Boosted Team Efficiency with Notion's Powerful Features

  • October 30, 2025
  • Review provided by G2

What do you like best about the product?
I love using Notion for its transparency and efficiency capabilities that greatly benefit team collaboration within my organization. Notion provides an excellent platform for planning my social media editorial calendar while keeping connected with various departments. I find Notion's capacity to open up transparency across teams and the larger organization invaluable, as it allows team members to see ongoing tasks and review decision-making processes through comment histories. This reduces the need to log into multiple systems, streamlining operations significantly. The calendar feature is particularly beneficial for my role in social media marketing, as it enables the construction and sharing of a comprehensive content calendar. This eliminates the need for back-and-forth emails with external partners, facilitating direct access for approval and review. Additionally, Notion's efficiency is enhanced by its task management system, where tasks can be updated and closed out easily, ensuring a smooth workflow. The integration of Notion AI is a game-changer, as it assists in automatically populating my social media calendar from the programming calendar, thereby saving time even with minor corrections needed. Overall, these features not only simplify my work but also make Notion an essential tool for our team's success.
What do you dislike about the product?
I dislike how notifications in Notion can get lost because they are all presented in one big line. It feels overwhelming as every single comment creates a new notification. I wish there was a better way to organize them, and that it could be more efficient in notifying me without creating clutter.
What problems is the product solving and how is that benefiting you?
Notion provides transparency and efficiency for my team, centralizing work to avoid multiple logins and enabling campaign management. Its calendar feature simplifies sharing and approval processes, while AI tools help automate content tasks, saving me time.

All-in-One Productivity, But Customization Can Be Overwhelming at First

  • October 30, 2025
  • Review provided by G2

What do you like best about the product?
Notion has everything I need, from storing all my thoughts in one place to streamlining a process from start to finish, even emails. I also love being able to collaborate with colleagues and having a system that works with other company systems. My stress has been significantly reduced since using Notion, and I can't see myself using anything else for my job.
What do you dislike about the product?
The downside is that Notion is so customizable it can be overwhelming to get started. I was able to purchase a template and use that with some modifications, but thinking about it I could easily have asked NotionAI to create exactly what I wanted.
What problems is the product solving and how is that benefiting you?
Notion allows me to stay on top of my projects and tasks while managing several tactical items. This allows me to focus on strategy and not operations, which is a career goal for me. I also use Nortion as a second brain, so it stores all my meeting transcripts, notes, documents, tasks, and literally everything.

Flexible and Beautiful Workspace, But Performance and Automation Need Improvement

  • October 30, 2025
  • Review provided by G2

What do you like best about the product?
Notion’s greatest strength is its flexibility as an all-in-one workspace. It bridges structured and unstructured work seamlessly — notes, docs, tasks, databases, and knowledge management can coexist in one environment without forcing a rigid workflow. This adaptability empowers teams to design systems that match their thinking rather than adapting to the tool’s limitations.

The database architecture and relational properties are especially powerful, allowing Notion to function simultaneously as a lightweight CRM, content calendar, or project tracker. The integration between text and data views (tables, boards, timelines, etc.) creates a fluid experience that encourages documentation and transparency.

Finally, Notion’s aesthetic and UX polish — clean design, delightful micro-interactions, and community-driven templates — make it feel more like a creative canvas than a productivity app, which improves adoption and engagement across diverse teams.
What do you dislike about the product?
Notion’s flexibility can sometimes come at the cost of scalability and performance. Large workspaces with complex databases often experience lag, slow syncing, and inconsistent search results. These issues become especially noticeable for enterprise users or teams managing large knowledge bases.

The platform also lacks robust automation and deeper integrations compared to specialized tools. While the API has improved, workflows that depend on dynamic triggers or real-time data sync (e.g., between Notion and CRMs or analytics platforms) still require external automation tools like Zapier or Make, which adds friction and cost.

Lastly, permission management and version control remain pain points for collaborative teams. Granular access controls are limited, and tracking historical edits or restoring prior states is less intuitive than in traditional document tools like Google Docs or Confluence.
What problems is the product solving and how is that benefiting you?
Notion solves the core problem of information fragmentation — the challenge of having notes, tasks, project plans, documentation, and reference materials scattered across multiple tools. By centralizing everything in a single workspace, it eliminates the friction of context-switching and helps maintain a continuous flow of work.

For teams, Notion functions as a shared source of truth — blending documentation, task management, and lightweight databases. This integration means that projects, meeting notes, and knowledge bases stay interconnected, making onboarding smoother and collaboration more transparent. The benefit is fewer lost details, less duplication of effort, and faster decision-making.

On an individual level, Notion helps turn abstract ideas into structured, actionable systems. Its modular page and database model allows for both creative freedom and operational discipline — I can brainstorm freely, then link outputs into task boards, content calendars, or dashboards without leaving the platform.

Ultimately, Notion is solving the problem of alignment — aligning information, teams, and workflows in one place. The benefit is a more organized, visible, and adaptive way of working that scales with both personal productivity and organizational complexity.

Effortlessly Organized with Notion—Fun to Use, Though Integrations Could Improve

  • October 30, 2025
  • Review provided by G2

What do you like best about the product?
Notion is incredibly easy and intuitive to use. If you were on Tumblr or myspace when you were younger, Notion is even easier. I use it for both personal and work life daily.
For personal use, I have a shared page with my partner, budgeting, traveling plans, and daily life tabs to keep me on track.
For work, we use it to help our clients stay on track with our processes. Since we work on a multi client basis, we've found it easy to stay organized in Notion. We give our clients q/a's to follow up in, meeting notes, timelines and other resources for them to review.
I'm the primary builder of all our Notion pages, so I'm very familiar with most things they offer. If you're willing to take some time to tweak things to make sure they're going to be useful to you, it's very easy to learn. I found it a lot of fun to make things as it's simplified and there's a lot of resources online. If you're not fond of building things from scratch, there's so many templates you can use and adjust.
Overall, I love Notion. I'm in it probably 10 hours a day, and love it all the same.
What do you dislike about the product?
Notion can be difficult for people that don't want to put a deep amount of effort into what they're creating. It can be easy to forget, similarly to daily journaling, it's something that you have to commit to.
For me personally, the only issue I have with Notion is lack of integrations for other systems we use specifically. Hubspot, SF, etc. But- it's not a no go for us and we still use it often enough.
What problems is the product solving and how is that benefiting you?
Notion is solving two things for me: Personal organization and Client upkeep.
I have a lot of things to keep track of and organize in my day to day life, so it's easy to work in conjunction to my job as both are there and easily accessible + built out to my specific needs.
For work, since we've begun implementing client portals, it's made it easier for them to keep up communication between us. Internally, we've used it to organize our tasks and review, allowing us one spot to congregate in daily- without the micro check ins, Since we're taking a lot of meetings, tracking tasks, and creating things like SOPS constantly with and without clients, it's beneficial for us to have a steady home to keep ourselves organized.
