Smartsheet Review
What do you like best about the product?
Smartsheet is widely known as a PM tool (an excellent one at that). For our organization, I believe we pushed data input and automations to the max, leading us to learn about functionality that isn't widely advertised in the system. Including premium features, Smartsheet is relatively simple to understand from a building and admin standpoint. My favorite feature by far is automating consistency between data sets on multiple sheets (via formulas and DataMesh). Our use case has been unusual, but Smartsheet has been able to handle most of the curves we've thrown at it.
What do you dislike about the product?
Chances are, if you want Smartsheet to do something outside of tracking a project, you'll have to upgrade your account. We went through a series of premium upgrades when finding out our current subscription would only get us so far. Main pain points were limitations in sharing, integration and data intake.
What problems is the product solving and how is that benefiting you?
It has allowed us to compile information gathering processes into one place for information consistency, replacing multiple points of entry.
Recommendations to others considering the product:
Better Integration

I like it but it still has some pitfalls
What do you like best about the product?
I love that I don't have to send out emails every time I have an update for my project. All of the information is there for everyone to see at any time.
What do you dislike about the product?
I am still learning so I don't want to be too critical. I'm taking their free classes online to learn more. Right now our biggest challenge is setting the correct permissions and I don't like the reports that come from it. It's not as easily adjusted as excel.
What problems is the product solving and how is that benefiting you?
We are using it for all of our projects in Facilities this fiscal year and I think it will be so much easier to share project information. The issue is getting everyone to buy into using it.
Recommendations to others considering the product:
Don't think that it's excel. It's usefulness stems from it's ability to track project information. Reporting is not it's strong suit
Smartsheet to automate IT PMO
What do you like best about the product?
The ability to work with API and customize your needs. This might require some technical knowledge but it empowers our organization to see three different levels whats happening with our portfolio with no manual work. Our organization is able to track what is happening at ground level (projects), programs and full portfolio just a couple of clicks away or while on the go with the App leaving as something from the past power point presentations or having to wait the weekly status meeting.
What do you dislike about the product?
Level of customization. Dashboards are improving overtime but we found different struggles:
1. Unable to drag/re-order multiple widgets at the same time.
2. Multiple hyperlinks at chart level. We wanted to provide additional breakdown clicking a particular bar
3. Card-view on reports (to be included in dashboards)
4. Unable to enter my own records when not available in a drop-down menu (web form)
5. Need more triggers for automated workflows. Is not good we have to rely on 3rd party like zappier to clear a row or something similar when we should be able to do it directly in Smartsheet. You guys took a step in the right direction with the Approval workflow - need to continue improving this area.
6. Gantt charts needs to be reviewed. How come in Smartsheet website you have some awesome Excel templates that are unable to replicate in Smartsheet docs. Something i think you need to evaluate is to overlay the chart.
7. Review the charts available in Smartsheet Labs and do some effort to include them in the Official-supported widgets (Bubble, Geographic, etc)
Something that changed a while ago is that if you are not paying for this service by credit card, you can't request quotes for less than 3 users.
In our case we follow a purchase process and it makes it difficult when we need only one additional license.

1. Consolidate information. People is no longer spending many hours looking for/consolidating information.
2. Power point presentations and reduced number of meetings
3. Implement process for new projects using Intake forms and workflow approval

Huge time saver!
What do you like best about the product?
It allows me to easily collaborate the partners I work with in different states. We can each access and update our information in live time, allowing us to easily see any changes.
What do you dislike about the product?
It would be nice to have the option to copy and paste between smartsheet and excel. Sometimes I don't need to import a whole sheet, only a few items. Would be nice to copy them out of one document into this.
What problems is the product solving and how is that benefiting you?
I am able to keep accurate records of details and submissions via web forms. As well as share live updates across the board with those not in my organization. This is helpful when collaborating on tracking sheets.
Great for Project Management!
What do you like best about the product?
For my particular requirements, I love the setup of workspaces. It allows us to separate by project, plus allows us to have separate spaces for templates, administrative docs, etc - all of which are set up with different privacy/sharing settings. We can keep financial information out of the wrong hands; certain users can be set to "view only" so that information is not disseminated without authority; admin settings allow certain users to modify formulas or locked rows/columns while others cannot... in short, it allows me MUCH more control over who does what with what information, and that's invaluable in my industry.
What do you dislike about the product?
Well, I used to dislike that you couldn't do more between sheets - but SmartSheet updates things all the time! That said, I do wish I could "edit" templates without having to first use the sheet, and then re-save as a template. I wish we could save a "type" of sheet - and then all edits made to the type (ie, conditional formatting, column options [ie if I add an option to a dropdown on a change order log]) that it would add to all sheets of that "type." I understand that can be a little tricky, and I know I can edit the template but for sheets already in progress we don't want to lose the work and the updates are time consuming. "Apply this update to all sheets in this category" would be a great option!
What problems is the product solving and how is that benefiting you?
We are keeping track of our projects much better with SmartSheet, in a way that Excel simply can't do. It has (most) of the formula benefits of Excel, with reminders and notifications, and integration with Google (among others, though we don't use the others really). Our clients really appreciate our logs, schedules, and how we are able to stay on top of the most minuscule of items, thanks to SmartSheet!
Recommendations to others considering the product:
Utilize the training information and FAQs. They're invaluable. Ask for help with formulas - you can *almost* always do what you need with a combination of formulas, conditional formatting, and hidden columns.
Smartsheets
What do you like best about the product?
It is very user friendly and there is a lot of support available in the community. They are constantly adding new templates to keep up with the new trends in the market.
What do you dislike about the product?
sometimes, theres limits to the system that should be configurable.
What problems is the product solving and how is that benefiting you?
it is keeping us up to date and on track with upcoming tasks related to customer projects. We also use their forms features for data collection.
Smartsheet collaboration is wonderful!
What do you like best about the product?
I love that smartsheet allows the file storage along with the features similar to excel or google sheets. I also love that you can set reminders by line and e-mail the contributors about a specific line item. One of the best features is that each individual user can sort the sheet how they like it and it doesn't change the view for the other users.
What do you dislike about the product?
Sometimes the system can be so complex that the options to set up a sheet can be overwhelming for new users. Overall, I have very little to list about dislikes of this product. I really feel strongly that it has helped us tremendously!
What problems is the product solving and how is that benefiting you?
We have a very geographically challenged organization. So allowing this type of collaborative work is crucial! This system also allows for a lot of tracking across multiple departments to input their "piece" of information and to have a final product that is cohesive.
Recommendations to others considering the product:
I highly recommend this product. It has solved so many document storage and reconciling issues within our organization and across departments. It has also allowed so much file storage to become paperless which was a large part of why we moved to Smartsheet!
Smart Sheets Review
What do you like best about the product?
The features are easy to use and it is good to have simplicity in learning. Any new employee can be taught this software very quickly. Also, The project management is quite simple with the Smart Sheets software as it contains necessary details like dependencies, duration of work and assignments. Besides, their sharing feature is absolutely awesome. It allows to share and get feedback to many others which is very important in staying updated.
What do you dislike about the product?
The cost of using Smart Sheets for smaller firm is too high. Also, I have doubts about the authentication and security. Moreover, it is less functional than MS Project and other competitors. But, they are on a good track.
What problems is the product solving and how is that benefiting you?
It is useful for our day to day meetings, keeping track of project actives, deliverable, and milestones. Also, it is helpful in sharing as it is online with multiple other stakeholders.
Recommendations to others considering the product:
Make it free for small companies or less costly
Smartsheet review by a digital project manager
What do you like best about the product?
Smartsheet is user-friendly and much simpler to learn than Microsoft Project, yet it is still rich in features. New additions like the 'Timeline' view offer excellent visual representations of plans with minimal configuration. The ability to create templates allows me to set up templates for others and quickly start my own plans. The folder structures make storing and retrieving plans easy.
What do you dislike about the product?
The print, save, and PDF functions are subpar, making it difficult to export the information you want to share. Managing accounts is also quite laborious, particularly when amending usernames and email addresses. It feels like some premium features, such as changing email addresses, should be standard settings.
What problems is the product solving and how is that benefiting you?
Smartsheet addresses the need for creating quick, simple, and standardised project and program plans within my team and my organisation. Its intuitive interface benefits me by reducing the time spent learning the software and training others, especially for regular Excel users. I can organize all my plans in folders by project and stage, making it easy to find, reuse, and repurpose old plans.
Recommendations to others considering the product:
The export function is a bit unyielding with smart sheet - its best to share the sheet as a live document
Great but pricey
What do you like best about the product?
Smartsheet is a robust project management tool for those who are technically savvy and knowledgeable about project management. Features that allow us to link sheets, examine workload, and automate reporting on tasks are great.
What do you dislike about the product?
We ended up switching away from Smartsheet for a number of reasons. The primary reason was price. It is significantly more expensive than the other options we reviewed. It is very robust, but most of those features were not useful to team members who were not directly in project management roles. For those familiar with excel, the interface is great but for many it just isn't as intuitive as other solutions.
Finally, I love that you can access sheets on the app, but updating sheets can be clunky. For example, when a task is finished, it isn't possible to just recheck the box to show that the task is complete...the entire task opens up and has to be updated....I wish it were a bit more streamlined.

What problems is the product solving and how is that benefiting you?
As a project manager I loved the level of organization Smartsheet brought to our team. However, the price ended up being a deal breaker and it was probably too complex a tool to be fully adopted by all team members.
Recommendations to others considering the product:
We loved Smartsheet at first because it is quite robust. However, it was not intuitive for many team members and so wasn't fully adopted and the price was just prohibitive.
I would recommend Trello for a lower priced, easy to implement solution. For those needing a more robust PM tool that is affordable and feature rich, I would recommend ClickUp.
