I Wish I Had Been Using Notion Years Ago

What do you like best about the product?
Notion is arranged with such an intuitive flow that has not only helped our organization more clearly organize our internal documentation--but additionally allowed us to remove two other platforms we were previously relying on for similar services.
What do you dislike about the product?
I haven't found anything so far! Perhaps an easier GIF integration.
What problems is the product solving and how is that benefiting you?
We previously relied on multiple platforms for storing our internal documentation. Our team began so frequently turning to Notion for guidance that it inevitably felt natural to streamline as much as possible onto your platform. We've never looked back since!

What do you like best about the product?
I find Notion incredibly intuitive and easy to set up, which made the transition seamless. The platform's AI meeting summaries and AI assistant are effective features that enhance my productivity. Its ability to centralize knowledge management simplifies my work by summarizing meeting notes and retrieving information efficiently. I also appreciate Notion's project management interfaces, like Kanban and lists, which are interchangeable and adaptable to various projects. Additionally, the ability to integrate seamlessly with AI to benchmark productivity against non-users demonstrates clear business value by streamlining workflows.
What do you dislike about the product?
{"The lack of increased capabilities for Outlook integration is disappointing, as it creates limitations in my workflow.","I find the absence of a feature to create presentable flowcharts frustrating, as it forces me to switch to other tools like Miro, leading to context switching.","The inability to preview documents in A4 format before exporting them is a significant drawback. What problems is the product solving and how is that benefiting you?
I find Notion centralizes knowledge management, summarizes meetings, integrates with AI for productivity benchmarking, and streamlines workflows, allowing users to outperform those not using it.

What do you like best about the product?
I love how modern the platform is, and it's been extremely helpful in creating documents, project outlines, writing article drafts, and more for my everyday work life. The entire user experience is 10/10 when using Notion.
What do you dislike about the product?
The only thing I dislike is that I wish there were a better way to organize all your documents created or saved. I might've missed how you do it if there is a way to, I just haven't figured it out on my own.
What problems is the product solving and how is that benefiting you?
With the Notion AI writing assistant too, the platform is helping me ensure that any help center articles I create for my company are all aligned when it comes to language and tone. It also helps me tremendously with rewording sentences to sound more forward, as I tend to rant and overexplain in my writing sometimes.

What do you like best about the product?
I used to never be able to find anything in our knowledge management system but now I just chat with Notion AI all day and it's amazing. I feel like I'm a company wiz.
What do you dislike about the product?
This is more about how our team has Notion set up but it's challenging to share pages externally.
What problems is the product solving and how is that benefiting you?
It's hard to share knowledge at a company. When I write pages on notion, AI helps me improve them and when I want to see other peoples' pages I use the AI chatbot to search for whatever I need to know.

the new AI system can be very confusing and it can be erroneous on the information pulled up.

What do you like best about the product?
Notion has helped gather internal knowledge into a central hub for everyone to refer to. The AI search function is amazing when it comes to looking back at our historical reports and findings: you can. literally ask for a summary of what we know about XYZ and notion AI will spit it out with clear references pointing you to where to look. This saves so much time. So useful for a newbie who needs to navigate a mountain of documents.
What do you dislike about the product?
Probably how hard or overwhelming it might be to someone who isn't familiar with the concept of databases. It can be learning curve.
What problems is the product solving and how is that benefiting you?
Creating a central repository for internal knowledge and roadmap management

What do you like best about the product?
Notion’s greatest strength is its flexibility and deep customization. For a long time, I used it at a surface level—for note-taking, capturing ideas, and some basic databases—and it worked well enough. But as I started seeing how others were using it for everything from relationship tracking to full-blown project management systems, I realized I was barely scratching the surface.

What really sets Notion apart is this: if you can imagine a workflow, a dashboard, or a system, there's a very good chance you can build it in Notion. It may not always be easy, and there’s definitely a learning curve, but the level of control and creativity it offers is unmatched. After investing the time to truly understand how to build in Notion, I now see it as one of the most powerful tools available for personal and professional productivity.
What do you dislike about the product?
Ironically, what I love most about Notion—its flexibility and customizability—also points to my biggest concern: they might be trying to do too much. With the recent rollout of Notion AI, Notion Calendar, and Notion Inbox, it feels like the team is spreading themselves thin and stepping outside their core area of expertise.

The core Notion product remains fantastic—there’s really nothing else quite like it when it comes to building custom productivity systems. But the newer features have been underwhelming, particularly Notion AI. As someone who frequently experiments with AI tools and workflows, I had high hopes for a native AI experience within Notion. Unfortunately, it has consistently fallen short. It often provides inaccurate responses to questions about how to use Notion—even for straightforward, well-documented tasks—and struggles to retrieve information that’s clearly present in a workspace. I’ve found myself bypassing Notion AI entirely in favor of more capable LLMs like ChatGPT or Claude.

My experience with Notion Calendar and Inbox is more limited, so I won’t speak as strongly to those, but the pattern gives me pause. I’d much rather see Notion focus on deepening and refining their core offering—and supporting better integrations with best-in-class AI—rather than building lackluster versions themselves.
What problems is the product solving and how is that benefiting you?
Notion has become a one-size-fits-most solution for both me personally and our organization. It serves as a central hub where we house everything from internal knowledge bases and best practices to relationship management databases, task lists, and project documentation. Having a single source of truth has been invaluable for streamlining collaboration and reducing tool sprawl.

While we still rely on dedicated tools like Asana for task management and Google Calendar for scheduling, I believe that’s more a reflection of our transition process than a limitation of Notion itself. As we continue building out our internal frameworks, I can easily see us moving more and more of our operational workflows into Notion.

Its intuitive interface and flexible structure make it easy to find and organize information—regardless of what form that information takes. As long as we steer clear of the AI features, Notion delivers a reliable, adaptable workspace that supports both individual productivity and team coordination.

What do you like best about the product?
What I appreciated most was the perfect balance between simplicity and depth. The interface was intuitive and easy to navigate when I needed quick access, yet robust enough to support more detailed tasks when the situation called for it. It made the experience both efficient and empowering
What do you dislike about the product?
I find the AI features to be underwhelming compared to ChatGPT. Given the performance, I might as well just use ChatGPT instead, as the AI database capabilities are fairly average.

This structured repository serves as a comprehensive resource for storing, organizing, and retrieving critical organizational information.
