Integration Solutions Facilitate Efficient Workflow and Accelerate Team Onboarding

What is our primary use case?

I have used Workato for almost six months in my company to integrate different platforms using this Workato tool.

The main use case of using Workato is that Workato is an integration platform, whereby if I want to integrate one platform with another, such as integrating SAP with Freshworks, I have to use Workato as a tool to integrate these two platforms with each other.

The process of integrating SAP with Freshworks using Workato is pretty straightforward, and I really appreciate Workato in terms of integration because it is very simple and user-friendly when it comes to coding, and most of the part is a non-coding part. When there is complexity in functionality for one system, we have to do the coding on Ruby, which is also a fun part. I have used many integration tools other than Workato, and I find Workato quite easy to understand and fast compared to Integration Hub of ServiceNow, which is quite detailed and a little complex. Therefore, I found Workato easy and the speed is quite good.

What is most valuable?

The best feature of Workato is the ability to create a flow, and the majority of the things are already available in the module, which I find valuable. Additionally, if we have a demand for a specific tool, we can connect with the support team, and they can provide us what we need. Another valuable aspect is that there are many things publicly present in their library to use, and if I need to create an integration for a particular system to another, there might already be something available created by other users in public repositories.

The public repository helps me significantly because when I know the PRD document of the customer and understand their use case, I can look first in the public repository for something similar instead of creating everything myself, thereby saving my time. If I find something similar, I can take it as an example, utilize it in my personal flow, reduce my work on that particular task, and incorporate that chunk of flow into my own flow. Hence, the presence of numerous flows in public repositories is quite helpful.

Workato has positively impacted my organization, depending upon the customer's preference for which tool to use. While some customers prefer Workato due to its good customer support, it's ultimately based on the customer's needs, and we can perform integration using various tools available in the market. Personally, I enjoy using Workato, and my company feels that it results in significant time savings since it is easy to understand and allows new team members to onboard quickly. My superiors appreciate it as it enhances speed and accuracy, allowing QEs to understand and test completed tasks easily.

The positive impact on my team's speed and accuracy is evident whenever we start a new project, as new team members face challenges understanding how we use Workato. However, the best thing about Workato is the amazing and detailed documentation available on their website, which makes understanding and using the tool easy and fast. Even individuals without a coding background can contribute to projects quickly, as we have had freshers join with limited exposure to coding who can still catch up and integrate with projects swiftly.

What needs improvement?

Regarding improvements for Workato, there was an incident when we wanted a specific feature implemented, and the process was quite lengthy as we had to raise a ticket, track the ticket, and wait for the team to address it. Given the millions of users of Workato, when a customer has a specific requirement, it reflects a possible shortcoming in team resources. However, it's understandable given the high volume of tickets, and I believe Workato may be working on this aspect by leveraging AI tools in the future, which points to this being more of a manpower issue than a critical flaw.

I believe the process is already efficient, and I don't think I'm in a place to suggest improvements since I find Workato very amazing and well-kept.

For how long have I used the solution?

I have been working in my current field for over one year and nine months, approximately.

What do I think about the stability of the solution?

We have never faced reliability or downtime issues with Workato; it is very stable.

What do I think about the scalability of the solution?

Workato is very scalable, and we can scale any project using it, so scalability is not an issue.

How are customer service and support?

I would say customer support is good, but I cannot classify it as very good as my personal experience varies.

Which solution did I use previously and why did I switch?

I have used multiple tools for the same integration before Workato, but it was not a personal choice; it was driven by my organization's requirements based on customer needs. I prefer using Workato because it's user-friendly while other tools tend to have much complexity due to being very detailed integration tools suited for large systems Oracle and SAP. Each tool has its own strengths and weaknesses, depending on the customer's requirements and our development needs.

What was our ROI?

I have definitely seen a return on investment from using Workato, notably in time saved and the reduced need for employees since it requires less time to understand and a handful of people can manage much larger integrations with this tool compared to others.

What other advice do I have?

My advice for others looking into using Workato is to thoroughly review the Workato documentation, as it is very detailed, good, and easy to understand.

I think we have covered almost everything regarding Workato.

Putting the power of integration development into the hands of more resources

What do you like best about the product?
Workato's existing library of connectors and recipes gives you a huge leap forward in your time-to-market for customer integrations. That included with the depth of knowledge in their internal resources and the ease of use in their recipe builder and documentation around connectors allows for fast and efficient building of a multitude of integrations.
What do you dislike about the product?
The only downside we've encountered is the overall cost. But the age old saying stays true of you get what you pay for. This platform is not cheap but it has been well worth the cost to us.
What problems is the product solving and how is that benefiting you?
Reducing our engineering investment and time to market for needed integrations.

What do you like best about the product?
Easy to use. I can create integrations and automated processed in minutes (or even seconds)
What do you dislike about the product?
There is an area of opportunity in a few connecters where I end up using a lot of custom actions, such as with Slack, Jira, and Jira service management.
What problems is the product solving and how is that benefiting you?
Creation of automated processes.
Integration between platforms and processes.
Enhance the communication between teams, areas, and workflows.

What do you like best about the product?
I really like how reliable Workato is. As someone who was new to the tool months ago, I was able to quickly learn by doing and the platform was very user intuitive for me to pick up things. We utilise workato for many custom requirements
What do you dislike about the product?
None as such. I only wish we had 24/5 support available to me!

A No-Code dream for Seamless Integrations

What do you like best about the product?
It's very easy to use. The UI and the overall product are easy to interact with.
What do you dislike about the product?
At times, finding the right approach for building a recipe is where I get stuck. I know there can be various approaches to build one - I struggle to find which is the most efficient approach to reduce the number of jobs.
What problems is the product solving and how is that benefiting you?
It helps me build a lot of intergation connections at scale in significantly less amount of time, which usually takes days to complete now takes me an hour or two to complete.

The ability to invite customer collaborators also lets me lean on the customer for any change management.

What do you like best about the product?
The Recipe Design interface is intuitive and streamlined, making it incredibly easy to build, review, and manage our integrations. We've been impressed with the flexibility of Workato's connection and authentication options, and the extensive library of pre-built connectors has allowed us to seamlessly integrate with every system we've encountered.

In addition, the ability to promote workspaces through distinct DEV, TEST, and PROD environments ensures our deployments are both accurate and reliable. The platform's lifecycle management and the option to export integration sets make it simple and efficient to scale our successful automations.
What do you dislike about the product?
While Workato offers a vast feature set that we are still exploring, the initial learning curve presented some challenges. Early on, tasks like overhauling a data model were difficult. Although Workato has made significant strides in improving this, the data mapping interface could be further refined. Having to manually expand each individual field in the input panel to see the data structure can be tedious on complex recipes.

Another minor point of friction is the collaborator invitation process. The process can be confusing for new users, and we've had instances where lost email invites created a roadblock to getting them started.
What problems is the product solving and how is that benefiting you?
Having a more centralized control of the integrations, less on the customer On Premise middleware where needing to access host server via RPD or SSH was tedious to maintain. The Workato On Premise Agent and connection abilities make it much easier to keep our clients patched and secure.

Web based integrations into systems like Workday and Ellucian ETHOS have been a dream using Workato compared to what we may have needed to build into our platform directly.

What do you like best about the product?
What I appreciate most about Workato is its intuitive low-code/no-code interface, which makes it easy to build complex automations across systems—accessible even to non-developers. The platform’s extensive library of pre-built connectors and recipes significantly reduces development time. Features like real-time monitoring, versioning, and robust error-handling contribute to workflow stability and transparency. Additionally, their customer support is responsive and helpful, further enhancing the overall user experience.
What do you dislike about the product?
While Workato is a robust automation platform, there are several areas where it could be improved. The error messages tend to be overly generic, which can make troubleshooting more challenging. Additionally, the visual interface becomes cluttered with larger workflows, impacting maintainability. Enhancements such as more granular version control and detailed logging would significantly improve the developer experience.
What problems is the product solving and how is that benefiting you?
Workato is helping us address the challenge of connecting disparate systems and automating repetitive, manual tasks across departments. By streamlining processes like user onboarding and offboarding, license provisioning, and data synchronization between platforms such as Azure AD, ServiceNow, and internal tools, it significantly reduces turnaround time and minimizes human error. This leads to improved operational efficiency and enables teams to focus on higher-value initiatives rather than routine maintenance. The centralized platform and low-code interface also empower non-technical users to build and manage automations independently, reducing reliance on engineering resources.

What do you like best about the product?
Workato makes it easy to connect our core systems without heavy custom development. The pre-built connectors, especially for Salesforce, other SaaS apps, and the on-prem connector save us huge amounts of time. I also appreciate the intuitive recipe-building interface, which lets both technical and business users design automations. The platform scales well—from simple notifications to complex, multi-step integrations with error handling and approvals.
What do you dislike about the product?
The learning curve can be real, especially for the connector SDK. Some advanced features require digging into documentation, and pricing can add up if you’re running very high volumes.
What problems is the product solving and how is that benefiting you?
We use Workato to automate contract and data flows between our platform and our clients' source systems. Workato reduces our build times, and shifts the majority of work from Engineering to high-performing backend configuration resources.

Workato recipes automate the end-to-end process—from fetching client data to transforming and pushing it into our environment—helping us onboard clients faster and deliver consistent data ingestion without relying on manual workflows.

File storage is not free! I do not understand way something like this is not standard - or at the very least a given a free limit.

Workato is supporting a newer product that requires data from various sources. Speed matters.
