Digital workflows have transformed document processing and have improved claims handling efficiency

What is our primary use case?

Hyland OnBase is used by a vast majority of our departments, mainly on the business side, and it helps to address several needs of ours including electronic document storage, document conversion from physical paper to electronic, automation in business workflows, data capture, reporting, and document processing speed.

My team uses Hyland OnBase day-to-day in document storage workflows and scanning and indexing documents. A specific case in which it was very useful involved a department that had a large amount of physical files that they wanted to transition over to be stored digitally. There were five different types of documents that each had their own cover sheet, and we were able to build scan queues as well as an automated workflow that utilized the advanced capture module of Hyland OnBase that detected specific areas of the different cover sheets to automatically index the documents and enter several keywords. This process was made much more streamlined and efficient with the different capabilities of Hyland OnBase.

What is most valuable?

Hyland OnBase offers the ability to be customized to fit a wide range of needs through different modules, and you can build complex workflows without needing an excessive amount of custom code. It offers users several different applications that allow access to Hyland OnBase.

The mobile access is very intuitive and user-friendly, especially when using it on the go, which is very seamless. Hyland OnBase integrates well with Microsoft applications including the entire Office suite.

Hyland OnBase has positively impacted my organization by improving claims payment time by 82% for emergency room claims, and since additions can be made to our Hyland OnBase process, the return on investment can grow with each addition of a new process. Hyland OnBase has replaced more than 10 other applications, thereby minimizing our overall application footprint.

What needs improvement?

Hyland OnBase can be improved by reducing the many different applications that need to be used when being an administrator for this product.

The process of first implementing Hyland OnBase can take a longer time than initially expected.

For how long have I used the solution?

I have been using Hyland OnBase for about six years.

What other advice do I have?

Hyland OnBase is an excellent tool as a content management system with workflows, functionality, and integration between applications being seamless. The mobile components are excellent, especially when used in conjunction with location through the ESRI integration, although records retention could use some work to be polished. Overall, Hyland OnBase is an excellent content management system.

Hyland OnBase is used in all of our departments, so it is suited for anyone who is looking to improve their return on investment and automation of tasks. I have given this review a rating of 9.

What is our primary use case?

My main use case for Hyland OnBase is case management, document management, automating business processes using workflow, and forms. Hyland OnBase allows us to automate our business processes and to reduce manual processes, processing, and errors. It has been a huge time-saver and makes finding and managing our data very easy.

What is most valuable?

Hyland OnBase is a great tool for document storage and retrieval, automating business processes using workflow, and building applications in WorkView. It saves a lot of time, reduces human errors, and is very cost-effective. Hyland OnBase has drastically improved our business processes and made everyone's jobs easier.

Hyland OnBase is a fantastic system that does a lot for my organization. We use it for indexing and storing documents as the main reason we use Hyland OnBase, but it also has many features that we use every day. Workflows are the most common way that our employees interact with Hyland OnBase. We also ingest thousands of documents every day, and with our continued rate of growth, we do not see Hyland OnBase having any trouble handling the added traffic. It is very scalable.

The best features Hyland OnBase offers include workflows, document retention and security, document ingesting and indexing, and document retrieval and storage. The user-friendly interface makes it very easy to use and provides a smooth learning curve for new users. Workflow is used to quickly and easily configure and improve business processes. We also have automation through workflow, which saves time and cost.

Reporting dashboards allow us to create useful reports to keep personnel informed, making data-driven decisions easier. While we have grown a lot over the past five years, Hyland OnBase has allowed us to maintain our existing workflows rather than hiring additional employees, requiring fewer employees thanks to Hyland OnBase. Since Hyland OnBase is our central repository for all documents, our documents are more secure, allow greater work flexibility, especially for remote work, are more easily accessible, and are smarter. It has changed the way we as a company work. Through workflow automation, we have been able to save a lot of time, with forty to fifty-five percent of time being saved currently.

What needs improvement?

For my case, there should be a cleaner, easy-to-use change management and migration tool, which would be great.

For how long have I used the solution?

I have been working in my current field for about seven years and one month.

How are customer service and support?

Hyland OnBase is an outstanding tool that is very cost-effective and very easy to use, and it has a very responsive and helpful support team. It serves well as a repository for business documents. It is also very safe. Additionally, it does well in creating solutions when other software products fall short. It is a highly recommendable tool.

What other advice do I have?

Unity Forms allows us to quickly create business forms that feed workflows. Our requests are processed much quicker and accurately because the information is routed immediately to the proper personnel to work.

What is our primary use case?

Hyland OnBase is used across the entirety of the organization in a variety of different ways, and its primary use is as a document storage solution that is used in conjunction with other systems such as our primary EMR, Epic. Along with storage and integration, workflow processing is a major tool used by the organization for all of its departments.

For an example of how my team or department uses Hyland OnBase in our daily work, accounts payable uses it for processing and finalizing payments, and Hyland OnBase is also used for its mass import capabilities such as DIP, COLD, Mailbox Importer, and EDI, especially by outbilling areas to quickly bring in needed documents for the workflows.

Another major use of Hyland OnBase by our organization is that it has found more and more use in new departments to ease workflow, cut down on time, and reduce paper use.

What is most valuable?

The best features Hyland OnBase offers in my experience include being a robust storage solution that integrates well with the Epic solution, allows Unity Forms to be easy to create and use, and has Distribution Services for sending email notifications as reminders.

Out of those features, the workflow engine has made the biggest difference for me because it is excellent for automating approval processes, and we use Hyland OnBase for legal requests, hardware requests, travel requests, corporate credit card requests, and file transfer requests.

WorkView is an incredible module for gathering and displaying summary information, and we utilize it highly in our subsidiary to manage our legal contracts, their financial billing process, and their travel. We also use the Document Import Process coupled with Unity API for writing custom code to automate processes to send and receive data from other systems that are not yet API enabled.

The impact of Hyland OnBase on our organization is that automating manual processes has had an incredible effect on our return on investment, and the man-hours saved by automating processes pays for the system, ranging from one to five hours.

I measured the man-hours saved through the tracking of workflows and automation processes.

Additionally, Hyland OnBase has allowed us to move away from moving paper around various departments, providing workflow management to keep approval inside the system and out of the email boxes, eliminating the need for paper storage, and saving storage costs with other vendors.

What needs improvement?

Hyland OnBase could be improved in terms of service support response time.

More timely updates to solution software support documentation also should be improved.

I have been using Hyland OnBase for five years and a few months.

Hyland OnBase is very stable, with no downtime noticed.

It has made same-day processing of all incoming and outgoing documents a reality.

My experience with pricing, setup cost, and licensing is that it is very cost-effective and affordable.

What other advice do I have?

My advice to others looking into using Hyland OnBase is that it is a highly recommendable tool because it has the ability to ingest documents through multiple methods such as scanning, email, DIP, and web services. It also helps organize and store documents in secure storage with encryption and user role-based access controls, along with the ability to securely deliver documents to internal and external customers.

Hyland OnBase is a great product with a lot of features and flexibility for customization to implement various business needs, making external integration with various business systems easy. Overall, it is a robust solution that can support the demanding usage needs for multiple departments and is very stable, secure, and has been a reliable and easy, scalable solution for our organization.

I found this interview to be well done but suggest trying to be a little faster. I gave this review a rating of 9 out of 10.

What is our primary use case?

I was a vendor managing Hyland OnBase for Hyland, not as a direct user but as a business partner. We managed the solution and were a partner with Hyland.

What is most valuable?

Hyland OnBase is valued for its security, especially for those in the finance domain who require data confidentiality. Furthermore, the solution offers a variety of integrations with other tools, such as Epic in the UK. This integration ensures seamless data access and management. Lastly, Hyland OnBase is available in a desktop version, a cloud version preferred by healthcare teams due to public data requirement, and a mobile version which is akin to healthcare applications like Practo in India. It is widely used in healthcare due to these facets.

What needs improvement?

I believe the reporting features need improvement, as other competitors in the market provide better analytics. Hyland is working on a new platform (HXP) to integrate features from all products, addressing some concerns. Additionally, there could be more integration points with products Hyland has acquired, such as Alfresco and Nuxeo. Offering a trial version with basic features would allow users to experience the product before purchasing. I find OnBase's monolithic architecture to be expensive, and adopting microservices could be beneficial.

I worked with it last year until approximately March 2024.

What do I think about the stability of the solution?

I find Hyland OnBase to be a stable product. I would rate it eight out of ten.

I find pricing to be on the higher side due to its monolithic architecture. I would rate it six out of ten. Transitioning to microservices, allowing users to pay for only what they use, could reduce costs.

What other advice do I have?

Currently, I find OnBase's architecture adds to the cost, and the setup process is expensive and complex. Additionally, its advantages lie in its security and integration capabilities, although more integration points are needed to incorporate Hyland's acquired products without loss. I would rate the overall solution six out of ten.

Streamlined document processes with robust security yet potential for broader integration

What is our primary use case?

Hyland OnBase was used as our primary document and image repository, and we extensively utilized the workflow module within it. It was used to store all of our customer documents, system-generated reports, operational items we needed, and check images. We built out a workflow module, including one specific for accounts payable.

How has it helped my organization?

Integrating Hyland OnBase with our systems enabled us to automate document designs and templates, which was extremely helpful in the finance and banking industry.

The application allowed integration of front-end customer onboarding processes to create, route, ingest documents, and route them for approval within the application, enhancing audit traceability.

What is most valuable?

Hyland OnBase offered robust system features ranging from configuring indexing fields to building auto-import routines for regular file imports.

It provided data security features, allowing restrictions on sensitive documents, such as who could view or modify them.

The user interface was intuitive, and the product integrated well with other applications like Outlook and Salesforce, enabling easy document indexing and access.

What needs improvement?

We found the size of images to be a restriction, though this may have been due to the API used rather than the Hyland application. The application could potentially be more open-source, allowing integration with more solutions.

For how long have I used the solution?

I used Hyland OnBase for approximately eight years, starting around 2015.

Hyland OnBase was a stable solution that worked effectively for us, providing traceability and data security.

We had an enterprise license, which allowed unlimited users and a number of workflow licenses. We never crossed the threshold of workflow licenses, as the workflow was executed via system licenses, not directly through user licensing.

We primarily worked with Fiserv for technical support and not directly with Hyland. The Fiserv team was helpful, although instances existed where their database was tricky to manage.

Our vendor relationship facilitated integration with our system and offered additional service beyond the Hyland OnBase product.

As we had an enterprise license, we were not limited in terms of user access. We also paid for workflow licenses, which allowed up to 250 concurrent users.

Alfresco was an alternative used within the organization, but I only engaged with it as a generic user.

What other advice do I have?

Hyland OnBase appeared more robust compared to Alfresco, but this perception might be influenced by deployment and configuration differences. Users appreciated the user interface and extensive integration capabilities.

An enterprise document storage utility with flexibility and easy deployment

What is our primary use case?

It's the enterprise document storage utility, handling everything from member statements to reports and checks written against member accounts.

What is most valuable?

Its most valuable aspect is its flexibility. You can apply any keyword to search for anything within a document. This flexibility is also its biggest drawback: If you overuse the number of keywords, you can run into performance issues.

What needs improvement?

Software malfunctioning usually occurs when we receive documents from external sources. The incidents are related to the source not providing the correct accompanying metadata or keywords, which then requires manual adjustments.

For how long have I used the solution?

I have been using Hyland OnBase for a year.

What do I think about the scalability of the solution?

Eight people are using this solution. We have over a billion documents in our repository, it scales pretty well.

How are customer service and support?

We wanted to implement a stored procedure against their database instead of using their internal or provided APIs. To get permission, you have to go through an entire legal process.

They bear some liability if a document gets lost, destroyed, or leaked, so they don't want to give customers unrestricted access to write anything against their database. Even after we demonstrated the performance issues, they kept suggesting alternatives. They agreed only after we proved that their APIs couldn't deliver the performance we needed. We had to go through a legal negotiation to amend the contract to allow the stored procedure.

How was the initial setup?

They provide a SOAP-based API, which has been difficult to integrate with our MuleSoft Service Bus. We're considering moving to their more modern REST API, which has better security hooks that we can leverage more effectively with MuleSoft.

A typical system deployment can happen overnight. We don't have an automated pipeline for the application; everything is done manually. If it's strictly an update to the configuration, and barring testing, it's an overnight process.

Everyone involved in development, configuration, business analysis, and management is part of one team. A separate team of about four people is responsible for administration tasks such as patching the servers and installing the updates developed by the development group.

What other advice do I have?

The product does what you need to do if you have a regulatory need to retain a document for X number of months or X number of years. It allows you to set that expiration date, and once it hits that retention period, assuming you put one, it will handle the removal. For example, financial institutions must keep checks and images on hand for two years. After two years, checks older than that are automatically removed from the database and the repository.

They have AI offerings, but we have not yet investigated them.

Overall, I rate the solution a nine out of ten.

What is our primary use case?

I am an IT personnel. We are supporting the tool. I am working for an IT firm here, and we are supporting a client.

What is most valuable?

The solution's most valuable characteristics are its features, mostly those used by its client, like workflows, some advanced capture stuff, dashboards, and reports.

What needs improvement?

The migration is a bit difficult in the tool. Whenever we make certain changes to workflow or other stuff, migrating the code from one environment to another is a bit tedious. The tool has an option for export and import, which is not robust. Most of the time, we need to do things stuff manually. For example, if we make any changes in the existing life cycle or any queues, we have to move those changes manually. There is no robust way to migrate code from one environment to a lower environment, like prod.

When it comes to the product's technical support, the turnaround time is a bit longer than expected. The issue may be because there are a number of issues or a large number of customers who are reaching out to the support team for help. I believe that the solution's technical team can provide a solution more quickly.

For how long have I used the solution?

I have been using Hyland OnBase for ten years.

How are customer service and support?

Whenever we have something or need assistance from a tool that is beyond our reach, like there are certain limitations, querying databases, or maybe any critical issues, we definitely reach out the solution's technical support team. I think my company is satisfied with the support of the product. I rate the technical support an eight out of ten.

Which solution did I use previously and why did I switch?

I have experience with OpenText Documentum. Architecture and technology-wise, OpenText Documentum and Hyland OnBase are completely different. OpenText Documentum is more of a Java-based tool. Hyland OnBase has a .NET framework. Our client used OpenText Documentum for the manufacturing domain. They use the tool to maintain content related to the user guides, installation guides, and the images of the appliances, all this stuff. I am not sure how good OpenText Documentum is for the insurance domain, but it is good for manufacturing. Hyland OnBase has an expensive licensing model. What I feel is OpenText Documentum is more expensive than maintaining Hyland OnBase.

How was the initial setup?

The product's initial setup phase is not difficult. I have managed three upgrades, so I can do everything individually with the tool. The upgrades were for the services used by clients.

My company takes care of the product's deployment phase in a sequence, though not always. Initially, maybe the first step would be the database of Hyland OnBase, followed by the services according to end-user clients. Applications and web clients are involved in the deployment, So it has a sequence, and it will take maybe six months. We need to do testing, starting from lower enrollments and all those things.

What was our ROI?

The product is insurance domain-friendly in nature. The tool is being used in domains other than insurance. What I feel is that the tool is more of an insurance domain-friendly tool. I think it benefits the insurance industry a lot in terms of security, maintaining the content, and using the workflows.

What other advice do I have?

It is being integrated with Guidewire. Some other person did the Guidewire and Hyland OnBase integration, so it was in place, but we maintain stuff and support the integration.

I haven't explored any AI features in the tool. I think the tool has recently implemented a lot of changes with the cloud and is introducing new features as well, but I need to explore them.

I can recommend the tool to others. Once the setup of the tool is done for an organization, one has to look into more of the configuration part. They don't have to go for much complex customizations. If they are ready to spend time on the cloud-based maintenance of the servers, everything will be managed by Hyland, and the users won't have to take care of many such areas. If the users want to be secured and be within their network, they can go with the existing Windows-based servers, where they need to maintain the servers and databases.

With the features and advanced capture functionality, along with the content management stuff, I rate the tool a seven out of ten.

What is our primary use case?

We are a financial institution and we keep all of our member documents on Hyland OnBase. We keep statements, photo IDs, core system reports, etc. It also has a link to DocuSign where it automatically downloads DocuSign documents.

What is most valuable?

The solution is very developed and we are not taking full advantage of its functionalities.

What needs improvement?

We need to troubleshoot why our reports didn't get downloaded in a day. There is a workflow feature which powerful but also complicated.

For how long have I used the solution?

I have been working with the solution for a year and a half.

How are customer service and support?

Hyland OnBase's support is good but you need to pay extra for premium support. It can be cumbersome to track the right person.

The tool's price is high.

What other advice do I have?

I would rate Hyland OnBase an eight out of ten. It can do everything that is required. The tool is a powerful system that can serve any organization. The tradeoff is cost and complexity.

You need to train multiple people because it is a complicated system. We had one person who was trained to use the system and once he left us, we were in a fix. So I would suggest having at least two to three people that are fully trained to use and administer the system.
