Robust and Scalable Tool for PMO Collaboration and Documentation

  • July 29, 2025
  • Review provided by G2

What do you like best about the product?
As a PMO professional, I appreciate Confluence's ease of use—its clean interface and intuitive navigation make it simple to create and manage content without needing technical expertise. Implementation was straightforward, with clear setup steps and smooth integration with tools like Jira, which greatly enhances workflow efficiency. I use Confluence daily to maintain project documentation, meeting notes, and status updates, and it’s become an essential part of our operations. The range of features—like real-time editing, content versioning, and built-in templates—supports both agile and traditional project environments. Integration with other Atlassian tools and third-party apps makes Confluence a versatile, centralized hub for collaboration and knowledge sharing.
What do you dislike about the product?
While Confluence is generally user-friendly, its search functionality could be more powerful, especially when working with a large volume of pages and content. Pages can become cluttered or hard to find without strict structure or naming conventions. Although implementation is easy, customizing the system to fit specific organizational needs sometimes requires additional configuration or plugins. Customer support is responsive, but at times I’ve found community forums more helpful than direct support. Feature-wise, while there’s a lot offered, some advanced formatting and reporting capabilities still require workarounds. Lastly, although integrations are broad, syncing with certain non-Atlassian tools can occasionally be limited or require manual adjustments.
What problems is the product solving and how is that benefiting you?
Confluence solves the challenge of fragmented documentation and poor knowledge sharing across teams. As a PMO, I rely on it to maintain a centralized, organized repository for project plans, meeting notes, risk logs, and process documentation. It improves collaboration by allowing multiple stakeholders to contribute in real time, reducing miscommunication and version control issues. Integration with Jira enhances visibility across project tasks and documentation, making reporting and governance much more efficient. Overall, it supports better project transparency, alignment, and accountability, which are essential to PMO success.

What do you like best about the product?
I like how Confluence makes it very easy to collaborate with my team on documentation. The user interface is intuitive, and it integrates smoothly with Jira and other Atlassian products. Creating pages, sharing them, and organizing our knowledge base has never been easier.
What do you dislike about the product?
Sometimes the editor feels a bit slow or clunky, especially with large pages. Also, for beginners, organizing content in the right space or hierarchy can be a bit confusing at first. But once you get used to it, it becomes manageable.
What problems is the product solving and how is that benefiting you?
Confluence helps us organize all our IT documentation in a single platform. Previously, we used multiple tools and it was difficult to maintain version control and access control. Now, everything is well-structured, easy to find, and secure. It improves team collaboration and knowledge sharing, especially in remote environments.

What do you like best about the product?
Confluence is an intersting platform for docuementation and collaboration with your team. Its straight forward to create pages and sub pages. We can also share updates and collaborate in real time. The most important part is the integration with JIRA which makes it super helpful for Agile workflows. The implementation and onboarding has some learning curve but with nice customer support and learning material, one can generate seamless workflows. I typically used confluence few times a week to review project documentation. The use of confluence also depends on you role in team.
What do you dislike about the product?
While Confluence is very nice for collaboration, but for some team members it may have steep learning curve. Specially for people who have not used any such collaboration tool in the past.
What problems is the product solving and how is that benefiting you?
So we used it for the documentation of our manuals. Updating of versions and shareing it with team. linking it with Jira also assist us in product development. Specially in highly customised projects, this helps us to locate the resources.

Our team’s knowledge hub that actually gets used

What do you like best about the product?
Confluence gives us one place where specs, runbooks, meeting notes, and onboarding live and people actually find them. The page tree + search works well, and the templates (PRD, postmortem, decision log) make it quick to start. I love the little quality‑of‑life bits: @mentions to nudge owners, inline code blocks, task lists with due dates, and the ability to turn a page into a lightweight project doc in minutes. The Jira integration is the kicker: I can drop an issue/filter URL and it renders beautifully, pull a change log or status report with JQL, and even create issues from highlighted text during a grooming session. It keeps docs and execution in sync without copy‑pasting screenshots. I also appreciate page history and inline comments for reviews great for audits and “who changed what” moments.
What do you dislike about the product?
The editor still has quirks. Tables can be fiddly (merging/splitting cells sometimes messes up spacing), and copy‑pasting from Google Docs or Notion brings odd formatting you have to clean up. Permissions are powerful but easy to over‑complicate new spaces inherit weirdly if you’re not careful, which can confuse who can see what. Search occasionally surfaces older pages above newer “canonical” ones unless you archive aggressively. Large attachments (design PDFs, datasets) bloat spaces fast, and the mobile app is fine for reading but not great for editing structured docs. Lastly, draw.io/diagram apps are excellent but can feel heavy on slow connections
What problems is the product solving and how is that benefiting you?
Confluence gives us a single, living source of truth. Before, specs and runbooks were scattered across Docs and Slack threads; people kept asking for “the latest link.” Now the page tree, labels, and search make stuff findable, and page history keeps an audit trail for reviews. The Jira integration reduces context switching . we create issues from text, embed filters/charts, and the link back to the page keeps work and docs in sync. Onboarding is smoother because new folks get one space with PRDs, decisions, and runbooks instead of a folder maze. Stakeholders outside engineering finally have a clear window into status without needing Jira access. Overall it cuts repeat questions, speeds reviews, and keeps teams aligned.

Great for team collaboration and documentation

  • July 28, 2025
  • Review provided by G2

What do you like best about the product?
Confluence makes it easy to centralize documentation and collaborate across teams in real time. Its integration with Jira and other Atlassian tools boosts productivity, and the template system helps standardize documentation. The interface is clean and intuitive.
What do you dislike about the product?
Search functionality can be inconsistent with large spaces, and permission management gets confusing for bigger teams. It also feels sluggish at times, especially with many macros on a page.
What problems is the product solving and how is that benefiting you?
Confluence solves the problem of scattered or siloed knowledge within teams by providing a centralized, organized space for documentation, meeting notes, project planning, and collaboration. It reduces dependency on email and chat for information sharing, ensures everyone has access to the latest updates, and improves onboarding for new team members. This has made our workflows more efficient and transparent.
