It compares every transaction against the terms you agreed to, including contracts, rate cards, purchase orders, policies, and billing rules, and reconciles invoices line by line. Your staff review only the exceptions: what broke, the dollars at risk, and the recommended fix. USE CASES

• Invoice Reconciliation and Automated Accounts Payable Validation (primary use case): Validates each invoice line for rates, quantities, pricing, and contract terms before payment is approved. Catches overbilling, pricing errors, and charges outside contract terms, and supports recovery of past overpayments.

• Human Resources Records Management: Reconciles personnel, time, and pay records against source systems, policies, and agreements, and flags records that are missing, conflicting, or out of policy before they affect payroll or reporting.

• Data Verification and Validation: Confirms that data moving between systems and documents is complete, consistent, and correct, including eligibility reviews, so decisions and payments rest on verified information.

• Document Data Redaction: Locates and redacts sensitive personal and financial information in documents before they are released, shared, or published.

• Automated Data Governance: Applies your data rules and policies continuously, flags records that break them, and documents each finding with supporting evidence for audit and oversight.

HOW IT WORKS
Hercules.ai is installed and runs inside your environment, on premises or in your own cloud, including your own Amazon Web Services account. Your data is not moved to a vendor hosted environment, and the solution operates within your existing security controls and authorization. Use cases are prebuilt rather than custom development, and are typically deployed and configured to your contracts, rules, and systems in 5 to 10 business days. Because Hercules.ai runs inside your environment rather than as a vendor hosted cloud service, it does not require a Federal Risk and Authorization Management Program authorization. Your organization authorizes it under its existing authorization boundary.

LICENSING AND PRICING
Each use case is licensed for 12 months with unlimited users. The annual license includes installation, integration, help desk support, and updates to validation logic when contracts, laws, or policies change. The list price is $500,000 per use case per year.
