MaintainX Implementation Review: Enhancing Maintenance Efficiency
What do you like best about the product?
What I appreciate most about MaintainX is its user-friendly interface and real-time visibility into maintenance activities. It has significantly improved our ability to track work orders, schedule preventive maintenance, and ensure accountability across teams. The mobile accessibility is a game-changer—it empowers our technicians to update tasks on the go, reducing delays and improving communication. Overall, it’s helped us streamline operations and boost maintenance efficiency.
What do you dislike about the product?
While MaintainX has been a valuable tool overall, one area for improvement is the initial setup and device integration. For example, we experienced delays due to hardware dependencies—specifically, waiting on iPads to fully deploy the system. Additionally, some customization options for workflows and reporting could be more flexible to better fit our specific operational needs. That said, the support team has been responsive, and we’re optimistic about future updates addressing these gaps.
What problems is the product solving and how is that benefiting you?
MaintainX is helping us solve several key challenges in our maintenance operations. First, it has eliminated the inefficiencies of paper-based tracking, allowing us to digitally manage work orders, preventive maintenance schedules, and asset histories in one centralized platform. This has improved accountability and response times across the team.
Second, the real-time updates and mobile accessibility ensure that technicians can receive and complete tasks on the floor without delays, which has led to fewer equipment downtimes and better resource utilization.
Lastly, the platform provides data-driven insights that help us identify recurring issues and optimize our maintenance strategies. Overall, it’s made our operations more proactive, transparent, and efficient

What do you like best about the product?
Maintain X is the most user friendly CMMS I have encountered in my career. I have used many others that have not been so easily utilized to provide clear and concise scheduling, KPIs and machine history.

What do you dislike about the product?
The only part of maintain X I didn't enjoy was setting up all of our machines and procedures, but that isn't something that can be avoided. one good addition to there system has been the AI features as well as there team who are willing to add procedures for you at an incredibly affordable cost.
What problems is the product solving and how is that benefiting you?
previously we kept track of machine repairs using excel. the sheet we were using would break constantly and gave no way to quickly search through machine history. it was also a literal nightmare getting prepared for gemba meetings using that old sheet.
now i just put a tv on the wall and pull up the reporting feature and give everyone our live KPI data. its so fresh it often changes while we are in the meeting. i love watching completed work orders pop up while we are watching the screen. it shows how hard my team is working to all the right people.

What do you like best about the product?
Using reoccurring work order help streamline and track maintenance PMs. Purchase orders and easy to generate and can help track inventory levels. Very user friendly. Everyone has been extremely helpful with any and all questions or problems
What do you dislike about the product?
The biggest complain is the cost of the next size plan if you want more employees to use the software

Tracking PO all in one place though one system. Streamlining work orders in a central place. tracking maintenance across multiple systems

What do you like best about the product?
It's hard to name one best thing. The user interface is easy to navigate for anyone with social media experience. Asset tracking is an excellent tool to keep up with equipment and items. The internal messaging feature is hands down one of the most useful things for teams. All in all, excellent software that fills the gaps.

What problems is the product solving and how is that benefiting you?
It helps manage work order flow, track what assets we have with less boots on the ground, and solid internal communication between staff about workflow.

What do you like best about the product?
Maintain X system is easy to use and has the best customer service and implementation team to get you up and running. They help in multiple ways to get you the answers to any question you may have to include a chat message box which helps you immediately, to direct numbers to reach an actual person to help you with your account and even provides 24-hour support. We use this system every day, all day, and it has been easy to integrate with the company and the employees who utilize it daily. They offer so many features that there is not much that can't be accomplished with this work order system. It offers more features than we can use to be honest. So, there is room to expand if needed.
What do you dislike about the product?
The only complaint I have is that the live request portal doesn't automatically link the site's location on the work order unless you use the QR code for the locations which is not always feasible with our location since we are a large organization. I would love to see Maintain X create a drop-down menu so the requesting user can choose which location the work order is for. Otherwise, I have no other issues and am very happy with the choice to use Maintain X for our work orders.
What problems is the product solving and how is that benefiting you?
Maintain X helps me track the progress of each work order in real time. I can create reports that track the success of our facilities team members work on a daily, monthly, or yearly basis which is helpful to me to report back for our monthly meetings with CEO and senior staff.

The user interface is very easy to understand. In addition we integrated our SCADA system to track equipment usage

Customer support can be difficult to get answers to problems

Decreasing downtime of equipment.

Everything is connected and at your fingertips. The availability to use the app wherever you are and attach pictures and documents easily.

Some of the reports could be more customizable.
What problems is the product solving and how is that benefiting you?
Connecting our multi-site locations and giving us views and data into our maintenance practices / operational efficiencies that we did not have before.

What do you like best about the product?
Flexibility. Training. People. Their dedication to making sure you get everything setup and are trained. I started our free (test site), and had manually setup about 10 assets and some inventory parts. It was very simple to setup. The customer support to get our assets and inventory imports was fantastic, they pushed us to keep going with weekly meeting and what we need to accomplish by next meeting.
We use this everyday. All of our assets are in the system. Procedures are next as I setup out PM procedures and safety is also going to start using Maintain X for tracking all of there monthly checks. We did not have a big issue integrating as most of the issues have been.

What do you dislike about the product?
One of the biggest issues we did have is the "FREE" users cannot do any type of work. I you want your techs to edit work orders, or generate work orders, you have have to pay for an user account. So for every tech you have you must pay for them. So the only thing good about Free accounts is that they can generate work requests and a few other sub tasks.

What do you like best about the product?
Ease of use once fully implemented. As a maintenance manager I use the program daily and continue to integrate more equipment as we expand our facility. The variety of tracking and logging equipment is amazing. I have had a few questions over time that were quickly resolved thru their customer support.
What do you dislike about the product?
Honestly the only dislikes could be the initial learning curve and setup. I am very sure that would always depend on the new user and computer experience.
What problems is the product solving and how is that benefiting you?
It is greatly reducing my downtime and gives me a better view of asset health and also employee management and their efficiency.

What do you like best about the product?
Ease of use, for both full users and requesters; and ease of implementation. The platform is intuitive, fast and boasts all the features we need.
What do you dislike about the product?
So far I have not encountered any negative aspect.
What problems is the product solving and how is that benefiting you?
Creating and responding to both reactive work orders and preventive maintenance issues are our main interests.
