Centralized workspace has improved research collaboration and supports recorded, AI-summarized meetings
What is our primary use case?
Zoom Workplace Business is primarily used for weekly meetings and recording meetings. A few weeks ago, we had a meeting with external researchers from another university, and Zoom Workplace Business proved especially helpful because we engaged in extensive discussion regarding several topics. Since all of us were engaged in the discussion, we were not taking notes, so it was very helpful to know that meetings were being recorded and we would receive those notes afterwards. We actually received those notes and they really helped us collaborate with other researchers because we did not have to manage these meeting notes ourselves.
Zoom Workplace Business is used for recording meetings and we connected it with our calendar to schedule meetings and to see the availability of different members.
What is most valuable?
Zoom Workplace Business offers the best features because we do not have to use different tools for different tasks, such as scheduling meetings, chatting with people in our workspace, and keeping track of all research documents in one place so that people can easily review them. Meeting recordings are a significant advantage, making it one single place where we can do all these things.
The features I rely on the most in my day-to-day work are meeting recordings and AI summary. Some of the basic features we use include tracking all documents and research documents. We can use different connectors with Zoom Workplace Business to connect different applications, such as Google Calendar, which is very helpful for us.
Zoom Workplace Business has positively impacted our organization because we started experiencing more seamless collaboration with other university researchers and even industry companies such as Google. We had meetings with them, and it definitely helped us collaborate with them because all of us have a single space where we can keep track of things such as meeting recordings or documents, whatever we are sharing. It is a single space where we all can collaborate.
What needs improvement?
Zoom Workplace Business can be improved in several ways. I think they can improve their AI so that it can give us options for what we want from the meetings, such as a to-do list. Sometimes we have to give the summary generated by AI to a different AI to get exactly the things which we want. Also, sometimes we have to give the recording itself or the transcription itself to a different AI to get the things that we want. If it is possible to improve the AI to generate better meeting summaries, to-dos, and also information about which member was talking at what point in time, and who assigned these things to me and to a different person, this would be helpful.
I think Zoom Workplace Business could arrange these improvements in a document or perhaps an Excel sheet about responsibilities given to and by which person, to whom, which would be very easy to understand.

I have been working in my current field for almost two years.
What do I think about the stability of the solution?
Zoom Workplace Business is very stable in my experience. We never had to reach out to customer support for Zoom Workplace Business, and we never experienced any bugs or anything. It is very stable in our experience.
What do I think about the scalability of the solution?
Zoom Workplace Business's scalability is good because right now in our team, we are only around twelve people, and if we are collaborating, then it will scale to around twenty, but it never went above twenty. I do not know about more scalability, but for whatever we are doing, it is very good for that, such as for around twenty people. If you are around twenty people, then it is very good.
How are customer service and support?
We never had to reach out to customer support for Zoom Workplace Business, and we never experienced any bugs or anything. It is very stable in our experience.
Which solution did I use previously and why did I switch?
We did not use any system before Zoom Workplace Business, but we tried Slack for a while. During COVID, we were actually using Zoom call, and then when Workplace came, we naturally shifted towards Workplace. We actually tried Slack, but since we started with teams, our main priority was meetings and all, which was a weak point for Slack, so we came back to Zoom Workplace.
Before choosing Zoom Workplace Business, we evaluated other options such as Slack and also used Discord for a week or two, but we realized that it is not user-friendly.
How was the initial setup?
We use Zoom Workplace Business for recording meetings and we connected it with our calendar to schedule meetings and to see the availability of different members.
What was our ROI?
It definitely helped us save time because we can schedule short meetings, do quick discussions, and we do not have to worry about what we discussed, keeping track of those things, and making a to-do list from those quick meetings. We have weekly meetings, but what if we have to schedule a meeting suddenly? Then we can do that with Zoom Workplace Business. We just have to look for their availability. Also, with document sharing, we can tag people for those documents to review. In a meeting also, if you want to include something, you can do that easily.
What other advice do I have?
My advice for others looking into using Zoom Workplace Business is that some of my friends used to use Zoom meetings, but when Slack came, they switched to Slack and now they are stuck with Slack. I would recommend trying Zoom Workplace Business for some time because it takes a bit of time to adjust, but it is basically that we all are used to Zoom meetings a lot because of COVID. Therefore, I think it is very natural to incline towards Zoom Workplace Business rather than using Slack because we tried that and we came back to Zoom Workplace Business.
I would provide a short poem or haiku that will summarize my review if requested. I believe that is pretty much everything regarding any additional thoughts about Zoom Workplace Business.
