Apptio Costing is one of the best and a game changer in IT financial analysis tools. In my organization, I use it for annual budgeting, monthly forecasting, and capital project tracking. I also use Apptio Costing to manage IT spend requests.
Regarding my main use case, I use Apptio Costing for cost allocation, showback/chargeback, and TCO reporting.
What is most valuable?
The best features that Apptio Costing offers include data aggregation, flexibility, support communication, dynamic reporting, ease of use, and IT reporting.
Out of those features, planning, budget, and forecasting in Apptio Costing has made the biggest difference for my team, as it helps with annual budgeting, monthly forecasting, and capital project tracking.
Loading actuals from Oracle in Apptio Costing is great.
Apptio Costing has positively impacted my organization by improving forecast accuracy, streamlining the annual budgeting process and saving a lot of time, and capturing a record of Capex spend approvals has also been improved.
My team now works roughly 40 to 65% faster as a result of the time savings from Apptio Costing.

My advice to others looking into using Apptio Costing is that cost transparency and TCO for the product and platform model that I was unable to achieve previously has now been accomplished. Apptio Costing is a wonderful product for TBM implementation, which also needs a few enhancements to meet current industry standards.

My main use case for Apptio Costing is that we use Apptio One primarily for IT budgeting and forecasting. We use it for both departmental operating expenses and project financial reviews with IT leadership.
We budget, forecast, and monitor IT and tech digital spend. Apptio Costing allows us to monitor actual spending and provides reports based on our IT hierarchy.
What is most valuable?
The best features Apptio Costing offers include the ability to create different scenarios, the ability to connect with other systems to roll data, and an intuitive way of usage.
The features also include analytics, reporting, and the ability to incorporate changes and adjust reporting quickly and seamlessly. Apptio Costing has accelerated ad hoc analysis and reduced our forecasting cycle from forty-five days to thirty days.
What needs improvement?
Apptio Costing could be improved in calculating quantity versus entering the total amount. Additionally, addressing open IT tickets should be improved.

I have been using Apptio Costing for seven years.
What other advice do I have?
Apptio Costing is very easy to use and is a great tool for planning models for project budget and forecasting that is highly recommendable. It is an awesome tool for saving data information instead of using Excel spreadsheets. I would rate this product a nine out of ten.

My main use case for Apptio Costing involves using data from IT operational and financial systems to relatively quickly construct a flexible, actionable set of budget, cost, and operational models and reports that are expected to become even more accurate over time. Our visibility to near-real-time consumption and related cost of IT services is a powerful capability, presenting important opportunities for decision-making and performance improvement progress.
As IT becomes more and more integrated into business, Apptio Costing provides a valuable enterprise-level solution to companies, especially organizations with large IT expenditures that do not already have solid IT services costing, planning, and performance measuring capability in one place.
Uncovering even small amounts of savings and performance improvement opportunity is also part of my main use case.
What is most valuable?
Apptio Costing offers exceptional reporting features that are second to none, showing companies what data to collect and how to go about creating and collecting consistent data, providing visibility into the IT department unlike any other software, and always improving and getting better.
The reporting feature is second to none. The standard out-of-the-box reporting shows incredible insights and gives the information executives need to make the correct decisions easily.
Service costing is another valuable feature. If you have to buy any module, this will be it. Comprehensive bottom-up service cost analysis and reporting is excellent.
Apptio Costing has positively impacted my organization in every way. It has been beneficial to each and every customer, and its relatively quick implementation process saves time. The savings that are provided by finding unnecessary servers, expensive storage, or even phone bills that are not being utilized but paid for is incredible. Employees can make better decisions based on facts and not on assumptions about the unknown benefit of the IT department. Our IT department is now treated as an asset to the business and not just an expense. Our company can now make better technical investments and also increase productivity by a larger margin.
Specific outcomes and metrics include an improvement in productivity from 40 to 55 percent improvement. Cost reduction has been significant, where we have reduced cost from 45 to 25 percent.
What needs improvement?
Apptio Costing features are becoming easier to use, but there is constant progression like any other software.
The user interface should be more intuitive and user-friendly, especially for new learners to adapt more quickly.

The advice I would give to others looking into using Apptio Costing is that it is an essential tool for all corporate planning processes for IT and allows for bottom-up planning. It is also very easy to use for non-IT programmers and has high flexibility.
Budgeting and a user-friendly interface are also important features. The in-app documentation is helpful, and usability from an end-user perspective depends very much on the reports designed by the TBMS.

My main use case for Apptio Costing is planning and cost transparency. I use it for the IT budget for both direct and chargeback, and leverage it for reporting and forecasting IT expenses.
A quick, specific example of how I use Apptio Costing for reporting or forecasting IT expenses is that cost transparency enables visibility to the business on what costs they are incurring.
This visibility is important for my business because it works really well for IT budgeting direct expenses, and cost transparency could provide better reporting with details for all expenses.
What is most valuable?
Some of the best features Apptio Costing offers are dashboards, insights, TBM, a data model, the ability to evaluate spend, forecasting capabilities, granular modeling, and report building.
Out of those features, I find myself using reporting and forecasting the most day-to-day because it allows for the company to understand the impact of project spend on the overall IT projects to show value.
I would add that budget forecasting reports, data ingestion, and time series data are also important features.
Apptio Costing has impacted my organization positively because everything with Apptio Costing has been positive, and one thing is that it is very easy to use.
What needs improvement?
I think Apptio Costing could be improved, particularly the user interface.
The UI should be more user-friendly and intuitive, as drilling down into budget line items in planning takes time and multiple clicks.
I think there is room for improvement in Apptio Costing with creating custom report views.

A specific outcome or metric resulting from using Apptio Costing is that it has enabled a great relationship between IT, finance, and the business units, giving the business units and the SSUs much better visibility into what their technology costs are, making decisions behind tech investments easier with the budgeting tool Apptio Costing provides.

What other advice do I have?
My advice for others looking into using Apptio Costing is that it is easy to do the recharge we require, which was completely manual before Apptio Costing. Budget creation was in Excel with many issues and bugs, but now it has been streamlined by Apptio Costing, saving a lot of time and reducing error. It is a great tool for IT budgeting and cost transparency, so it is a highly recommendable tool.
Since we started using this tool, we have good reports to see the variances, and the tool has been great because there has been a lot of positive impact on delivering cost transparency or a sub-ledger to our tech spend.
I think Apptio Costing is a great tool for cost optimization as budgets are clear and business units are aware of costs. I am giving this review a rating of nine out of ten.
