Flexible and Feature-Rich, But with a Learning Curve
What do you like best about the product?
I like Notion's flexibility quite a bit. I find it really valuable that you can take a page and turn it into a database, as it lets the document evolve as needed. The flexibility of it all just stands out for me. Additionally, the AI features in Notion have been pretty helpful. The way it records and creates summaries and action items makes things super easy, whether for scheduled or ad-hoc meetings. It's great being able to feel confident that everything is captured and stored in a consistent place.
What do you dislike about the product?
Notion is really complicated. It has a ton of features, and while that can be great, it makes it really hard to figure out what to do sometimes. There's a learning curve, and it has created a kind of bar to entry, turning it into a power user trap. Setting up Notion also presents a bit of a hurdle due to figuring out the architecture, especially balancing people with varying levels of experience.
What problems is the product solving and how is that benefiting you?
I use Notion to record meeting notes and track documents, allowing us to freely converse without worrying about capturing all points and next steps.
Boosts Organization for the Busy and Creative
What do you like best about the product?
I like being able to put all of my documents, to-do lists, or whatever I'm working on in one place, and it's really organized. I really like using the AI feature because if I'm busy or don't have the time to sit down and do the tedious work of recreating a to-do list, I can just ask AI to do it, and it does it for me. This helps me save time because I don't have to physically write everything out myself. If I'm not completing the to-do list, I can just ask AI to take all of the items I didn't complete and create a new to-do list for me, which makes it easier.
What do you dislike about the product?
I just wish maybe, like, a built-in timed reminders, so if it can function as an alarm clock for the items that I put into the to-do list. And also, if it had a widget tool that way I can make it more prominent on my home screen. So this reminds me to go into the app every day.
What problems is the product solving and how is that benefiting you?
Notion helps me keep track of everything I need to do, breaking larger projects into smaller tasks, which is great for visual people like me with ADHD. It organizes my thoughts and helps me get things done efficiently during the day.
An Engaging Platform That Never Feels Boring

Beautiful, User-Friendly, and Flexible

Aesthetics and usability. It can be as complex or simple as one would like it to be.

Inconsistent AI capabilities that lead to inconsistent outputs and an inability to accomplish things that I can do myself or that the AI has done in the past.
What problems is the product solving and how is that benefiting you?
Organizational efficiency. My ability to keep track of my tasks has never been better. It took awhile to set up but I am in such a better spot than trying to track my life manually.

I love the simplicity of Notion. It's easy to use, well presented, clean, and accessible. The initial setup went very well, without any issues.

What do you like best about the product?
I like using Notion because it serves as our one-stop shop for information, making it easy to search and consolidate data. It's super convenient to access and search for what I need. I also find the automated user and group provisioning via the 1Password SaaS Manager integration helpful. There are plenty of integrations with AI assistance like ChatGPT and Claude that I appreciate. The user-friendly layouts, emojis, and overall user-friendliness are very helpful as well.
What do you dislike about the product?
Sometimes (especially in dark mode) things are hard to read or decipher, hard to organize at times and can get messy with the vast amount of information we put on there. More capabilities in terms of visuals like embedding a PDF doesn't look great at the moment; the ability to export as PDF, Word etc., or integrate into Google Drive would be great.

Notion consolidates our information, making it easy to access and search. It integrates well with 1Password for automated provisioning and offers AI assistance. It serves as our company knowledge base, making information management efficient.

Notion literally takes all my crazy ideas and puts them into a clean, outlined, and strategy driven document to share with my team!

Notion is the core of my SEO workflow. Custom databases simplify keyword tracking from research to publication, while content brief templates significantly reduce prep time. Built-in collaboration and page linking keep teams aligned without juggling multiple tools

The leak of native integrations with Ahrefs, Semrush and Google Search Console is a clear limitation, requiring manual or Zapier-based workarounds. Performance can also show as large keywords and content databases grow.

What is our primary use case?
My main use case for Notion is making developer and software engineering notes and then sharing it with team members.
I use Notion for documentation of technical work that I have carried out, and because I use so many different command-line tools, I have pages within Notion for different commands that I have commonly used. I appreciate the feature within Notion that allows you to insert code blocks, which makes it very easy to read the documentation when going back. For a specific example, when I set up a Jenkins pipeline, I was writing a piece of documentation for how I did that end-to-end, including the command-line arguments that I passed in.
What is most valuable?
The best features Notion offers include a user interface that is very easy and clear to navigate, the fact that pages are embedded within other pages which makes it easy to structure your pieces of work, the ability to share it quite easily with other team members, and the ease of inserting emojis.
The page embedding feature is something I quite appreciate, as it avoids the need to create folders and then documents within them. You can create elements within Notion with one being within another, so a page within a page. That is quite beneficial and it makes it very quick and easy to use the tool, which speeds up my workflow.
Notion positively impacts my organization by improving productivity, as it provides a great way to organize documentation. By using Notion, I would say you could probably save at least 10% of your engineering time just because you are able to write documentation which is easy to read and easy to share with other team members. Teams could expect at least 10% time savings just from using a highly structured documentation tool such as Notion.
What needs improvement?
There is not really anything that stands out as a key limitation of Notion; I use it for documentation and just need somewhere to write my notes quite easily and structure them well.
There is not anything that is a standout limitation, but if I had to pick something, it would probably be that the offline mode could be improved, as most of the time you need an active internet connection for most features. The one thing that could be improved is the offline mode to make it easier to use in an offline environment rather than having to maintain an active internet connection.

Notion is highly scalable; I do not manage the infrastructure running Notion itself, but I presume Notion's infrastructure can scale to however you want to use it, so there are no issues with scalability.

Which solution did I use previously and why did I switch?
I previously used Google Docs for taking engineering notes, which works fine, but I do not appreciate the code block feature within Google Docs. Notion is very good because it is very clear and very clean to read, and you can also select from numerous different languages that you want to write in, whereas in Google Docs, it is limited to probably five or fewer languages compared to Notion's over 15.
Which other solutions did I evaluate?
Google Docs was probably the only other option that I was looking at, but it is not really built for software engineering notes.
What other advice do I have?
I would recommend people try using Notion, as there is a free trial feature so people can see if they want to use it. It has many great features, including the code block feature, the ability to insert tables, and you can insert many different types of elements, making it a powerful documentation tool. I would rate this product a 10.
