how it works. That would make the onboarding process smoother and easier.

Resource organizations have indicated that they are spending a significantly longer period of time doing their monthly nominations. Planview Portfolios has enabled me to have a better financial workflow, and I am able to make data-driven decisions easily. Additionally, I can utilize built-in collaboration features such as virtual whiteboarding, brainstorming, Kanban boards, and notifications to keep the team aligned. It also delivers a set of shared metrics focused on customer value, such as speed and quality, to achieve business results while being able to roll up objectives and key results in the system where work gets done to ensure strategy informs execution and vice versa.
