What is our primary use case?

I am an integration consultant, and I use Workato for integration. Recently, one of my clients wanted to migrate from using Workato to another platform, so I started exploring Workato to understand why it's attracting big clients. The focus has been on cost efficiency since the cost of other platforms is quite high. I noticed Workato is less expensive and offers similar integration capabilities.

What is most valuable?

I appreciate Workato's job reporting feature, which consolidates recipes and jobs for easy management. I also like the control over performance, cores, etc., and the simplicity of creating recipes. Workato has around 100 connectors, allowing anyone, even without an IT background, to work with them. Additionally, the platform resembles Salesforce in presenting both solutions and their benefits.

What needs improvement?

Currently, Workato is a low-code platform without native programming capabilities. I would appreciate having a dedicated programming language for tasks like transformations and functional programming. Although the drag-and-drop framework is easy, incorporating a coding language could enhance functionality.

For how long have I used the solution?

I have been using Workato for at least three months.

What was my experience with deployment of the solution?

Deploying Workato was easy and clear. Although the components are good, I would like an IDE or similar tool to test recipes locally. Considering AI integration with agents in future releases would also be beneficial.

What do I think about the stability of the solution?

I have not observed any stability issues, but it should be tested with large files or data sets to determine its latency performance.

What do I think about the scalability of the solution?

Workato lacks manual control over scalability. Their cluster management automatically calculates the necessary resources like VCores.

Which solution did I use previously and why did I switch?

I have used other solutions previously but explored Workato when my client wanted to switch due to the high cost of those solutions.

How was the initial setup?

The initial setup was straightforward and fast. Connecting components took some time depending on the authentication method, such as OAuth 2.0 or JWT, but overall, it was easy.

What's my experience with pricing, setup cost, and licensing?

Compared to integrators like Boomi or MuleSoft, Workato is priced reasonably. While Workato was a target for acquisition by Salesforce, its CEO declined the sale, but Salesforce is one of its investors.

Which other solutions did I evaluate?

Solutions evaluated include Boomi, MuleSoft, and Workato.

What other advice do I have?

For new users, having an IT background simplifies using Workato, especially regarding aspects like schedulers and connections. Those without an IT background should acquire basic IT knowledge. My overall ratings are eight for user experience and courses, ten for simplicity, and eight in terms of cost. I suggest creating academic projects or exercises for better learning. Although Workato is new in Europe, it shows potential for being cost-effective and time-saving. I rate the overall solution as eight.

What is our primary use case?

We primarily use Workato to extend functionality to legacy systems. We employ Workato to orchestrate processes, gather information via other interfaces like Teams, and push it into our core systems. We also utilize Workato for onboarding processes, contractor management, and timesheets entries through Teams. Additionally, it is used for resource forecasting with Excel and Power BI, integration between our K2 system and Azure AD for identity management, and interfacing with external solutions for employee and project lists. Workato orchestrates Power BI for managing refreshes and notifications.

What is most valuable?

A key value of Workato is the democratization of its use. We've enabled more junior users to create and work with processes, extending usage beyond IT to non-technical staff. Workato is also highly reliable, and migrations require minimal effort. Noteworthy features include its drag and drop UI, numerous integrations, ease of creating new integrations via SDK, and the Copilot model. Workato's reliability and the ease of volume processing are invaluable, positioning it above alternatives like Microsoft Power Automate.

What needs improvement?

More features related to the application side would be handy. A larger library of community recipes and connectors around common but complex applications, such as Microsoft, could be beneficial, as they are often complicated to handle.

I have been using Workato for a little over two years.

What was my experience with deployment of the solution?

The initial setup of Workato was straightforward. The environment wasn't new to us, and we partnered with a third party to quickly overcome the learning curve. The setup process was efficient, allowing us to deploy recipes within a week.

What do I think about the stability of the solution?

Workato is very stable. Once deployed, solutions do not break, making it more reliable than other solutions like Microsoft Power Automate that often disconnect.

What do I think about the scalability of the solution?

I believe Workato is very scalable, as we have not encountered any limitations. It easily handles our volume requirements.

How are customer service and support?

Workato's technical support is excellent. They are available online for chat support and typically find solutions promptly. In cases needing escalation, responses are usually received within hours. The community around Workato is also influential, offering support and monthly meetings to address questions and share information.

We were using Microsoft Power Automate and custom automations. However, Power Automate was frequently disconnected, and relying on a single developer for custom solutions was complex. Workato proved to be a superior solution, offering greater reliability and ease of use.

The initial setup was facilitated by a partner who helped us to quickly learn and implement Workato. We focused on specific tasks while some development was carried out by the partner and later handed over to us.

What about the implementation team?

We engaged a partner who assisted us in navigating the learning curve efficiently and built initial processes, which were then handed over for us to learn.

What was our ROI?

We know that we've improved processes, replacing formerly manual tasks. Workato provided spreadsheets for ROI calculations, but we haven't taken the time to assess it.

What's my experience with pricing, setup cost, and licensing?

Workato provided good value for money. We managed to negotiate a flexible deal that suited our needs, adjusting the initial offer for viability.

We evaluated Microsoft Power Automate and custom automations before choosing Workato.

What other advice do I have?

Based on my experience, I definitely recommend Workato to others. It is the best product in our technology stack, allowing us to integrate legacy systems and address diverse requirements. On a scale of one to ten, I rate Workato a nine out of ten.

What do you like best about the product?
One of the standout features is Workato’s extensive library of pre-built connectors and recipes. It significantly reduces the time to value, allowing us to integrate systems like Marketo, NetSuite, Mysql, Redshift, Sharepoint, Iterable, Shopify, Slack, and more with minimal effort. The platform’s flexibility empowers teams to customize workflows that align perfectly with our business processes. Platform also allow you build custom connectors and use of community connectors. Workato’s ability to handle conditional logic, data transformations, and multi-step workflows makes it much more than a simple integration tool. Overall, Workato has helped us increase operational efficiency, reduce manual effort, and accelerate digital transformation across departments. I highly recommend it to any organization looking to streamline workflows and maximize productivity through intelligent automation.

At this point, I don’t have any significant dislikes about Workato. The platform has consistently met our needs, and any minor issues we've encountered were promptly addressed by their support team.

What is our primary use case?

We mainly use Workato for integration purposes where we need to integrate multiple systems. We mostly utilize it for data integration purposes.

What is most valuable?

The features of Workato are very user-friendly. The product is easy to use, allowing us to integrate hundreds of cloud applications. It is very flexible with most cloud-based or SaaS-based applications. At least for small-scale industries or a small amount of data, it has a very good design pattern for ETL purposes. The performance is convenient and easy to integrate with cloud-based applications. The development and testing process is fast because everything is in a single, zero-code, drag-and-drop environment.

What needs improvement?

There are several areas for improvement with Workato. Integrating on-prem applications is challenging, even though they have an on-prem agent. It also has issues with handling large amounts of data, as performance decreases with larger datasets. It cannot handle more than 50,000 records effectively.

For how long have I used the solution?

I have used the solution for maybe five years.

What do I think about the stability of the solution?

I have faced stability issues only once. Workato has very good load balancing and failover capabilities.

What do I think about the scalability of the solution?

Workato can handle small amounts of data well, but performance issues arise with larger datasets.

How are customer service and support?

The support team is generally good, but there are challenges with fixing some issues due to product limitations. The quality of response is good.

For me, it was easy as I have strong experience in data integration, but for new people with basic knowledge of integration, it is also quite user-friendly.

Workato is value-efficient because it charges based on the number of interfaces you build, along with basic platform charges.

Which other solutions did I evaluate?

I have used many other ETL tools like Dell Boomi, MuleSoft, TIBCO, Jitterbit, Apache NiFi, and Informatica. The choice depends on the specific use case and requirements.

What other advice do I have?

Regarding Workato, there is no single best solution as choices should be use case-specific. If it involves simple cloud-based applications, we prefer Workato. For many on-prem applications and business orchestration, MuleSoft or TIBCO is better. For ETL or database-to-database processes, Informatica is a good choice. Overall, I would rate Workato a seven out of ten.

Low Code , we can build the Integrations fastely and can be reused. We can have a facility to create multiple environments for each customer with in the workspace.

Manage and Updating the SDK is a bit difficult part.

We predominantly work for enterprise clients across various sectors like manufacturing, FMCG, and finance. Most of our clients are at the enterprise level, and they use Workato to automate their existing business processes and consolidate their legacy IT landscape into a modern iPaaS system. Specific use cases include supply chain, contract management, human capital management, and complete integration of business processes.

What is most valuable?

Workato allows us to streamline our operations by replacing multiple legacy systems with a single integrated platform. The event-driven architecture, API management, and secure on-prem facilities are highly beneficial for large enterprises. With Workato, organizations can automate end-to-end processes, such as employee onboarding and offboarding, using AI agents. The return on investment is quick, and Workato significantly reduces manual work.

What needs improvement?

From a technical standpoint, the security features at the data orchestration level could be more organized, and improvements in certificate management are necessary. Also, logging capabilities present some limitations, and enhancements are being discussed with the product team. There is also room for improvement in B2B integration features.

For how long have I used the solution?

I have used it for more than four years now.

What was my experience with deployment of the solution?

We closely worked with the Workato product team from the blueprint phase, ensuring a smooth and tailored setup process. Clients are not left out once the application is subscribed, as the platform is securely configured according to client needs.

In four years of use, we have experienced no downtime with Workato. Its stability is commendable, requiring hardly any maintenance.

Scalability with Workato is seamless. Even when clients overutilize the product, Workato allows them to continue without interruption, charging accordingly rather than limiting usage.

What is our primary use case?

Our primary use case for Workato involves aged care and scenarios with multiple global instances. It's particularly useful for integrating operations across several countries or regions where complex integrations aren't necessary.

What is most valuable?

Workato offers a built-in lookup table for storing data, unlike earlier middleware technologies, which required an external database. It can store up to ten thousand records. Additionally, the platform's ease of use for connecting to different integrations, like Salesforce and NetSuite, is very beneficial because development isn't necessary, and everything is readily available.

What needs improvement?

Workato could be improved by adding a proper debugging feature. Currently, there's no way to set breakpoints to stop the process and debug an error as you can in other tools like webMethods.

For how long have I used the solution?

I have used the solution for a year now.

What was my experience with deployment of the solution?

I did not experience any issues with the deployment of Workato. It's straightforward to set up.

What do you like best about the product?
Workato is a very easy to undestand tool. But has a lot of functionality. Great customer services (some times it takes a bit long but it's acceptable). As a developer I find the custom connectors very handy, because you can connect other tools into your workflow to make it a real orchestrator
What do you dislike about the product?
Sometimes the customer services takes a bit long. And a few features are not looked after which means that documentation is not up to date and or doesn't work a it first seemed.
What problems is the product solving and how is that benefiting you?
Workato consolidates and automates data workflows across multiple apps—such as CRMs, accounting software, and marketing platforms—so you don’t have to manage complex, manual integrations. By acting as a “bridge” between systems, it reduces repetitive data entry and time-consuming administrative tasks, freeing teams to focus on higher-impact work. The result is fewer errors, faster processes, and a more unified view of critical business information, making day-to-day operations smoother and more efficient.
