Vendr
Centralized vendor oversight has transformed contract negotiations and optimized renewal savings
What is our primary use case?
My main use case for Vendr is vendor management, and I'll share how we came to use Vendr because vendor management in our organization was becoming difficult to track. We lacked the sophistication to fully understand what terms we could request from our vendors, including clauses preventing auto-renewal. Vendr helped us establish a protocol of requests we now make for every vendor transaction. Vendr provides a workflow where we can track the negotiation process, store security and legal documentation including contracts, and track renewal dates. Previously, we occasionally had vendors with auto-renew clauses that would renew without our knowledge until after the fact. Because of Vendr's recommendations, we no longer accept contracts with auto-renew, and since Vendr is tracking and reminding us about renewal dates, we never miss the opportunity to negotiate contracts. Additionally, we have been able to take advantage of vendor dollars for some purchases, allowing a rebate of some of the money initially paid for the services.
Vendr has changed our contract negotiation process by providing a platform to track and store all information, especially when keeping track of vendors and their renewal dates, as renewals were becoming difficult to manage. The Vendr representative helped us navigate the procurement process and request all due diligence and other documentation for security and legal reviews. They store the contracts and track when vendors will renew. They also helped us define what we want from vendors and refined the internal workflow used to track the process.
Their support throughout the sales process was excellent for my main use case with Vendr. They genuinely want to understand what contract terms are important to us, not just price, and can use all the levers to get the contract to reflect not just the best price, but also the most favorable terms tailored to our needs.
How has it helped my organization?
Vendr has impacted my organization positively by keeping us aware of all upcoming renewals and having everything in one place, and they also assist with streamlining processes to check all of the boxes before we sign a contract. When they successfully secure a discount on contract negotiation, that is also a benefit. Ultimately, the real advantage to Vendr is using their platform as a source of truth and a tracker.
We made an average savings of 20% and also saved substantial money, approximately 80,000 per year.
Vendr helped us achieve approximately 20% savings by providing SaaS pricing benchmarks and supporting negotiations with software vendors, with the biggest difference coming during contract renewals when we could compare vendor quotes with market pricing and identify opportunities to negotiate lower rates.
What is most valuable?
The best features Vendr offers are variable insights into SaaS pricing and streamlined procurement processes, which have significantly saved time and reduced stress in my organization. I also appreciate that it has a very intuitive, user-friendly UI, which is very easy to customize and navigate, especially for new users, reducing the learning curve.
The variable insights into SaaS pricing have helped our team make better purchasing decisions by providing pricing insights, benchmarking vendor quotes, and identifying opportunities to negotiate better deals. For example, when renewing a software subscription, we can compare the quoted price against available market benchmarks and negotiate more favorable terms, helping control software spending. I also appreciate the user interface because it's very straightforward and has clear dashboards, easy navigation, and straightforward presentation of pricing data.
A feature worth highlighting in Vendr is its SaaS pricing intelligence and negotiation support, which helped my team benchmark vendor quotes, identify potential savings, and make more informed renewal decisions. I also appreciate having better visibility into software spending across vendors.
Vendr has a very solid approach to governance and security, particularly in managing our sensitive vendor contracts, pricing information, and procurement data. I also value the access controls and centralized data management because they help limit access to unauthorized users and improve visibility into purchasing decisions.
Vendr's AI capabilities are useful, especially for analyzing SaaS pricing, identifying potential savings, and supporting vendor negotiations, and I would rate the accuracy and reliability as good, provided the recommendations are based on current pricing data and verified contract information.
What needs improvement?
Vendr could be improved if they offered deeper integrations with procurement, finance, and contract management tools, which would be very helpful.
I would like Vendr to integrate more seamlessly with tools like NetSuite and Slack, as NetSuite integration would help us synchronize vendor costs and budgets with financial records, and Slack notifications would make it easier to track renewal deadlines and get approval updates without switching between platforms. One potential challenge with limited integration has been manually transferring procurement data between systems, creating duplicate work and increasing the risk of errors.
I would like Vendr to improve its reporting and analytics by providing more customizable dashboards, real-time SaaS spending insights, and clear comparisons of vendor pricing.
For how long have I used the solution?
I have been using Vendr for the past five years, even during my former employment.
What do I think about the stability of the solution?
Vendr has been a very stable platform for managing vendor contracts, renewals, and negotiations.
What do I think about the scalability of the solution?
Vendr has good scalability for my organization, especially when managing a growing number of SaaS vendors, contracts, and renewals.
How are customer service and support?
My experience with Vendr's customer support is that it was very helpful, especially during the early stages of learning how to use this platform, as they provided guidance and were very proactive throughout.
I would rate the customer support 9 out of 10.
Which solution did I use previously and why did I switch?
Before Vendr, we relied on spreadsheets to manage SaaS purchasing, track contracts, and handle procurement. These tools were useful, but pricing comparison and vendor negotiation often required more manual effort. We chose Vendr for its SaaS pricing benchmarks, specialized negotiation support, and centralized renewal management that helped us identify better pricing opportunities and make procurement decisions more efficiently than our previous platform.
How was the initial setup?
Deploying Vendr in my environment is surprisingly relatively easy because it is a cloud-based procurement platform and does not require extensive infrastructure setup.
My experience with the configuration process for Vendr is smooth and straightforward, with setting up user access, organizing vendor information, and aligning procurement workflows being manageable.
What was our ROI?
Vendr has delivered a very positive investment through SaaS contract savings and improved procurement efficiency, enabling us to save money through better negotiated rates and reducing unnecessary software spending, and we have also saved time with less effort spent on researching prices, negotiating contracts, and managing renewals, ultimately increasing productivity through the existing procurement team which handles purchasing activities more efficiently without necessarily adding staff.
What's my experience with pricing, setup cost, and licensing?
Vendr's metering and billing experience is generally straightforward because the platform focuses on SaaS procurement and contract management rather than usage-based cloud billing, and I appreciate the visibility into software contract costs, renewal dates, and potential savings, which helps with budgeting and spending oversight.
Pricing and setup costs for Vendr are reasonable considering its potential to reduce SaaS spending through vendor negotiation and pricing benchmarks.
Which other solutions did I evaluate?
We looked at tools like Tori and Zylo before choosing Vendr.
What other advice do I have?
I would rate Vendr 5 out of 5 because it has been an excellent platform.
I choose 5 out of 5 for Vendr because it provides valuable SaaS pricing benchmarks, supports vendor negotiation, and helps reduce software spending, with its procurement workflows being very useful. Despite needing improvements on integrations and customizable reporting, these enhancements would make it even easier to integrate.
I use AWS as my cloud provider.
Vendr integrates with our AWS environment mainly through broader procurement and financial workflows rather than extensive direct AWS service integrations, helping us manage SaaS purchasing and contract renewals, while AWS provides our cloud infrastructure.
Procurement process with Vendr is relatively easy and well organized, as the platform helps streamline vendor negotiation, compare SaaS pricing benchmarks, and manage contract renewals.
I recommend Vendr to organizations that manage multiple SaaS subscriptions and want to improve their procurement strategy, but it is also important to evaluate its integration with existing finance and procurement tools to avoid unnecessary manual work.
If public cloud, private cloud, or hybrid cloud, which cloud provider do you use?
Some positives, but not always successful at discount negotiations
Good for benchmarking SaaS tools
Saves Time and Money
The other advantage of Vendr is their organization of all Vendors in one location. From renewals to licensing details, they put all the information at your fingertips. No more spreadsheets or disorganized WIKI pages. The time savings is well worth the cost.
Their support throughout the sales process is excellent. They really want to understand what contract terms are important to you, not just price. They can use all the levers to get the contract to reflect not just the best price, but also the most favorable terms tailored to your needs.
