OnArrival pricing has two parts that work together. You pay an annual license fee to access the software for the contract term. You also pay a per registrant fee, which scales with the number of attendees you check in. The per registrant charge grows as your event volume rises, while the license fee stays fixed for the year. This structure covers onsite check-in, on-demand badge printing, and attendance tracking across events of different sizes.
Top-of-mind questions for buyers
What counts as one registrant for the per registrant fee?
A registrant is each attendee record processed through OnArrival at your event. This covers people you check in, including walk-ins added onsite. Each individual counted through the system contributes to the per registrant charge, so the fee scales with your total checked-in attendee volume across events.
How do the annual license fee and per registrant fee combine on my bill?
The two charges bill together. The annual license fee is fixed for the contract term and gives you access to the software. The per registrant fee adds on top, based on how many attendees you check in. For high-attendance events, the per registrant portion tends to drive most of the cost.
Does adding walk-in registrations or last-minute attendees onsite increase what I pay?
Yes. Staff can register and check in walk-in attendees directly onsite, and each new attendee processed counts toward the per registrant fee. The annual license fee stays fixed regardless. So onsite additions raise the per registrant portion but do not change the license charge.
