Exceptional Support Makes Workato Shine
What do you like best about the product?
I'm consistently impressed by Workato's incredibly responsive support team. Within minutes of an inquiry, a live person is there to ensure problems are solved, questions are answered, and recipes are working perfectly. Even as the company has grown, their support and attention to users haven't diminished.
What do you dislike about the product?
Workato can feel a little intimidating at first, and there's a bit of a learning curve, which might be challenging for new users.
What problems is the product solving and how is that benefiting you?
Workato is solving the problem of needing to manually run and monitor scheduled SQL queries in one of our databases. Specifically, it automates the execution of these queries and, crucially, detects anomalies in the results. Instead of our team having to remember and take the time to perform these checks, Workato handles it.

What do you like best about the product?
Workato is very easy to use and highly intuitive, the interface is clean and minimalist which makes it very easy to start working with, as opposed to overwhelming interfaces with hundreds of controls to choose from. Once connections are established between Workato and cloud services, creating recipes to perform a wide range of automated actions becomes as easy as drag and drop. The amount of applications already setup out of the box is in the hundreds, plus many more are available via the support community.
The Academy, which hosts their trainings, is an invaluable asset because it just becomes the easiest way to see it in action. Following their on-demand short and simple to understand lessons you go from automating simple actions like "move file from A to B" all the way to "setup an enterprise chatbot with custom actions and responses".
If a recipe is well designed you will rarely have to touch it again for a long time. Designing recipes is probably the most important step towards implementing your ideas, and Workato even provides AI assistance for that task. But once a recipe is designed and deployed, if all variables were accounted for then it will run until the end of times.
The purpose and end goal of Workato is to take on your manual work and elevate you to a designer/administrator level so that you can do more with your time. The more you build in Workato the more time you save yourself and your company. After developing in Workato for approximately 1 year I can say with full guarantee that I already saved myself and my colleagues dozens of man hours, and that value only keeps increasing every day. There are tasks that I literally do not do anymore because they are fully designed, deployed, and automated at this point.
Lastly, I should give a huge shout out to their Customer Support, and Customer Success Managers. Their Customer Support over chat was able to help me with ease a few times with small issues I was encountering. For big issues I absolutely recommend contacting your Customer Success Manager. No matter the question I threw at them, they found resources to help me and got on meetings with me to help me step by step through my problems. From setting up connections, to advice on environment growth and expansion, to task analysis and efficiency, you name it, they had someone that helped me with it.
All in all it's been a 5 star service all around for a solid year, and right now I have more ideas I want to implement on it, but just not enough time for everything. But Workato will give me my time back the more I develop on it!

What do you dislike about the product?
The only downside I can think of in Workato is that it does not cover every single application out there, in the sense of pre-established applications in the library. I have had to setup a few myself for more obscure cases of lesser known applications that my organization uses, and it might be a little bit of trial and error until you get it all squared away. But any application that has APIs can be setup with Workato manually via their HTTP connector. It might not be as smooth and easy as the range of applications they already provide out of the box, but it is not at all impossible. If you find yourself in a jam and you can't get the exact settings right, contact their support or customer success manager, they will be able to help.
What problems is the product solving and how is that benefiting you?
The biggest problem we had before Workato was HR Onboarding/Offboarding and employee changes. It was a mostly manual process on the IT side, from setting up accounts, to assigning application licenses, to granting network permissions, etc, for every single new employee. And the reverse for offboarding, as in disabling accounts, removing licenses, removing accesses, etc. It was consuming us a lot of time every week processing every single person coming in and out manually.
Once we got on Workato I started designing our Onboarding/Offboarding processes, connecting all our applications to it, setting conditions and actions as needed, to the point that I have now automated probably 90% of our process on it, which has saved us dozens of man hours every quarter.

What is most valuable?
I appreciate Workato's job reporting feature, which consolidates recipes and jobs for easy management. I also like the control over performance, cores, etc., and the simplicity of creating recipes. Workato has around 100 connectors, allowing anyone, even without an IT background, to work with them. Additionally, the platform resembles Salesforce in presenting both solutions and their benefits.
What needs improvement?
Currently, Workato is a low-code platform without native programming capabilities. I would appreciate having a dedicated programming language for tasks like transformations and functional programming. Although the drag-and-drop framework is easy, incorporating a coding language could enhance functionality.

I have been using Workato for at least three months.

Deploying Workato was easy and clear. Although the components are good, I would like an IDE or similar tool to test recipes locally. Considering AI integration with agents in future releases would also be beneficial.

I have not observed any stability issues, but it should be tested with large files or data sets to determine its latency performance.

Workato lacks manual control over scalability. Their cluster management automatically calculates the necessary resources like VCores.

How was the initial setup?
The initial setup was straightforward and fast. Connecting components took some time depending on the authentication method, such as OAuth 2.0 or JWT, but overall, it was easy.
What's my experience with pricing, setup cost, and licensing?
Compared to integrators like Boomi or MuleSoft, Workato is priced reasonably. While Workato was a target for acquisition by Salesforce, its CEO declined the sale, but Salesforce is one of its investors.

Solutions evaluated include Boomi, MuleSoft, and Workato.
What other advice do I have?
For new users, having an IT background simplifies using Workato, especially regarding aspects like schedulers and connections. Those without an IT background should acquire basic IT knowledge. My overall ratings are eight for user experience and courses, ten for simplicity, and eight in terms of cost. I suggest creating academic projects or exercises for better learning. Although Workato is new in Europe, it shows potential for being cost-effective and time-saving. I rate the overall solution as eight.

We primarily use Workato to extend functionality to legacy systems. We employ Workato to orchestrate processes, gather information via other interfaces like Teams, and push it into our core systems. We also utilize Workato for onboarding processes, contractor management, and timesheets entries through Teams. Additionally, it is used for resource forecasting with Excel and Power BI, integration between our K2 system and Azure AD for identity management, and interfacing with external solutions for employee and project lists. Workato orchestrates Power BI for managing refreshes and notifications.
What is most valuable?
A key value of Workato is the democratization of its use. We've enabled more junior users to create and work with processes, extending usage beyond IT to non-technical staff. Workato is also highly reliable, and migrations require minimal effort. Noteworthy features include its drag and drop UI, numerous integrations, ease of creating new integrations via SDK, and the Copilot model. Workato's reliability and the ease of volume processing are invaluable, positioning it above alternatives like Microsoft Power Automate.
What needs improvement?
More features related to the application side would be handy. A larger library of community recipes and connectors around common but complex applications, such as Microsoft, could be beneficial, as they are often complicated to handle.

We were using Microsoft Power Automate and custom automations. However, Power Automate was frequently disconnected, and relying on a single developer for custom solutions was complex. Workato proved to be a superior solution, offering greater reliability and ease of use.

The initial setup was facilitated by a partner who helped us to quickly learn and implement Workato. We focused on specific tasks while some development was carried out by the partner and later handed over to us.

We mainly use Workato for integration purposes where we need to integrate multiple systems. We mostly utilize it for data integration purposes.
What is most valuable?
The features of Workato are very user-friendly. The product is easy to use, allowing us to integrate hundreds of cloud applications. It is very flexible with most cloud-based or SaaS-based applications. At least for small-scale industries or a small amount of data, it has a very good design pattern for ETL purposes. The performance is convenient and easy to integrate with cloud-based applications. The development and testing process is fast because everything is in a single, zero-code, drag-and-drop environment.
What needs improvement?
There are several areas for improvement with Workato. Integrating on-prem applications is challenging, even though they have an on-prem agent. It also has issues with handling large amounts of data, as performance decreases with larger datasets. It cannot handle more than 50,000 records effectively.

I have used the solution for maybe five years.

I have faced stability issues only once. Workato has very good load balancing and failover capabilities.

Regarding Workato, there is no single best solution as choices should be use case-specific. If it involves simple cloud-based applications, we prefer Workato. For many on-prem applications and business orchestration, MuleSoft or TIBCO is better. For ETL or database-to-database processes, Informatica is a good choice. Overall, I would rate Workato a seven out of ten.

The event-driven architecture, API management, and secure on-prem facilities are highly beneficial for large enterprises. With Workato, organizations can automate end-to-end processes, such as employee onboarding and offboarding, using AI agents. The return on investment is quick, and Workato significantly reduces manual work.

From a technical standpoint, the security features at the data orchestration level could be more organized, and improvements in certificate management are necessary. Also, logging capabilities present some limitations, and enhancements are being discussed with the product team. There is also room for improvement in B2B integration features.
