Powerful Functionality for Chat, Work Orders, and Parts Inventory
What do you like best about the product?
The functionality - from utilizing the chat feature to the interface, work order creation and managing parts inventories.
What do you dislike about the product?
The implementation was very good and nearly seamless, however what it exposed was how poor a condition our existing system and data were. I really wish that I was aware of this system sooner.
What problems is the product solving and how is that benefiting you?
For me MaintainX is providing a better insight into long term health and cost of maintaining our production equipment. This will allow us to make quicker, clearer decisions regarding equipment replacement and rebuilds.
Instantly Familiar, Email-Like Interface and Very Powerful
What do you like best about the product?
The usability. Very user friendly. It is presented like using your email system. This creates and instant familiarity.
What do you dislike about the product?
Some sorting filters seem lacking. There is no ability to create and save custom filters for procedures.
What problems is the product solving and how is that benefiting you?
MaintainX is solving the problems of efficient effective work order flow from creation to completing. It is also allowing the streamlined ability to edit data. It is creating a great tool for communication with work requestors. It will help us generate KPIs that we struggle with generating. Mean time to repair / failure. And much more
User-Friendly Interface and Easy Access—A Great Product
What do you like best about the product?
User friendly interface. Ease of access. Ability to access and create reports. The creative aspect of work orders and maintenance while keeping it simple.
What do you dislike about the product?
The only downside I found was the need to approve work orders. Other than that, great product.
What problems is the product solving and how is that benefiting you?
Keeping track of facilities and tenant work orders. MaintainX is streamlining the process while giving us quality reporting to analyze metrics.
Easy to Use and Highly Customizable to Our Company’s Needs
What do you like best about the product?
I like how easy the system is to use, and that I can make it as simple or as complicated as I want. It’s also very easy to tailor to my company’s needs.
What do you dislike about the product?
I dislike the cost of the licenses. I’d like to be able to add more members so I can really get everyone in the company involved, but I’m restricted by the number of licenses available.
What problems is the product solving and how is that benefiting you?
It’s currently helping me figure out how to give a team member access to see everything, without giving them the option to edit.
Easy to Deploy, User-Friendly, and Delivers Clear ROI with Powerful Predictive Maintenance
What do you like best about the product?
There are so many things I appreciate about MaintainX, from how easy it is to integrate and deploy to the level of customer service and ongoing engagement. It’s also very user-friendly for both requesters and full users. We’ve captured a lot of valuable data and produced reliable reporting, which has helped us reduce unplanned downtime on critical assets by 90%—a huge feat in most industries. We’ve also started our journey into predictive maintenance with sensor technology, and the MaintainX vibration team was able to warn us about a catastrophic failure before it happened (as verified by our senior maintenance mechanic). Compared with the L2L and Maximo platforms, the pricing feels fair, and leadership can see the ROI immediately across the board.
What do you dislike about the product?
Some parts of the reporting still need tweaking for me, particularly the ability to compile all data into a single Excel report. From time to time, new features roll out—or changes are made to existing features and reporting—without our knowledge, and we end up having to contact our customer reps just to figure out what’s different.
Another issue is visibility: full users can see all open work orders, but requesters can’t. That gap can easily lead to duplicate work orders being submitted. It would be helpful if requesters were prompted to check whether a similar request already exists before submitting a new one. I’d also like a notification icon within the app itself, similar to the alarm bell in Outlook. Finally, it would be great to have a way to link related work orders together for easier troubleshooting, and I understand this is a feature within the new MaintainX Copilot.

What problems is the product solving and how is that benefiting you?
Initially, we were looking for a system to document our work efforts and schedule our preventive maintenance, and MaintainX made that very easy. Soon after implementation, we began collecting both online and offline data and shifted our workplace culture to require a work order for essentially every request that involved the maintenance team. That change improved the accuracy of our machine uptime and downtime tracking for OEE metrics. With that data in hand, we built a capital project to upgrade our high-pressure pumps. After replacing the problematic pumps based on what the data showed, we achieved a 90% reduction in downtime for those critical assets in just 13 weeks.
In addition, because MaintainX was so easy to implement, we decided to digitize our Master Sanitation Schedule for the Sanitation team. This not only supported our quality and food safety goals within the plant, but it also freed our Maintenance mechanics from work orders that were better suited for the janitorial staff.

End-to-End Work Order Tracking from Request to Completion
What do you like best about the product?
Being able to track work orders from requests all the way through completion.
What do you dislike about the product?
They switched the hourly Work Order Trigger to Automations and it seems like that is still in beta.
What problems is the product solving and how is that benefiting you?
Our preventative maintenance program is stellar now. Downtime due to machines failing has decreased exponentially. Thus leading to increased productivity.
Maintain X Makes Asset Management Easy—Fast Imports, Smart Notifications, Great Support
What do you like best about the product?
The ability to organize our existing inventory sheets from Excel and transfer them into the Maintain X platform easily has been a big plus. Navigation through the software is straightforward, and I like being able to micromanage each piece of equipment with maintenance records, shop diagrams, parts inventories, photographs, and vendors all in one place. Maintain X seems to do it all.
The notification feature is very important to us. Pricing is reasonable, and we hope this will save us hours of time once our onboarding is complete. Support during onboarding has been great. We have not used the integrations feature yet, other than importing data from Excel spreadsheets, which works flawlessly. Performance is fast, with the ability to quickly find a particular asset. We’re still learning the AI capabilities, including its ability to recognize brands of equipment.

So far, we haven’t found any downsides, but we’re still learning about the product and getting familiar with how it works.
What problems is the product solving and how is that benefiting you?
Being able to combine multiple Excel spreadsheets and their data into one central place has made it much easier for our team. It allows four people to access the same information and update it on a daily basis without juggling separate files. One of the biggest benefits is the notification feature, which alerts us when a piece of equipment is due for a required service or inspection.
Elegant UI and Consistent Updates Create a Great Overall Experience
What do you like best about the product?
the process is well thought through and the updates are consistent. The UI is elegant and this give a great overall experience and meets our needs well
What do you dislike about the product?
Its geocentric. IE most of the forums and online classes etc are based around US times - the rest of the world is out here
What problems is the product solving and how is that benefiting you?
We manage a huge workload of maintenance requests and MX keeps us organised. Its also invaluable for history so we can see what the life of an asset has been.
Excellent Ticket Tracking Made Easy
What do you like best about the product?
The ability to be able to track tickets.
What do you dislike about the product?
No spellcheck in the comments section. I would also like the ability to be able to bulk export tickets which include all the comments and pictures of several tickets.
What problems is the product solving and how is that benefiting you?
Being able to track preventive maintenance and maintenance tickets.
Versatile and Flexible for Maintenance, Inventory, and Record Keeping
What do you like best about the product?
I like the fact that it is very versatile and flexible in our business. In our case for example we use maintain X for a lot of maintenance and part inventory, but with it being very versatile we have found it very helpful in record keeping for manure handling and more. Plus the customer support is very helpful and quick responses at any time of day.
What do you dislike about the product?
There are only a hand full of very minor things i dislike, one being that there is only one possibility for unit cost in inventory but there is multiple options for vendors and part numbers, in some instances it would be helpful to see the price of all vendors to better choose where to buy parts from. Another thing we would like to see in the future is the ability to have accumulation meters. Another thing we would like to see is the ability to edit automation on the mobile app.
What problems is the product solving and how is that benefiting you?
Maintain X is helping solve a lot of things from having details of the assets at your finger tips, part inventory, routine maintenance, purchase orders and most of all being able to look at the history of the machine.
