Smartsheet is a little outdated. Requires a lot of set up to make it work for multiple teams

What do you like best about the product?
Great project management tool for a small team using the same template. You can create project sheets and assign tasks that show up in each individual team members to do list. If you stick to the same template and keep things the same in each project, it will work great. Also you can build some impressive dashboards to demonstrate project progress.
What do you dislike about the product?
If one person strays from the agreed upon template when setting up a project in Smartsheet, that project will not show up in your to do list. this holds true even if you are an assigned person on the tasks in the project. I find this incredibly frustrating because I try to rely on my "tasks" sheet to stay on track and manage deadlines.
What problems is the product solving and how is that benefiting you?
Allowing my team of six people collaborate and project manager together in one easy to access place.

Project Tracker

  • September 11, 2025
  • Review provided by G2

What do you like best about the product?
Every team member, executive, and stakeholder can see the exact same, up-to-date information in a view that makes sense for them (Grid, Gantt, Card, Calendar). This eliminates endless status meetings, version control issues, and siloed information.

It can be molded to fit almost any business process—project management, CRM, event planning, agile sprints, HR onboarding, budget tracking, and more. It’s not rigidly designed for just one methodology.
What do you dislike about the product?
Its formula language is powerful but unique and complex. For users deeply familiar with Excel formulas, the differences can be frustrating and require re-learning.

Real-time co-editing exists but can sometimes lead to confusion or conflicts if users are not careful, unlike the seamless experience in Google Sheets.
What problems is the product solving and how is that benefiting you?
Everyone sees the same real-time data, reducing confusion and aligning teams and stakeholders and Automation cuts manual admin work. A centralized system reduces time spent searching for information.
The ultimate benefit is a major boost in efficiency, accountability, and the ability to make faster, more informed decisions based on live data, keeping complex projects and workflows on track.

Great tool for project managers and high level stakeholders

What do you like best about the product?
Templates are really useful and allow me as project manager to expedite my job and also for tracking purpose. Other thing I like is that allow me to add my stakeholders and process owner and they received the notification on time.
What do you dislike about the product?
Sometimes, but just sometimes notify owners on changes that are a mistake. (for example if a update the status by mistake, the user receives the notification right away regardless it was a mistake and I didnt save it).
What problems is the product solving and how is that benefiting you?
It help me to organize my team and to notify and keep informed high level stakeholders.

Low barrier to entry but current licensing model precludes more-widespread use

  • September 11, 2025
  • Review provided by G2

What do you like best about the product?
Ease of use has historically been the strength of smartsheet for me. While I have expert-level experience with many project management tools, anyone on my teams capable of using google sheets has the technical knowledge to maintain their own task data. Reducing barriers to information flow has been a driver, but this is now in question due to change in licensing terms.
What do you dislike about the product?
Because we lost the ability for free users to maintain their own task-level expected completion date information, a major draw to the program has been lost and we are considering alternatives.
What problems is the product solving and how is that benefiting you?
Timeline development and tracking; connections across projects

Smartsheets made it much easier to collaborate and track work projects.

What do you like best about the product?
The Graphical grid interface is very easy to understand
What do you dislike about the product?
Sometimes it needs to autocomplete more information.
What problems is the product solving and how is that benefiting you?
My executive director implemented Smartsheet Kanban Boards for our projects and it now far easier to assign, track and update projects. I was a complete nube in this area and mainly just used e-mails to track projects. this was a huge upgrade for our whole department.

Meeting scheduler

  • Review provided by G2

What do you like best about the product?
We can use it for anything from a simple task list and event planning to complex project portfolios, agile sprints, CRM systems, inventory tracking, and budget management.

The greatest strength of Smartsheet is its unique ability to bridge the gap between the simple familiarity of a spreadsheet and the powerful needs of modern project management and collaboration.
What do you dislike about the product?
New users may find the interface overwhelming, and in the absence of proper governance, sheets can rapidly become disorganized and overly complex, making them difficult to maintain. This complexity is further increased by Smartsheet's unique formula language, which is less intuitive than Excel's and results in a steeper learning curve for those looking to automate tasks.
What problems is the product solving and how is that benefiting you?
Smartsheet primarily solves the problem of operational disconnection the chaos that arises when teams rely on static documents, siloed information, and manual communication. It replaces this fragmented system with a dynamic, connected platform for work execution. The benefit is a fundamental shift from reactive chaos to proactive control, saving significant time, reducing risk, and improving outcomes.

Traditional spreadsheets (like Excel or Google Sheets) are great for data but terrible for action. They lead to version confusion, require manual email updates, and offer no real-time visibility. They are a point-in-time snapshot, not a live system.

What do you like best about the product?
versatile spreadsheet-like interface that offers multiple project views (like grid, Gantt, and card), robust collaboration tools for real-time updates and file sharing, powerful automation and customization options to streamline workflows, and integrations with other tools
What do you dislike about the product?
Smartsheet's steep learning curve, as its complexity can be overwhelming for beginners, and its pricing model can be costly
What problems is the product solving and how is that benefiting you?
Smartsheet solves problems related to inefficient project management, poor team collaboration, and a lack of real-time visibility by providing a centralized, spreadsheet-based platform for planning, tracking, and automating work. Users benefit from increased transparency, improved accountability, and more informed decision-making

A Game-Changer for Organization and Collaboration

  • September 11, 2025
  • Review provided by G2

What do you like best about the product?
My company loves how easy Smartsheet makes it to stay organized and keep projects on track. The ability to collaborate with my team in real-time, automate repetitive tasks, and customize sheets to fit our workflow has been a huge time saver. It’s flexible, user-friendly, and keeps everyone aligned.
What do you dislike about the product?
There’s a bit of a learning curve at first, especially for new users who aren’t familiar with spreadsheets. However, once you get the hang of it, the platform becomes very intuitive and powerful.
What problems is the product solving and how is that benefiting you?
As a staffing company Smartsheet is helping us centralize project management, track progress in real time, and improve communication across our team. It reduces the back-and-forth of emails, keeps everyone accountable, and ensures deadlines are met — ultimately saving time and increasing productivity.

Smartsheet Usage & Performance Review

  • September 11, 2025
  • Review provided by G2

What do you like best about the product?
The ability to automate repetitive tasks, set up alerts, and collaborate in real-time has significantly improved our efficiency and transparency.
What do you dislike about the product?
The mobile app experience also feels less intuitive and feature-rich compared to the desktop version. Lastly, permission management can be a bit tricky—granular control over who can view or edit specific parts of a sheet would be a welcome enhancement.
What problems is the product solving and how is that benefiting you?
Project tracking is centralized, so everyone has real-time visibility into task status, deadlines, and dependencies.
