IT Helpdesk & Asset Management on Ubuntu 24.04 LTS by ProvenCloud [IN]

     Info

    Deployed on AWS
This is a repackaged open source software product wherein additional charges apply for a secure, ready-to-use IT helpdesk and asset management server built on GLPI 12.0.0. Track tickets, IT assets, licences and contracts in one place, with automatic hardware inventory and unique passwords for every instance.

    Overview

This IT service management server is built on GLPI, an open source helpdesk and IT asset management application. IT teams use it to handle support tickets with SLAs, give users a self-service portal, keep a configuration database (CMDB) of computers, network devices, software, licences and contracts, and collect hardware and software inventory automatically from an agent. This image gives IT departments and managed service providers a working service desk in minutes, with the asset list already started.

What is included: GLPI 12.0.0 on Ubuntu 24.04 LTS, Apache 2.4 with PHP-FPM 8.3, MariaDB 11.4 LTS, the GLPI inventory agent 1.21 (which has already inventoried this server) and Webmin 2.670 for server administration. Files follow the GLPI security guide layout, the installer is removed, the inventory endpoint works out of the box with its own password, and the site address follows the instance's public IP. Security is on by default: the four demo accounts with published passwords are deleted, and no password or key ships in the image. On first boot every instance creates its own admin password, encryption key, OAuth keys, database password and inventory-agent password. MariaDB listens only on the server itself, and SSH accepts key-based login only.

What you get on top of the free software: a pre-built and tested image that is ready in minutes, a unique security setup for every server, simple scripts for changing passwords, regular image updates, and help by email whenever you need it. GLPI is open source software licensed under GPL-3.0. GLPI is a trademark of Teclib'. This image is an independent build by ProvenCloud.

    Highlights

    • Ready in minutes: launch the instance, open its public IP in your browser and sign in. The helpdesk, database, inventory agent and Webmin are already installed, and the server has already added itself to your asset list.
    • Secure by default: the default demo accounts are removed and no password ships in the image. Every instance creates its own admin password, encryption and API keys and database password on first boot. SSH is key-only.
    • Run IT support in one place: tickets with SLAs, a self-service portal, a CMDB of computers, software, licences and contracts, and automatic inventory from the agent installed on your machines.

    Dimensions summary

You pay by the hour for a prebuilt machine image, charged per EC2 instance type you choose. Each dimension maps to one instance type, billed hourly. The software charge stays the same regardless of instance; your EC2 compute and storage costs come separately on your AWS bill. Prices scale with the size and family of the instance you select, from small general-purpose types through compute, memory, storage, and accelerated families. A short free trial runs before hourly charges begin. Pick the instance that fits your workload; larger instances carry a higher hourly compute cost.

    Top-of-mind questions for buyers

The hourly charge covers the prebuilt machine image with the IT service desk and asset management software installed. Your EC2 compute and storage costs are billed separately by AWS on your usual cloud bill. There is no separate contract and no licence key to buy.
The software charge meters running instance-hours. A stopped instance does not accrue the hourly software charge. Stopped instances may still incur AWS storage fees for the attached volume, billed separately by AWS. The software fee applies only while the instance runs.
The hourly software charge is set per instance type you select. Larger instances carry a higher underlying EC2 compute cost, billed by AWS. The software stack and features stay the same across every instance type. The suggested starting type is t3a.small.

    Amazon Machine Image (AMI)

An AMI is a virtual image that provides the information required to launch an instance. Amazon EC2 (Elastic Compute Cloud) instances are virtual servers on which you can run your applications and workloads, offering varying combinations of CPU, memory, storage, and networking resources. You can launch as many instances from as many different AMIs as you need.

    Usage instructions

Once the instance is running, wait for the instance health checks to pass, then allow about three minutes for the first-boot setup to finish. Enter http://<instance-public-ip> into your browser. You will then see the service desk sign-in page, enter admin as username and your instance ID as password. You can access the Webmin page at port 8000, so your URL will be http://<instance-public-ip>:8000 and use admin as username and your instance ID as password. You can also access your instance via SSH using the username ubuntu and your Amazon private key.

The server has already inventoried itself, so your asset list is not empty on first sign-in. To inventory your other machines, install the inventory agent on them and point it at http://<instance-public-ip>/ with the agent username and password shown by sudo bash /home/ubuntu/iscripts/glpi_status.sh.

Required inbound ports: 22 (SSH), 80 (service desk and inventory) and 8000 (Webmin). For security, allow ports 22 and 8000 only from your own IP address.

Your instance ID is shown in the EC2 console, for example i-0123456789abcdef0. Allow about three minutes after launch for the first-boot setup to finish before you sign in. Every instance sets its own passwords on first boot, so no two instances share a password.

Change your passwords after the first sign-in: connect over SSH and run sudo bash /home/ubuntu/iscripts/pass_glpi.sh for the service desk or pass_webmin.sh for Webmin, from the same folder.

The image serves plain HTTP so it works on a bare IP address. Before using it in production, add your own domain and an SSL certificate, or place it behind a load balancer with HTTPS.
