How Notion Changed the Way I Work

What do you like best about the product?
All-in-one workspace: Instead of juggling multiple apps, I can keep my notes, tasks, projects, and reflections in one place. It feels like having a personal command center.

Flexibility: Pages can become anything: a database, a simple checklist, a kanban board, or a journal. I love that I can design the system around how I work, instead of squeezing myself into rigid software.

Linking and integration: I can connect meeting notes directly to projects, tie research back to client work, and create dashboards that pull everything together. It turns static notes into an active workflow.

Space for creativity: Beyond tasks, I use Notion for brainstorming, mapping ideas, and journaling. Having one place that holds both structure and creativity has been a game-changer.
What do you dislike about the product?
Learning curve: The flexibility can be overwhelming at first. Without clear templates, it’s easy to get lost or overbuild.

Speed and offline use: Notion can feel sluggish, especially with large databases, and offline functionality isn’t as smooth as I’d like.

Too many options: Sometimes I catch myself spending more time “perfecting” the system than actually working in it. The temptation to tweak layouts and workflows is real.

Collaboration quirks: While good, collaboration isn’t always as seamless as Google Docs—especially if multiple people are editing at once.
What problems is the product solving and how is that benefiting you?
The Problem Notion Solves

Before Notion, my work and ideas were scattered—tasks in one app, notes in another, documents in Google Drive, reminders on sticky notes. Keeping track of everything created mental clutter, and things often slipped through the cracks. Traditional tools were either too rigid (forcing me into their structure) or too limited (good for one purpose but not adaptable).

How That Benefits Me

Notion solves this by giving me one flexible home for everything—projects, notes, tasks, reflections, and resources. Instead of managing five systems, I manage one. This reduces stress, saves time, and helps me see the bigger picture without losing track of details. The flexibility means I can adapt it to fit the way my brain works, rather than forcing myself to adapt to the software.

As a result, I feel:

More focused, because I’m not juggling multiple tools.

More creative, because I can capture and link ideas seamlessly.

More grounded, because I always know where to find things.

Notion Streamlines Our Business Processes

What do you like best about the product?
I find the automation in Notion incredibly beneficial, as it saves me a lot of time previously spent on manual tasks with Microsoft Project and Excel. The platform's ease of sharing across teams and its project management features significantly enhance collaboration. Notion AI and templates are also standout features that I like, as they contribute to ease of use and streamline various processes.
What do you dislike about the product?
I find learning Notion a bit challenging initially, which led me to rely on YouTube and instructional videos.
What problems is the product solving and how is that benefiting you?
I use Notion to automate processes, saving time from manual tasks and improving collaboration as multiple team members can engage with shared databases and project dashboards.

What do you like best about the product?
I use this platform personally with a Business Pro subscription, and I also recommended it to my previous employer, encouraging them to switch over for their project management needs—which they were considering. In my current organization, we have fully implemented the platform, and it has become our main tool for organization, collaboration, and utilizing AI features. I am currently leading its implementation and am very satisfied with the results.
What do you dislike about the product?
One of the downsides I experienced was the difficulty in reaching a real person when initially contacting the company for business or enterprise-level support. Instead of being able to speak directly to someone or even be routed to a live chat through email, I was often directed elsewhere. Because the tool is so robust and comprehensive, I found it frustrating that there wasn’t an option for one-on-one technical support to help with building out and designing the workspace. Immediate solutions weren’t really available; instead, I was usually sent to tutorials or asked to read through information on their website.
What problems is the product solving and how is that benefiting you?
At present, we are utilizing the tool as our main platform for organizing, collaborating on standard operating procedures, and developing workspaces to address the diverse needs of our different business units.

What do you like best about the product?
Notion AI has helped shave hours from our team's day creating pages, searching for data, and summarizing information into reports. Notion agent makes creating any workflow very simple. Highly recommend
What do you dislike about the product?
I wish it was easier to set up automations using Notion AI - having the agent create the triggers and putting on a schedule

Coordination among team - ease of use of working on projects together and communication.

The best productivity tool I've ever used

What do you like best about the product?
There are SO many different features in Notion that have improved my workflow over the last few months. I’ve used the platform for years to organize meeting notes but I recently upgraded to the paid plan to access the premium features of "Notion AI". It’s been an absolute game-changer for me. The AI meeting notes feature alone makes the tool worth it, and being able to access LLMs from Gemini, ChatGPT, and Claude is incredibly helpful. This tool has increased my productivity tenfold, it's totally worth the price.
What do you dislike about the product?
One issue I've noticed with the AI Meeting Notes feature is that the notes produced aren't always 100% accurate. You still need to go through and clean up the auto-generated notes after your call. It's about as accurate as any of the other notetaker tools I've used in the past (Gemini, Otter).
What problems is the product solving and how is that benefiting you?
Notion brings together all the tools I need into a single platform that's easy to learn and navigate. It's replaced nearly all of the other productivity tools I used previously for my job. Having everything I need in one platform has really improved my workflow over the last few months. Also, Notion AI is a major advantage - being able to choose the LLM that aligns with the task I'm working on is a major benefit. Also, having the ability to supply Notion AI with instructions for the the specific rules and approach you'd like it to stick to while generating responses is such a valuable feature that I wish I could with other AI assistant tools.

Organizing documentation for both code and processes is an important aspect of my workflow. Keeping everything structured helps ensure that information is easy to find and understand.

What do you like best about the product?
It is extremely flexible, and the integration of AI tools is among the best I've seen within a platform - genuinely additive and easy to use. It has made it very easy to stand up a knowledge hub for our company that has made it much easier to locate information.
What do you dislike about the product?
Some of the flexibility means it takes more time to manually customize everything, which is annoying compared to Confluence.
What problems is the product solving and how is that benefiting you?
It has solved the fragmentation of information across disparate sources, specifically Google Drive, and made it easier to get everyone on the same page.

What do you like best about the product?
I like that Notion AI can quickly and easily build tools specific to my needs, and I get to keep them all in one place. Then share, edit and link all my tools over time.
What do you dislike about the product?
There's a longer learning curve to get the most out of Notion for non-technical members of my team. So, they need to be educated or spend more time getting acquainted with Notion.
What problems is the product solving and how is that benefiting you?
It organizes project info and daily tasks for my team. We use it to take notes on jobs and keep track of important information.

I also use it as a lightweight CRM tool.

What do you like best about the product?
It allows me to store and share all my notes, todos, calendar, time keeping, projects (personal & business) and soo much more.
I’ve recently been using it a lot more to have AI help me with working through software development designs, system design and converting requirements into task and Jira backlog items.
What do you dislike about the product?
It’s hard to share notes and pages with non Notion users and allow them to edit and modify fields when I publish a page to the web.
It doesn’t have the best formatting like different font types.
What problems is the product solving and how is that benefiting you?
This tool lets me store and share all my notes, to-dos, calendar events, time tracking, and both personal and business projects, along with much more. Lately, I’ve been using it even more frequently, especially to get AI assistance with software development designs, system architecture, and turning requirements into actionable tasks and Jira backlog items.

What do you like best about the product?
The adaptability and endless uses. Anything you can really think of organizing or using Notion for you can it feels like.
What do you dislike about the product?
I usually don't see many downsides but one thing I have noticed lately is that the Notion AI sometimes hallucinates and gives me instructions or prompts me to edit a feature that does not exist. For example, when I was working on a Notion form, I wanted to make it so the relation property had a filter on it. I wasn't sure if this was possible (I don't believe it is) but the Notion AI was suggesting I create a filter and that will solve the issue within the form. When I called it out on this falsehood, the Notion AI apologized. I did find it strange however that the AI was instructing me to do things that weren't possible in Notion.
What problems is the product solving and how is that benefiting you?
On a personal level, Notion is helping me organize my life. On Notion I store my meal prep recipes, have a workout tracker, have a job tracker and while I was in college it acted as my class hub where I stored all information relevant to my UCLA classes.

As a professional, Notion has proved invaluable to me as I am currently in the process of creating a club hub for an organization I am part of called Hermanos Unidos de UCLA. The club is a 501(c)3 Non-Profit organization that focuses on the retention and matriculation of Latino males in higher education. Although it was not yet been officially implemented by the club of nearly 100+ members, I have created a demo that includes a events calendar, scholarship hub, research opportunity hub, professional opportunity hub with over 100+ opportunities, test bank, class hub and Hermano (member) database where we store all the active members. Although it has not been fully implemented yet, I truly feel that it will revolutionize the club and truly lead to higher internship rates, GPAs, scholarships awarded among other things. I'm confident it will make a huge difference. Everyone I have showed believes so. I am currently in the process of doing a cost-benefit analysis on alternatives to Notion and Notion itself because the National Board for Hermanos Unidos wants to ensure that Notion is the best option. I'm confident it is but they want to make sure it has longevity and makes financial sense. I am confident it will, now I just need to present it in a way that's convincing.
