Centralized procurement requests have replaced ad hoc emails and now improve workflow visibility
What is our primary use case?
I used QuickBase when I was a contractor at Tropicana Brands Group in 2023, and I used it for a couple of months because we were using it to build out an intake form for when people needed requests around procurement, specifically in the technology space. We used QuickBase to document the IT TBG procurement processes and worked with the business team to identify gaps, and then we implemented an automated workflow using QuickBase just for the TBG procurement processes.
What is most valuable?
Creating an automated workflow via QuickBase provided a centralized space where we could pull data on requests instead of using email threads or chats, and we were also able to capture all of the details in one space, which was helpful. Moving away from ad hoc collection or intake for the procurement requests and moving towards one centralized flow was a significant improvement.
I enjoyed using QuickBase because it is a low-code platform, which means you do not have to be a developer to build out a process. It is really user-friendly to build out all of the questions and how they appear and the options, so I appreciated the ease of using the tool.
In my opinion, the best features QuickBase offers are very detailed ways in which you can create your own process flow form. I remember being very specific in the types of fields or widgets that you were putting on the form and how you wanted them to appear, accepting different types of values. Being able to take in all types of data was appreciated for creating POs, as there are multiple different types of data points you want to collect to be able to produce a form or PO.
I liked being able to do an iterative process of improving the form. Being that it was customizable and highly detailed and allowing you to take in different types of data points, we were able to improve it over iterations and have it full and ready for the team to use.
What needs improvement?
I do not know if QuickBase has these capabilities because I only participated in building out the flow, the form, and the process flow, but it would be helpful, as someone who would manage the form and the process flow, to build out charts or live dashboards or something similar so people can get information right there of how many requests are submitted and how many are pending to be approved.
Giving something a perfect 10 does not leave any room for improvement, so nine was perfect. I think that the team could always improve by building the intake form and process and defining the process flow within the intake form as the first step. I think that we could probably utilize QuickBase in other ways, which is more of a team improvement.

I have been working in project management for about seven years.
What do I think about the stability of the solution?
In my experience, QuickBase was able to hold all of the requests that came in. TBG is not that large of a company right now, so it worked for them.
What do I think about the scalability of the solution?
The implementation resulted in fewer errors and faster intake. Sometimes we would have had to follow up and make sure we had the right information before creating a PO, or someone would just go in and fill in what they know, and they become accountable for getting that information in instead of us following up and trying to get all the details.
I would say fewer employees are needed in the larger process of it, so the ability to add on is valuable. Other employees that are still there are probably able to do things that are more valuable with their time.

I was not a part of that conversation. I was basically someone who was a subject matter expert who understood the procurement process at TBG, and so they included me in building out the flow since I understood it well. I participated in building it out and also testing QuickBase and being a part of that.

I am not aware of any alternate solutions.
What other advice do I have?
If you are trying to automate a workflow, capture a workflow, and have a centralized space for data, I think QuickBase is a great option. I really enjoyed using it, and it was a good experience for me. I would rate this review 9 out of 10.
Custom workflows have unified data and now create seamless collaboration across operations
What is our primary use case?
I mainly use QuickBase as an ERP and MRP system. Although in my current role at Elcon, we do not use QuickBase , previously when we used it, I created purchase orders and managed inventory receipt of goods into inventory. In my previous roles, I also used QuickBase to manage MES, manufacturing execution systems.
What is most valuable?
The best features QuickBase offers are its high customizability, ease of generating reports, and strong analytics. Many different modules in MES can be customized, such as including a quality module for data collection and disposition of goods, allowing us to set up workflows, roles, and responsibilities, approval and review within the same system. QuickBase is a very comprehensive system from that standpoint.
Because it captures data in the same system, generating reports is very seamless, and creating reports at both the user level and management level is very easy. There are various different charts you can set up, making it very feature-rich. QuickBase has positively impacted my organization by creating a very seamless collaboration across different functional groups or stakeholders and acting as a single source of truth since all the data was in a single repository. This ensured everybody was looking at the same data, and whatever analytics were being generated led to good efficiency and a strong collaborative platform.
What needs improvement?
There were only a few users who knew how to create the different modules or integrate them, so I think an easy-to-understand training program would help in more adoption of QuickBase.

QuickBase is very stable.

QuickBase's scalability is impressive; it is easily scalable from a few users to a few hundred or a few thousand users. I think it is a great tool and is very module-based.

Single Platform for Centralized Info and Custom Workflows

What is our primary use case?
Our organization uses QuickBase for project management, production, fieldwork tracking, training, training tracking, travel tracking, and more. The platform allows us to standardize workflows across the company and eliminate spreadsheets, emails, and phone calls, which increases production. It has allowed us to automate many workflows that were previously very manual and time-consuming.
We have created a ticketing system, surveys, workflow tools, reporting services, and much more using QuickBase . I love that the versatility of the product allows us to be more creative with our solutions. By taking some of this work out of Excel spreadsheets, it has given us greater visibility into data, and we continue finding new use cases for it.
We have even used QuickBase for disaster recovery when hurricanes hit and our work is needed in those areas. We are able to build an app in a day or two so that there is one centralized system that everyone has access to in order to record important information that can be accessed anywhere and reported on later.
What is most valuable?
The best part is that QuickBase is easy and quick to set up. The best features QuickBase offers are ease of use and development. QuickBase development, training, and certification are offered through QB University. Communication is excellent, and I am always kept up to date on all the latest things. QuickBase seems to really care how each company is doing and performs routine check-ins.
It has been very easy for new users to use QuickBase. The user interface is very easy to customize and navigate through, making the learning curve smooth. Everything falls into place, making it very quick to develop new applications.
QuickBase is capable of handling complex and powerful workflows. The new dashboard feature is exciting as it provides pipelines and role-based customization.
QuickBase has positively impacted my organization. The ROI is huge; our company saved over 3.8 million in one year alone based on developments that year in QuickBase that saved time for many teams. Also, less user error is noted. Implementing automations and standardized workflow has led to less user error than maintaining spreadsheets or Smartsheets.
What needs improvement?
The table size limits are small for really large apps. While I agree that there needs to be a cap on the size, it would be nice to adjust it up when needed.
Also, the cost can be a bit prohibitive, especially for small organizations to be able to use this tool.

A specific example of an app I built with QuickBase is a workflow process to enhance an internal ticketing system to ensure that internal requests got routed to the correct area.
That workflow process changed things for my team by enhancing the process that was previously handled straight through email, making it more efficient and allowing for trending and tracking.
