Invantra is self-hosted invoicing software that lets teams create estimates, route them through approval, convert them to invoices, record payments, and print polished PDF documents from a web browser. This preconfigured AMI deploys Invantra with PostgreSQL 17 in Docker Compose, an Nginx reverse proxy, automatic SSL, and nightly database backups with optional copies to Amazon S3, giving small businesses, agencies, consultants, and finance teams a private, role-based billing workspace where all customer, invoice, and payment data stays on their own instance.

    Overview

Invantra is self-hosted invoicing software for creating estimates and invoices, approving them, recording payments, and printing professional PDF documents. This preconfigured Invantra AMI is built for small businesses, agencies, consultants, freelancers, and finance teams that want a simple, private billing tool with approvals and an audit trail. It launches on AWS in minutes, so you can skip manual installation and keep your customer and financial data on your own infrastructure.

Instant Deployment: Launch a fully configured Invantra server in minutes using a ready-to-use AMI and CloudFormation template, with PostgreSQL, an Nginx reverse proxy, and Let's Encrypt SSL set up for you. Each instance generates its own database password on first boot.

Estimates to Invoices: Write estimates, convert approved estimates into invoices with one step, and adjust terms, lines, and dates before saving. Line items are copied, so the two documents stay independent.

Approval Workflow and Activity History: Every estimate and invoice moves from draft to pending approval to approved, and only admins can approve or reject. Each document keeps an Activity tab showing who created, edited, submitted, approved, or reopened it, and when.

Payments and Balances: Record payments against approved invoices with payment mode, reference, bank charges, and up to five attachments such as remittance advice or bank slips. Balances update automatically and invoices are marked Paid when settled.

Print-Ready PDF Invoices: A dedicated A4 print view with repeating table headers, page numbers, and a "Yet to be Approved" watermark on unapproved documents. Save any document to PDF named by its document number.

Users and Roles: Admin, member, and viewer roles enforced on every request. Admins invite users with one-time links, issue password resets, and disable accounts without losing history.

Customers, Items, and Custom Numbering: Keep a customer list with per-customer currency, a catalogue of reusable line items, CSV import, flexible number formats such as INV-{seq}, line discounts, and named charges.

Dashboard: See outstanding amounts split into current and overdue per currency, estimates awaiting action, and recent changes at a glance.

Nightly Backups: A pg_dump runs every night and is kept for 14 days, with optional copies to your S3 bucket. All data, including the logo and payment attachments, lives in PostgreSQL, so one dump is a full backup.

    Dimensions summary

You pay by the hour for the EC2 instance that runs this self-hosted invoicing software. Each dimension maps to one AWS instance type, so your cost depends on the size and family you choose. The list spans burstable types (t2, t3, t3a), general-purpose families (m4, m5, m6, m7 and their variants), compute-focused families (c5, c6a), and memory-focused families (r5, r6). Within each family, larger sizes (medium, large, xlarge) carry higher hourly rates. The vendor recommends t3a.small as a baseline, with larger instances for more concurrent users. Billing runs hourly with no fixed term.

    Top-of-mind questions for buyers

Each hourly unit covers one running EC2 instance of the type you pick, with the pre-configured invoicing image installed. You run it in your own AWS account. The software charge meters running time. Underlying AWS compute, storage, and data transfer are billed separately by AWS.
The hourly software charge meters running time, so a stopped instance stops accruing that charge. Your customers, estimates, and invoices stay on the instance's volume and return when you start it. Note that AWS may still bill storage for the attached volume while stopped.
The vendor recommends t3a.small as a baseline. Choose a larger instance if many users work at the same time. To change size, you launch a new stack on the new instance type after backing up data. Your hourly rate then follows the new type.

Invantra Deployment with Self-Hosted Invoicing Platform

This deployment launches Invantra on a single EC2 instance using a CloudFormation template. The stack creates the instance with an Elastic IP, a security group, and an IAM role that allows Route53 DNS validation for Let's Encrypt SSL and optional database backups to your S3 bucket. On the instance, the Invantra 1.0.0 container and PostgreSQL 17 run with Docker Compose. The Node.js server provides both the API and the web application, and PostgreSQL stores users, customers, items, estimates, invoices, payments, attachments, and the activity history. Each instance generates its own database password on first boot. The application is available over HTTP on the instance IP straight away, and Nginx serves HTTPS on your domain once the certificate is issued. Let's Encrypt is attempted with the Route53 DNS challenge first and falls back to HTTP validation. A nightly pg_dump is kept on the instance for 14 days and copied to S3 when a bucket is provided. After the stack completes, open the application URL in a browser and sign in with the AdminEmail you entered. The initial password is the EC2 instance ID, shown as InitialAdminPassword in the stack Outputs, and you must choose a new password at first sign-in. Then enter your business details, logo, and number formats in Settings before creating estimates and invoices. This architecture provides a private, secure invoicing environment with simple management and backup workflows.

    CloudFormation Template (CFT)

AWS CloudFormation templates are JSON or YAML-formatted text files that simplify provisioning and management on AWS. The templates describe the service or application architecture you want to deploy, and AWS CloudFormation uses those templates to provision and configure the required services (such as Amazon EC2 instances or Amazon RDS DB instances). The deployed application and associated resources are called a "stack."

IAM Role is set up and configured with the necessary permissions to assume the role for the Invantra service. The IAM Policy is created and responsible for access Route53 and create Letsencrypt SSL certificates and backing up data to the S3 bucket.

Access the application via a browser at http://<your domain name> or http://<Public IPv4 address>. Sign in with the AdminEmail you entered. The first password is the EC2 instance ID, shown as InitialAdminPassword in the CloudFormation stack Outputs (for example i-0abc123...). You must choose a new password at first sign-in. The credentials are also saved on the instance in /root/invantra-credentials.txt. Product will try to create SSL certificate when its deploying, if domain hosted on route53. If the automatic SSL creation unsuccessful then you have to point domain name into server ip, ssh into server and run /root/certificate_generate_standalone.sh. Admin email using for SSL generation. A domain is optional; without one, open the DashboardUrlIp output.
