    What is our primary use case?

    My main use case for Hyland OnBase  is implementing it as both a simple and complex document management system across many different market segments for the sole purpose of making scanned and virtual documents easily searchable and accessible. The workflow capabilities of the product, as well as the Unity web interface and the ability to seamlessly tie into most third-party applications to allow easy associated information lookups within Hyland OnBase , led to a very dynamic and game-changing product compared to how my organization was previously managing their information.

    A specific example of how I have used Hyland OnBase for document management or workflow in my organization is the amazing integration with third-party applications. Being able to get documents and information through email, folder importing, mainframe screens, other applications, and XML/CSV streams was simple, powerful, and effective.

    Regarding my main use case, it is very simple, effective, and it just works when it comes to content management systems. We rely on static folder structures for storing information or Excel access tables, which can easily become a mess. With Hyland OnBase, every document is unique, and access can be restricted and audited depending on user permission. It allows for a company to take control of their information and be more productive.

    What is most valuable?

    The best features Hyland OnBase offers include a powerful admin interface. The Unity application is a work in progress, and Hyland OnBase also has document storage, basic workflow activities, and Hyland OnBase security is top-notch.

    Great support channels for resolving application issues is something I would add about the features, along with support for a wide variety of files that can be stored within the product. It is also easy to query the database to pull reports on usage.

    Hyland OnBase has positively impacted my organization because we use the system internally to our departments, but it also helps the system by filling out web forms that help us gather information from our employees quickly and more effectively than through email or paper methods. It is also very beneficial because we are able to reduce our paper costs by collecting documents electronically and keeping them electronically through the life cycle of that document. We have increased visibility into where our bottlenecks are for processing documents. It has become easier to identify inefficient processes and pinpoint how to leverage the product to reduce the time and effort needed to process that document.

    We can easily retrieve documents that need to be stored long-term, enabling us to reduce our paper by collecting documents electronically and keeping them electronically throughout the life cycle of that document. This has reduced the cost by fifty percent. We have increased visibility into where our bottlenecks are coming from, especially which processes are processing documents.

    What needs improvement?

    Hyland OnBase can be improved because Report Services is an additional license and should be included with the base product. The reason I take off that one point is that sometimes Report Services is an additional license, and that means extra cost.

    I have been working in my current field for six years and two months.

    What do I think about the stability of the solution?

    Hyland OnBase is very stable and I have not experienced any downtime.

    What do I think about the scalability of the solution?

    Hyland OnBase is very scalable because it can handle my organization's growth effectively.

    The customer support for Hyland OnBase is fast and very responsive.

    Which solution did I use previously and why did I switch?

    I previously used a different solution which was Microsoft Azure  and Document Vantage  on Demand.

    I have seen a great return on investment with Hyland OnBase. We have been able to reduce staff by not needing temps and have achieved a great reduction of space due to not using file cabinets. It is nice to have instant images without getting up and looking for things.

    What's my experience with pricing, setup cost, and licensing?

    My experience with pricing, setup cost, and licensing is that the price is relatively affordable, but as I mentioned, Report Services is an additional license. That means when I want to use Report Services, I prefer to pay more additional cost for using Report Services.

    Which other solutions did I evaluate?

    Before choosing Hyland OnBase, I evaluated other options such as Salesforce .com.

    What other advice do I have?

    My advice for others looking into using Hyland OnBase is that it is more efficient, fast, and easy, making it a great business process management and workflow tool to manage the API. My organizational business areas are able to automate what was once manual tasks by leveraging the ability to define workflows that are congruent to internal business processes. Hence I am able to save a lot of time and cost. I would rate Hyland OnBase a nine out of ten.

    What is our primary use case?

    Hyland OnBase  is used by a vast majority of our departments, mainly on the business side, and it helps to address several needs of ours including electronic document storage, document conversion from physical paper to electronic, automation in business workflows, data capture, reporting, and document processing speed.

    My team uses Hyland OnBase  day-to-day in document storage workflows and scanning and indexing documents. A specific case in which it was very useful involved a department that had a large amount of physical files that they wanted to transition over to be stored digitally. There were five different types of documents that each had their own cover sheet, and we were able to build scan queues as well as an automated workflow that utilized the advanced capture module of Hyland OnBase that detected specific areas of the different cover sheets to automatically index the documents and enter several keywords. This process was made much more streamlined and efficient with the different capabilities of Hyland OnBase.

    What is most valuable?

    Hyland OnBase offers the ability to be customized to fit a wide range of needs through different modules, and you can build complex workflows without needing an excessive amount of custom code. It offers users several different applications that allow access to Hyland OnBase.

    The mobile access is very intuitive and user-friendly, especially when using it on the go, which is very seamless. Hyland OnBase integrates well with Microsoft applications including the entire Office suite.

    Hyland OnBase has positively impacted my organization by improving claims payment time by 82% for emergency room claims, and since additions can be made to our Hyland OnBase process, the return on investment can grow with each addition of a new process. Hyland OnBase has replaced more than 10 other applications, thereby minimizing our overall application footprint.

    What needs improvement?

    Hyland OnBase can be improved by reducing the many different applications that need to be used when being an administrator for this product.

    The process of first implementing Hyland OnBase can take a longer time than initially expected.

    I have been using Hyland OnBase for about six years.

    What other advice do I have?

    Hyland OnBase is an excellent tool as a content management system with workflows, functionality, and integration between applications being seamless. The mobile components are excellent, especially when used in conjunction with location through the ESRI integration, although records retention could use some work to be polished. Overall, Hyland OnBase is an excellent content management system.

    Hyland OnBase is used in all of our departments, so it is suited for anyone who is looking to improve their return on investment and automation of tasks. I have given this review a rating of 9.

    What is our primary use case?

    My main use case for Hyland OnBase  is case management, document management, automating business processes using workflow, and forms. Hyland OnBase  allows us to automate our business processes and to reduce manual processes, processing, and errors. It has been a huge time-saver and makes finding and managing our data very easy.

    What is most valuable?

    Hyland OnBase is a great tool for document storage and retrieval, automating business processes using workflow, and building applications in WorkView. It saves a lot of time, reduces human errors, and is very cost-effective. Hyland OnBase has drastically improved our business processes and made everyone's jobs easier.

    Hyland OnBase is a fantastic system that does a lot for my organization. We use it for indexing and storing documents as the main reason we use Hyland OnBase, but it also has many features that we use every day. Workflows are the most common way that our employees interact with Hyland OnBase. We also ingest thousands of documents every day, and with our continued rate of growth, we do not see Hyland OnBase having any trouble handling the added traffic. It is very scalable.

    The best features Hyland OnBase offers include workflows, document retention and security, document ingesting and indexing, and document retrieval and storage. The user-friendly interface makes it very easy to use and provides a smooth learning curve for new users. Workflow is used to quickly and easily configure and improve business processes. We also have automation through workflow, which saves time and cost.

    Reporting  dashboards allow us to create useful reports to keep personnel informed, making data-driven decisions easier. While we have grown a lot over the past five years, Hyland OnBase has allowed us to maintain our existing workflows rather than hiring additional employees, requiring fewer employees thanks to Hyland OnBase. Since Hyland OnBase is our central repository for all documents, our documents are more secure, allow greater work flexibility, especially for remote work, are more easily accessible, and are smarter. It has changed the way we as a company work. Through workflow automation, we have been able to save a lot of time, with forty to fifty-five percent of time being saved currently.

    What needs improvement?

    For my case, there should be a cleaner, easy-to-use change management and migration tool, which would be great.

    I have been working in my current field for about seven years and one month.

    How are customer service and support?

    Hyland OnBase is an outstanding tool that is very cost-effective and very easy to use, and it has a very responsive and helpful support team. It serves well as a repository for business documents. It is also very safe. Additionally, it does well in creating solutions when other software products fall short. It is a highly recommendable tool.

    What is our primary use case?

    Hyland OnBase  is used across the entirety of the organization in a variety of different ways, and its primary use is as a document storage solution that is used in conjunction with other systems such as our primary EMR, Epic. Along with storage and integration, workflow processing is a major tool used by the organization for all of its departments.

    For an example of how my team or department uses Hyland OnBase  in our daily work, accounts payable uses it for processing and finalizing payments, and Hyland OnBase is also used for its mass import capabilities such as DIP, COLD, Mailbox Importer, and EDI , especially by outbilling areas to quickly bring in needed documents for the workflows.

    Another major use of Hyland OnBase by our organization is that it has found more and more use in new departments to ease workflow, cut down on time, and reduce paper use.

    What is most valuable?

    The best features Hyland OnBase offers in my experience include being a robust storage solution that integrates well with the Epic solution, allows Unity Forms to be easy to create and use, and has Distribution Services for sending email notifications as reminders.

    Out of those features, the workflow engine has made the biggest difference for me because it is excellent for automating approval processes, and we use Hyland OnBase for legal requests, hardware requests, travel requests, corporate credit card requests, and file transfer requests.

    WorkView is an incredible module for gathering and displaying summary information, and we utilize it highly in our subsidiary to manage our legal contracts, their financial billing process, and their travel. We also use the Document Import Process coupled with Unity API for writing custom code to automate processes to send and receive data from other systems that are not yet API enabled.

    The impact of Hyland OnBase on our organization is that automating manual processes has had an incredible effect on our return on investment, and the man-hours saved by automating processes pays for the system, ranging from one to five hours.

    I measured the man-hours saved through the tracking of workflows and automation processes.

    Additionally, Hyland OnBase has allowed us to move away from moving paper around various departments, providing workflow management to keep approval inside the system and out of the email boxes, eliminating the need for paper storage, and saving storage costs with other vendors.

    What needs improvement?

    Hyland OnBase could be improved in terms of service support response time.

    More timely updates to solution software support documentation also should be improved.

    I have been using Hyland OnBase for five years and a few months.

It has made same-day processing of all incoming and outgoing documents a reality.

    My advice to others looking into using Hyland OnBase is that it is a highly recommendable tool because it has the ability to ingest documents through multiple methods such as scanning, email, DIP, and web services. It also helps organize and store documents in secure storage with encryption and user role-based access controls, along with the ability to securely deliver documents to internal and external customers.

    Hyland OnBase is a great product with a lot of features and flexibility for customization to implement various business needs, making external integration with various business systems easy. Overall, it is a robust solution that can support the demanding usage needs for multiple departments and is very stable, secure, and has been a reliable and easy, scalable solution for our organization.

    I found this interview to be well done but suggest trying to be a little faster. I gave this review a rating of 9 out of 10.

    What is our primary use case?

    I was a vendor managing Hyland OnBase  for Hyland, not as a direct user but as a business partner. We managed the solution and were a partner with Hyland.

    What is most valuable?

    Hyland OnBase  is valued for its security, especially for those in the finance domain who require data confidentiality. Furthermore, the solution offers a variety of integrations with other tools, such as Epic in the UK. This integration ensures seamless data access and management. Lastly, Hyland OnBase is available in a desktop version, a cloud version preferred by healthcare teams due to public data requirement, and a mobile version which is akin to healthcare applications like Practo in India. It is widely used in healthcare due to these facets.

    What needs improvement?

    I believe the reporting features need improvement, as other competitors in the market provide better analytics. Hyland is working on a new platform (HXP) to integrate features from all products, addressing some concerns. Additionally, there could be more integration points with products Hyland has acquired, such as Alfresco  and Nuxeo . Offering a trial version with basic features would allow users to experience the product before purchasing. I find OnBase's monolithic architecture to be expensive, and adopting microservices could be beneficial.

    I worked with it last year until approximately March 2024.

    I find Hyland OnBase to be a stable product. I would rate it eight out of ten.

    While I believe scalability is achievable due to integration possibilities, it comes at a high cost due to the extensive setup currently required. Transitioning to cloud-based services may reduce these costs in the future.

    I find technical support from Hyland to be good. I would rate it eight out of ten.

    How was the initial setup?

    I found the initial setup to be complex. A trial version with a simpler setup could be beneficial, similar to how games offer a level to try before fully installing.

    I find pricing to be on the higher side due to its monolithic architecture. I would rate it six out of ten. Transitioning to microservices, allowing users to pay for only what they use, could reduce costs.

    What other advice do I have?

    Currently, I find OnBase's architecture adds to the cost, and the setup process is expensive and complex. Additionally, its advantages lie in its security and integration capabilities, although more integration points are needed to incorporate Hyland's acquired products without loss. I would rate the overall solution six out of ten.
