What is our primary use case?

UiPath is a software tool used in Robotic Process Automation (RPA) that allows you to build automated workflows to handle repetitive manual tasks in your daily work. It can automate tasks across various environments including Windows, Citrix, and using image recognition. Additionally, UiPath is incorporating artificial intelligence and machine learning, with generative AI specifically enabling you to develop automation in a wider range of fields like healthcare, telecommunication, and manufacturing.

UiPath offers deployment flexibility: we can install it on our servers on-premises or choose their cloud service, UiPath Automation Cloud. While they provide their option, UiPath is also compatible with other cloud platforms for deployment.

How has it helped my organization?

Building automation is easier with UiPath than with Automation Anywhere or Blue Prism. UiPath's centralized platform offers a more intuitive user experience, and its extensive online community provides readily available answers to your questions.

It allows for the creation of end-to-end automation workflows, even for tasks with imperfect results. For instance, if an AI extracts data from a PDF with a low confidence level, UiPath can trigger the creation of a ticket in an action center. This ticket would then be assigned to a human for review, who can confirm the data's accuracy or return the document to the AI model for improvement.

Over the past nine years as a UiPath user, I've witnessed a wealth of new features emerge. The UiPath user community has been an invaluable resource throughout this journey, providing both learning opportunities and solutions to our automation challenges.

UiPath has been a game-changer for us, reducing costs, improving scalability, minimizing human error, and saving significant time. Their user-friendly platform allows us to automate processes in as little as 15 days, and with the free UiPath Academy courses and community edition, we have everything we need to learn and practice at no cost.

UiPath Academy offers beginner-friendly courses with step-by-step instructions and video tutorials, making it a great resource for those new to the world of UiPath and automation.

UiPath speeds up and reduces the cost of digital transformation andreduces human errors by automating repetitive tasks where errors can be caused due to fatigue or illness.

UiPath helps free up our staff time to work on other tasks. What would take a human, for example, ten minutes to complete, takes the robot seconds. Ithelps save our organization money.

It is easy to learn.

What is most valuable?

UiPath takes the complexity out of automation by using a low-code approach. Instead of writing intricate macro scripts, we simply drag and drop pre-built elements to create our automation, making it accessible even for those without extensive coding experience.

What needs improvement?

UiPath's extensive built-in features, like communication mining, can be overwhelming to learn due to the sheer volume. This learning curve applies across platforms; switching to another company would require mastering new skills like business analysis and product management. Additionally, the modern analysis process demands deep dives into code and solution levels, making it a complex task to achieve.

There's a need for greater emphasis on applying AI and machine learning to enhance technologies like Optical Character Recognition, fingerprint scanners, and facial recognition systems.

For how long have I used the solution?

I have been using UiPath for almost nine years.

What do I think about the stability of the solution?

If one of our machines goes down, UiPath will resolve the issue within 24 hours.

The technical support is good.

Which solution did I use previously and why did I switch?

While we've experimented with Automation Anywhere, Blue Prism, and Microsoft Power Automate, they lacked UiPath's ability to centralize all our automation initiatives. Choosing the right RPA tool requires careful consideration of cost, functionalities, and the specific features each platform offers.

How was the initial setup?

The cloud deployment is straightforward. The logs are all maintained in the orchestrator. 

What was our ROI?

The return on investment from automation grows with the number of processes automated. This translates to greater cost and time savings, freeing up resources to tackle new projects that can generate additional revenue.

What's my experience with pricing, setup cost, and licensing?

UiPath is expensive. The license types depend on the deployment method and the number of bots required.

What other advice do I have?

I would rate UiPath eight out of ten. UiPath is user-friendly, easy to learn, and manage.

UiPath introduced communication mining in the last two years. We do use it but the use cases are primarily for the health sector and insurance sector but they have been steadily declining.

UiPath's cloud deployment offers a hassle-free experience – they manage the infrastructure and maintenance, so we don't need to worry about any hardware or upkeep on our side.

Six people in our organization use UiPath.

While running UiPath on-premises with a high volume of bots might involve some minor maintenance tasks for us, the cloud-based option takes care of everything – UiPath handles all the maintenance on their end.

UiPath offers a multifaceted platform, requiring users to learn distinct aspects based on their roles. Developers will delve into coding and automation creation, IT business analysts will focus on process design and optimization, product managers will manage the automation lifecycle, and salespeople will highlight the product's capabilities to potential clients.

What is our primary use case?

The solution is to get requirements over to Jira, then we use it to automate some of the processes. We can automate changes and statuses.

What is most valuable?

The solution is user-friendly and easy to handle. Anyone can understand it pretty quickly.

The robots are helpful. The orchestrator is easy to operate. 

The UI is simple and easy to understand.

It makes automation very easy. There are some use cases where you need a small amount of coding. It's a very low-code way of automating. That means you don't need much knowledge to start building what you need. Overall, it's easy to learn. You can even Google questions and find solutions to your queries. 

We can make end-to-end automation, even though I might now always use it that way.

The user community is very good. On their own website, you can find a lot of great information.Their documentation allows you to understand it pretty well. There are videos as well. They make it easy to understand and follow along. Seeing it visualized makes things much easier. And if you have any errors, there are many people all over the world that may have already dealt with those, so you can get information to help you adjust. 

Since it's low-code, we saw the benefits of using UiPath very quickly.

We've been able to minimize our on-premises footprint. 

I've used the UiPath Academy. I've been certified. There are lots of videos and you can go through and you can complete any number of certificates. 

When you make automation, you can save a lot of time. Using it, you can reduce your manual output. It helps VAs and managers save time.

What needs improvement?

They already have a good overview of the product and training. I haven't found anything significantly negative about the product. 

The pricing can be a big factor for a lot of users. It could be reduced to help more companies leverage its automation capabilities.

The stability is good. We haven't gotten any kinds of errors.

I've used other RPA tools, such as Automation Anywhere. People do need to have a bit more knowledge about AA before using it. 

How was the initial setup?

The deployment is very easy. There are just some steps you need to follow. We were able to deploy it in three to four hours. We had three people handling the deployment process as well as testing and creating automation. 

There is maintenance if you make any changes to processes. For example, if an endpoint changes, the automation will need to be changed. 

What's my experience with pricing, setup cost, and licensing?

Automation Anywhere may be more widely used than UiPath based on pricing. 

What other advice do I have?

We're UiPath end-users. 

They have a feature called communications mining. However, I haven't used it yet. 

I'd rate the solution eight out of ten.

It's a good tool to start with when exploring RPA automation, and there are many free items available on the UiPath Academy website itself. You just need to log in, and you can get certified and start practicing. You can start practicing with creating your own bot. It's a very easy tool, and very user-friendly. With small, low-code capabilities, a non-technical person can learn it; it just requires small amounts of coding.

What is our primary use case?

Our team manages RPA licensing, including evaluating other tools besides UiPath. We consider factors like upcoming automation reports and license renewal costs when deciding between UiPath, Power Automate, or other options. By comparing features and licensing expenses, we make informed choices about which RPA tool best suits our needs.

UiPath handles our invoice processing and a variety of ERP tasks, including automating processes in SAP and Oracle. We also leverage it for some portal interactions and other invoice-related functionalities.

We use the UiPath orchestrator platform.

How has it helped my organization?

We recently migrated to UiPath's cloud-based Orchestrator, and the benefits have been tremendous. We receive frequent updates without any maintenance on our end thanks to UiPath managing everything. This ensures no downtime and access to all the latest features, which UiPath releases regularly throughout the year in response to user feedback. Additionally, our investment in premium support, including a dedicated Partner Account Manager and UiPath Advantage benefits, provides us with immediate assistance whenever needed.

Although UiPath is not as user-friendly as Microsoft Power Automate, it boasts a wider range of features. UiPath does require some coding knowledge for developers due to its drag-and-drop interface, but it provides a strong framework that simplifies development. Projects can often be completed within one to two months thanks to this ease of use, and the platform itself is constantly being improved.

UiPath offers end-to-end automation, replacing the need for multiple tools. It supports DLC and provides sample documents and maintenance guidance. Additionally, UiPath's built-in flowcharts eliminate the need for Visio, reducing costs. Furthermore, integration with Azure and pre-built templates minimizes the need for PowerShell scripting, streamlining the development process. Overall, UiPath simplifies automation by offering a comprehensive and user-friendly platform.

The UiPath User Community is a fantastic resource, offering a one-stop shop for all our UiPath inquiries where we can find answers and connect with other users.

UiPath has been a game-changer for us. Productivity has soared, security has been significantly bolstered, and the new features are proving incredibly versatile. We've even been able to reduce outsourcing by implementing UiPath automation, which have greatly simplified our monitoring processes.

Its ability to minimize on-premises infrastructure aligns perfectly with the current trend of companies prioritizing digitization to reduce their physical footprint. In other words, UiPath is a key tool for achieving this modern business goal.

Our vendors initially struggled to adapt to the cloud-based platform after migrating from on-premise software. To bridge this knowledge gap, we directed them to the UiPath Academy courses, which proved to be a valuable resource. However, the extensive course library made navigating and finding the most relevant content challenging. Fortunately, UiPath's supportive team provided us with the necessary links, allowing our team to get up to speed quickly.

It has helped speed up our digital transformation.

UiPath has significantly reduced human error in our finance department. Previously, manual processes resulted in numerous errors that often went unnoticed until the quarter's end. Now, automation minimizes errors and frees the finance team to handle any remaining manual tasks with greater ease.

UiPath has helped free up around 30 percent of our staff time and has significantly reduced our costs, and the KPI data we're maintaining confirms these substantial savings.

What is most valuable?

UiPath stands out for its robust SAP integration capabilities and a growing library of connectors that simplify connecting to various applications. Document Understanding has also seen significant improvement, making data extraction more accurate. Additionally, UiPath offers valuable process insights, providing a clear picture of automation utilization across machines, and giving us a powerful tool to optimize our workflows.

What needs improvement?

UiPath's cost can be prohibitive, and the sheer number of licensing options they offer makes it difficult to choose the right one, creating a confusing selection process.

Currently, UiPath doesn't provide automatic notifications for known bugs in new releases. This means we're left to discover and report them ourselves. Ideally, I'd like to receive updates on these known issues from UiPath to streamline the automation process.

UiPath implementing a feature like Microsoft's CoPilot would significantly enhance our development experience by offering assistance in building automation.

UiPath offers a pre-built framework that tailors to our specific needs, along with a powerful orchestrator for centralized control. While Microsoft's automation platform is still evolving and lacks features like UiPath's orchestrator, it excels in native integrations with Microsoft products like Outlook and SharePoint. However, for SAP integrations, UiPath provides exclusive activities that are crucial for automating tasks within our system.

How was the initial setup?

In 2018 when I first deployed UiPath I found it to be complex but now that I have more experience, the deployment is straightforward.

Our team created three AWS accounts, designating one of them. We then set up, launched, and deployed the orchestration tool on the first account. After performing a POC and gaining leadership approval, we spun up two additional accounts for QA with UiPath's ongoing support throughout the year. Finally, we deployed additional machines and established a Cloud Operating Validation environment.

In-house we required eight people for the deployment.

What about the implementation team?

We initially developed the proof of concept ourselves, but after launching into production, we leveraged the expertise of multiple vendors to ensure successful implementation.

What's my experience with pricing, setup cost, and licensing?

UiPath is expensive compared to other RPA tools.

What other advice do I have?

I would rate UiPath eight out of ten.

We currently have around 130 active bots, though, in the past few years, we decommissioned a larger force of 300. We also boast a user base of over 80.

What is our primary use case?

UiPath is a business automation platform that allows us to design and implement rule-based automation across various applications. In essence, we define the rules and conditions e.g., for processing data in a CRM system, and UiPath automates the entire workflow. Beyond processing, UiPath can also automate tasks like document reading, data entry, and system updates e.g., price changes. In our specific role within the telecom domain, we might use UiPath for design integration, network optimization, and other tasks defined by our business rules. It's important to remember that successful automation requires well-defined rules, test data, and an evaluation of scalability and return on investment. UiPath's strength lies in its ability to integrate with various applications, including Office 365, CRM systems, and HR applications, as long as these applications have a user interface with identifiable elements or objects.

How has it helped my organization?

Building automation with UiPath is user-friendly, especially for beginners. Even without prior coding experience, newcomers can learn the ropes quickly. UiPath offers foundational code and training sessions that make creating robots achievable in just one or two sessions. The concepts align well with the product, making it easy to follow along during training. Additionally, UiPath Academy provides free online courses for further learning. This open approach contrasts with other tools like Blue Prism, which has a closed community, and Automation Anywhere, which requires more time investment to grasp due to limited resources. Unlike these other tools, UiPath offers extensive online resources and a supportive community, making it easier to find solutions. With this accessibility, even non-technical users can be trained within one or two weeks to build automation – the key is understanding the logic behind them.

UiPath facilitates end-to-end automation, eliminating manual intervention for repetitive tasks. This frees up employees for more strategic work. Data processing, server configuration updates, and many other processes can be fully automated using robots. Even tasks requiring some human oversight benefit from UiPath's Document Understanding tool, which accurately extracts data from documents. While automation won't eliminate all human jobs, it can significantly reduce repetitive tasks. Instead of cutting jobs, organizations can redeploy employees to higher-value activities. However, the decision to automate depends on the specific business needs and process criticality. Overall, end-to-end automation with UiPath saves time and resources for organizations.

The timeframe for seeing UiPath's benefits depends on the specific task being automated. For simpler tasks, like generating reports, we might see results within a month or two. UiPath Academy provides a comprehensive learning platform for anyone interested in Robotic Process Automation. With over 25 courses and multiple certifications ranging from 6 to 7, we can gain the skills we need to automate tasks. The Academy is easy to access - simply sign in with our Gmail account and start learning. Courses include video lectures, text documents, and even hands-on simulations using dedicated UiPath Academy websites. To get started with the Academy, we'll need a laptop with internet access. Overall, UiPath Academy offers a user-friendly platform with a clear learning path to kickstart our RPA journey.

UiPath helps reduce human error in automation, but thorough planning is crucial. First, clearly define all valid data formats and business rules for the robot to follow. This includes specifying what information can be processed, and what validations need to be performed before updates, approvals, or rejections. These rules should be established by the business and rigorously tested by both developers and users. Remember, the robot is a machine that executes what it's programmed to do. It won't take any actions beyond its defined instructions. While humans can make mistakes, the robot itself won't. However, the quality of its work depends on the quality of the data it receives. This is why a well-defined software development lifecycle is essential. Each stage should be carefully verified to ensure the robot follows the intended steps. Before starting automation, identify and address all potential issues. Unlike humans, robots can't adapt to unexpected situations. They rely on clear instructions and clean data. While humans might prepare the data like an Excel sheet. Any errors they introduce will be carried out by the robot. To minimize errors, establish clear conditions for updates, approvals, and rejections. These conditions will guide the robot's actions and reduce potential mistakes. Careful planning before robot creation is key. While robots themselves won't make errors, unforeseen circumstances can arise. For example, application upgrades might require the robot to be adjusted. The robot won't recognize these changes on its own and will continue following its original instructions. This is why humans play a crucial role in supervising robots. This allows anyone to develop automation quickly. That's the beauty of UiPath compared to tools like Blue Prism and Automation Anywhere. While Automation Anywhere offers single sign-on with object access, it requires memorizing methods and libraries. UiPath simplifies this with a search bar for activities, like building a sentence with relevant keywords. This feature is absent in other tools, making UiPath more developer-friendly. Additionally, UiPath offers products like Document Understanding and Action Center, along with various integrations, catering to different departments within an organization. It empowers citizen developers, or business users, to automate tasks through easy-to-use functionalities. With good exception handling, clear libraries, and a wide range of activities, UiPath makes automation development easy to learn and adapt to, as long as we understand the desired outcome.

UiPath has matured and offers a wide range of packages. However, some users feel these packages aren't easily adaptable or customizable. Ideally, UiPath could provide more open models for users to modify and tailor to specific needs. Additionally, users would appreciate more activities and features related to Microsoft Office applications, given their wide use. While UiPath acknowledges this need with some activities for OneDrive and SharePoint, there's a gap compared to other platforms.

While the platform offers valuable features and user-friendly tools, its pricing can be a barrier for some customers seeking more affordable options. This high cost is a key reason users switch to Power Automate, which integrates well with Office applications but lacks UiPath's breadth of automation capabilities.

Blue Prism, Automation Anywhere, and UiPath are all RPA tools with similar core functionalities. However, they differ in the number and variety of activities they offer. UiPath boasts the most features, while Automation Anywhere excels in document understanding, a key area where UiPath is catching up. Ultimately, the choice between these tools depends on specific needs. For cost-conscious clients, Power Automate is a viable alternative, while UiPath offers a comprehensive feature set and Automation Anywhere shines in document processing.

What's my experience with pricing, setup cost, and licensing?

UiPath's licensing costs can be high, and to maximize their value, customers need a clear plan for utilization. The mistake many make is buying licenses without considering workload. Effective utilization comes from proper training and knowledge of UiPath's capabilities. With this knowledge, the high price may not seem so daunting. From a user's perspective, a well-defined plan is crucial. Don't buy one license for one process if you have 50! Having a full pipeline of automation justifies the cost. While UiPath may be pricier than other tools, its power is worth it – but only if you know how to leverage it.

What other advice do I have?

UiPath is a strong contender, earning a rating of nine out of ten. However, its high price tag prevents it from achieving a perfect score.

Automated processes require maintenance every three to six months. Additionally, training a robot using hypercapnia elevated CO2 may take three to six months. To ensure successful implementation, we need to identify potential robot failure points and mistakes. We'll simulate these scenarios during training to refine their character responses and behaviors. Following the training period, we'll transition to periodic monitoring. This monitoring will gradually decrease as we analyze data logs and the overall system performance through the central management tool.

What is our primary use case?

We are using it to automate business processes in the organization.

How has it helped my organization?

UiPath has impacted our operational efficiency quite a lot. There are a lot of scenarios where it has helped the end users. We also have benefited financially from it. We have streamlined the processes to an extent. We initially started with a basic data migration process, and now, we have our own intelligent automation and hyper-automation framework. We just get the requirement, put it in the framework, and start automating. We have progressed a lot.

UiPath enables us to implement end-to-end automation. There are certain instances where we do not get end-to-end automation, but those are the things that are out of RPA's capabilities.

End-to-end automation is important because we can showcase our capability more efficiently in front of our management and the client. We can show that something can be 100% automated if there is a use of 100% automation.

They have UiPath Academy. When UiPath was new, we did not have any online resources to go and learn. The YouTube community was small. There were no courses on Udemy or any of the online platforms. The offline platforms were also minimal. UiPath Academy was one place where we could go and learn and prepare for the exam. I got certified when UiPath certifications were free. I have done all the learning from UiPath Academy. As I move up in my role and responsibilities, if I want to learn a few more things, UiPath Academy is still the best place. You get a very crisp and clear understanding of everything.

We use UiPath’s artificial intelligence and machine learning capabilities for hyper-automation. In my understanding, RPA in the initial days was limited to redundant process automation, whereas now, the use of AI Fabric and other components makes the automation more intelligent. We can add decision-making to existing automation. There were many processes where we had stalled the process just because the next step was a decision-making step, and someone had to come and make a decision to move forward. Now, we have our own AI team to build the code that can make decisions on behalf of a person and also learn from the existing behaviors. That helps quite a lot.

UiPath saves time. It saves about 50% of the time. It never saves 100% of the time because we also spend a lot of time maintaining and doing enhancements to the process. Processes are never stable.

We have integrated it with multiple tools. The outcome has been very good. There have been challenges at times with the development, but the integration has been smooth so far.

What is most valuable?

Computer Vision is one good feature. AI Fabric is another good feature. The holistic Orchestrator platform is another feature that is very useful.

The RE Framework provided by UiPath is quite extensive. It solves a lot of problems and gives us a lot of time back. We do not have to create our own framework.

UiPath is more user-friendly than other RPA solutions that I have used. UiPath also has the biggest community.

What needs improvement?

Automation Hub needs to improve a lot. About two years back, it kept on crashing. It has improved a lot. We use it but not to a great extent. We try to build our own dashboards by using any of the data analytics tools.

It should give real-time data, and the integration with the servers is not that great. It can be because of the infrastructure that we have.

They can also consider integration with other automation tools because nowadays, a company does not have one automation tool or RPA tool. A company has multiple RPA tools. They can think of integrating the data from other automation tools in one automation hub so that it becomes centralized.

For how long have I used the solution?

I have been using UiPath for close to seven years.

What do I think about the stability of the solution?

UiPath is quite stable. I would rate it a nine out of ten for scalability. It does crash sometimes. That could be because of the infrastructure we are using.

The reliability of any process that goes to the end user is tested with a set of data. We do rigorous testing because, at the end of the day, any error in production ends up in a financial loss, so we test the automation that has been built to quite an extent.

What do I think about the scalability of the solution?

I would rate UiPath a seven out of ten for scalability. No technology is 100% scalable. As technology evolves, new features, such as GenAI features, need to be added. Scalability-wise, it can never go to a ten. Another reason why I rated it a seven is that I want Automation Hub to be scaled to its full potential. It has not been scaled up properly. I have got this feedback from different people across the organization.

The organization I belong to works on the use cases for building automation for given processes. We have around 15 developers doing this work.

How are customer service and support?

I would rate UiPath support a ten out of ten. They have been quite supportive when we have raised any query with them.

Which solution did I use previously and why did I switch?

I have been in the automation field for the last 12 years. I started with RPA with Blue Prism. I have worked with almost all main RPA tools such as Power Automate, Automation Anywhere, etc. I find UiPath to be the most user-friendly. There is the ease of having all the activities in the same panel. You can have the Studio setup and you can review the code as well with the analyzer. It gives a lot of flexibility when you are developing.

The one feature that is very good is that the marketplace is open. People can build their own set of activities and post them there, which is very useful. I myself have built a lot of activities. I have also used activities by other developers to complete my work. The marketplace is very helpful.

UiPath has the biggest user community. Its community is bigger than Power Automate, Automation Anywhere, and Blue Prism. Other than the community, there are also several groups. There are a lot of developers. If you are stuck with any issue, which is quite common, someone will have a solution for it.

Developing automation with UiPath is much easier compared to Power Automate, Automation Anywhere, and Blue Prism.

How was the initial setup?

The deployment is handled by another team. I do not handle the deployment because the infrastructure team handles it. It should be a one-man job. It is not that difficult.

The deployment duration of a process depends on how big the process is and how much time and resources it requires for development. Usually, it takes two to three weeks. It can also take ten weeks depending on the process. 

All tools require maintenance in terms of upgrades, but that is probably handled by UiPath. We only maintain our own processes. If there are some changes to the selectors or any of the UI components, we have to update the project.

What was our ROI?

With RPA, it takes one or two years to see an ROI. It is not cost-efficient till then. When you start building hundreds of processes and utilizing the full capacity of the bots to work 24 hours, you get a good return on investment. Initially, it was expensive, but as we scaled up, we could see an ROI. We have seen a good profit.

Initially, the ROI is less. It is about 5% to 6% per year, but as the processes mature, the headcount reduces, and the human intervention also reduces. It eventually moves to 30% to 40% ROI.

What's my experience with pricing, setup cost, and licensing?

It is the most user-friendly RPA platform, but it is also the most expensive RPA platform.

What other advice do I have?

I would recommend UiPath to others because it is the most user-friendly. It is also developer-friendly because of the community. It also works across systems. These are the three reasons for recommending it.

We run a roadshow across the organization to understand which processes are redundant. We try to understand which part of a process can be automated by using the general RPA automation and only one tool. We also categorize them in terms of what can go under intelligent automation where a certain amount of decision-making is required. Another category is hyper-automation where we try to understand how to include different tools, such as machine learning code, AI code, NLP data set, or data mining set. If we have an existing tool for data mining and process mining, the final steps can be automated. These are three major criteria. For basic automation, we try to assess the type of automation. Is it desktop automation? What kind of resources are required? Do we need an attended automation or an unattended automation? Based on my experience, almost all of them are unattended automation. We then try to pull in the use cases, prioritize them, and start automating.

UiPath keeps on enhancing its product. Four years ago, there was no AI Fabric or Automation Hub, and now, we have all those things. They help a lot in delivering the project and having a prototype view for all the projects that are running.

Overall, I would rate UiPath an eight out of ten.

What is our primary use case?

The use cases for UiPath depend on the specific requirements of each department within an organization. We typically meet with small groups of employees to identify potential automation opportunities within their departments. If a use case is suitable for automation, we develop the feature and build the bot for the customer.

How has it helped my organization?

UiPath integrates seamlessly with our existing products. Leveraging its AI capabilities, we're identifying new use cases. Additionally, UiPath offers a "bring your own model" approach, allowing us to utilize machine learning models from other vendors if needed.

The biggest advantage of UiPath is its user-friendly environment. Unlike Azure and Blue Prism, UiPath offers a robust orchestration platform that allows central management of our entire RPA ecosystem from a single orchestrator. Additionally, UiPath excels in automating web applications.

UiPath provides a comprehensive suite of solutions for robotic process automation. Beyond the core UiPath Studio for building robots, they offer a range of AI-powered products such as communication mining, task mining, and the Automation Cloud. These solutions seamlessly integrate within a unified environment.

What needs improvement?

The pricing is high and has room for improvement.

I find UiPath's development environment to be challenging. Ideally, I'd prefer a more user-friendly approach like Blue Prism's, which utilizes a building block concept.

What is our primary use case?

We mainly use UiPath for automation testing processes. I am from delivery and project management, and I have a team member under me who is developing automation processes for me.

How has it helped my organization?

We had five members on our team when we started in 2019, and now we have 70 people in-house. We have achieved a very good scale in the last five years. We started with UiPath, and we have started adding other tools over the last one and a half years. Till mid-2023, we were just on the UiPath platform, but now we've expanded to other tools. We are the only organization across the globe that has achieved certifications in Document Understanding.

What is most valuable?

The most valuable features of UiPath are test automation, test suite, test manager, and document understanding.

What needs improvement?

Communication mining and process mining can be enhanced in UiPath. UiPath should improve its licensing because its competitors offer a cheaper and more sustainable model for even small-scale industries. Any company that wants to adopt UiPath has to pay straight away and then use it.

For how long have I used the solution?

I have been using UiPath since 2015.

What do I think about the stability of the solution?

We haven't faced any issues with the stability of the solution because it is continuously evolving and upgrading. In some instances, we found that some solutions we had built in the past were failing, but that could be quickly fixed with their suggestions.

I don't feel any other tool has that much accuracy and stability of the applications. UiPath is a very scalable solution, and we can integrate it with any other application.

UiPath's support team has to improve a little because their responses regarding production incidents are not too quick. What about the implementation team?

We have several in-house experts who can deploy the solution. If we struggle with something, we seek the help of all the resources in our team. Mostly, we don't take any external help for deployment. If required, we reach out to UiPath for something that is missing or not working. However, that is just 2% to 3% of the complete processes. We manage the rest, 98% of the process, among ourselves.

What's my experience with pricing, setup cost, and licensing?

Compared to other RPA tools, UiPath is a much more expensive solution.

What other advice do I have?

UiPath's implementation depends on the process and budgeting. If clients have a good budget, we proceed with UiPath. Otherwise, we suggest some other solutions. Sometimes, we need to minimize the time frame to do the repetitive task. Manually, people take a longer time to process any files. We are automating the processes to streamline them and minimize the team members' costs and efforts.

If we have multiple tools involved, we have to put a lot of effort into analyzing them. If we directly go to development without thinking or analyzing, we lose time and effort. That's why it is very important to analyze the tools in depth. If the processes are straightforward, we suggest some improvements, which would be much easier. If multiple applications are involved, it takes a longer time. The complex process also requires some improvement, and based on that, we suggest whether to go ahead with UiPath or not.

The solution enables us to implement end-to-end automation for 90% of the processes. End-to-end automation is always important for us because it creates business for us. When we implement UiPath for the client, each client will be satisfied and happy with us, and we can get more business.

UiPath's user community is very helpful. We learn about different technologies and aspects when we get involved with the user community. Sometimes, we interact with problems that we have never worked on. We learn about such challenges and their solutions because of the solution's user community.

If you are struggling somewhere, you can post the issue on the user community forums and get an immediate response. With UiPath support, we have to wait for 24 hours to get a resolution. We get quick responses in community forums because experts respond to us. Compared to other solutions, UiPath's community forum is much stronger.

Most of our resources are first going ahead with UiPath Academy courses. After that, we give training because that is a basic point to start with. We are even onboarding the freshers. We ask them to go through their Academy courses, and after that, we allocate an in-house mentor. It will be much easier for us after they have an outline in their mind regarding the processes they have to go through. Once they finish it, we have an internal assessment and a training team that will assist in complex use cases.

The biggest benefit of UiPath Academy is its proper outline and structure in terms of education. Anyone who can follow will at least get 40% to 50% of the learning from there. After that, they will learn a lot based on their practices. They can practice some examples from there if the basic concept is clear. The courses are structured in such a way that even kids can also start with them. The courses in UiPath Academy are well structured and planned.

We cannot add the solution's AI functionality for every project. Around 50% of the projects we have done so far are related to AI. AI is helping a lot in terms of AI Center. The AI functionality helps connect with each application and for documenting. The solution’s AI functionality has enabled us to automate more processes overall.

Other than licensing costs, the solution reduces the cost of digital transformation. Our complete business depends on UiPath. As a solution-based company, we are automating the processes. We don't have manual resources except the project manager and business analyst to analyze the processes. Our complete business depends on the solution's automation or the AI model.

UiPath has freed up employee time for us. We have delivered two projects to a European-based client. UiPath has freed 90% of employee time in one of the processes and 85% in the other. It was a very big logistic company where we implemented UiPath using a Document Understanding to extract all invoices and feed them into the application. Earlier, they used to allocate these tasks to nine resources. Now, one resource can handle everything.

We have been expanding into other tools for the last year, but UiPath has been beneficial and has saved us overall costs. We don't have any licenses with us. We just provide the solution. We deploy UiPath on-premises or on the cloud, depending on the end user's requirement.

UiPath is usually deployed across multiple locations and departments. Maintenance will be required for UiPath in terms of new functionality during upgrades. I would recommend the solution to other users.

We always suggest to every client and whoever reaches out to us not to proceed with UiPath without having proper knowledge. We say this because of the licensing cost and several factors involved. If the processes are just one time, it's not recommended to use them. Overall, the learning is good. If anyone wants to try UiPath, they should first explore smaller processes and then proceed to the bigger ones.

Whenever new upgrades are available, sometimes they break the functionality, which we have faced a few times. If you are using version 12, stick with that and disable the updates directly from UiPath. First, try on the smaller instances, then proceed with the bigger ones. Otherwise, some production activity might fail.

Overall, I rate the solution an eight out of ten.

It can connect to any system, regardless of platform, making it highly versatile. On the other hand, Microsoft Power Automate prioritizes integration with other Microsoft products. Connecting legacy systems with Power Automate often requires purchasing premium connectors and potentially hiring an expert for configuration.

How was the initial setup?

The deployment took around two weeks to complete.

What about the implementation team?

We engaged Deloitte as our consulting firm for the UiPath implementation. While we handled a significant portion of the on-premises work ourselves, their team provided some technical assistance. Overall, I would rate their services a six out of ten.

UiPath promises a 50 percent reduction in operational costs, but the high licensing fees may consume most of those savings.

What is our primary use case?

I use UiPath for work projects that involve various applications, including license rebate processing and healthcare licensing. I develop reusable components for these projects.

Specifically, the process involves launching different licensing websites and extracting essential information such as license number, status, effective date, expiration date, and any disciplinary actions. This data is collected from providers like physicians, dietitians, opticians, and speech therapists. We validate the extracted information against existing databases or applications, updating records where necessary.

This validated information is crucial for determining the approval or denial of applications, such as those related to provider enrollment. Essentially, my work centers around creating processes with defined inputs and desired outputs.

Currently, I'm focused on a project within the manufacturing sector, specifically a constant bidding branch. Here, we gather order information for stakeholders, including tracking numbers, tracking statuses, and approximate order values. We store this data in an Oracle database, generate a CSV file from it, and distribute this file to stakeholders via email.

How has it helped my organization?

Building automation using UiPath is easy for developers. It is easy for them to manage and start building with the automation.

UiPath empowers organizations to improve their staff's time management and become more cost-effective. By automating routine tasks, it frees up employees' valuable time to focus on higher-priority work. 

UiPath enables end-to-end automation. Our process begins with meeting stakeholders to determine which processes are suitable for automation. We assess if existing tools are sufficient or if new ones need to be implemented. We also identify applications that automation could potentially replace. If all requirements are met, we obtain sign-off for automation and prepare process documentation, such as Process Definition Documents. We then consult with business stakeholders and obtain managerial approval on the Solution Design Document. This phase can take several weeks and involves outlining the specific solutions and applications required for the automation. Next, we create a video demonstrating the automation workflow and explain the process to stakeholders. After securing sign-off from management and SMEs, we begin the development phase. The completed development is sent for UAT and then moved into production. We typically monitor the automation in production for one to two months. Any errors trigger email notifications, allowing us to promptly address issues within UiPath Studio and re-deploy to the live production environment.

The UiPath User Community is a valuable resource for developers. It allows us to share knowledge and find answers to questions or issues we encounter, without needing to submit a support ticket.

It has significantly improved our efficiency by automating many manual tasks, leading to a noticeable benefit for patients. Now, thanks to automated benefit processing, patients receive instant approvals or denials from their insurance providers.

Our company encourages us to complete UiPath Academy courses to further our understanding of Robotic Process Automation. These courses equip us with the skills and knowledge necessary to solve complex problems encountered in real-world scenarios. Completing the Academy courses and obtaining certifications can be beneficial not only for career advancement within our company but also for understanding new features and process flows implemented in future updates. Additionally, these certifications can be valuable when transitioning to other companies as they demonstrate our expertise in UiPath products.

The most valuable feature is the easily accessible tool, such as the ARI framework, which I have used extensively. My interest in the ARI framework has grown significantly because the templates are built directly into UiPath, making it possible to automate more complex processes, while also simplifying the development and understanding for developers.

What needs improvement?

The UiPath Community Edition lacks some key features that developers find essential for learning and building their knowledge base before transitioning to the paid Enterprise Edition. To provide developers with a more comprehensive evaluation experience, UiPath could consider including all features in the Community Edition for a limited trial period. This would allow developers to fully test the solution's capabilities before making a purchase decision.

What is our primary use case?

We are developing processes with UiPath for clients in the government and banking sectors. 

How has it helped my organization?

UiPath is flexible and has various automation capabilities. I like PDF automation, and we have multiple other tools, such as the AI Center and Document Understanding. There is more than one way to automate the same process. We can broaden our experience and use our imagination.

UiPath facilitates our digital transformation. We have an auditing team for our client that was manually collecting data every month from eight websites across different Indian states. We also have to validate the files we get. It takes a person three days to do that manually, but UiPath automation allows us to complete the process in a day, and it's more accurate. There were no errors, which is what the audit team requires. The banking sector is undergoing changes, and by using automation, the banks are improving.

The solution reduces human error in cases where we have Excel automation invovling some formula that needs to be copy-pasted, or we need to fetch the data from PDF to Excel in a particular column. It's easy to make a mistake when both keys are next to each other.  For example, we may make an error while writing "S is equal to A," and we might ignore it. A UiPath bot will perform that without making an error. If the process is properly designed and trained, we'll get the correct output. 

What is most valuable?

I appreciate UiPath's ability to automate complex processes. It's the best thing. The Action Center, Document Understanding, AI Center, and all the other components of UI Path are also good. I prefer UiPath over other automation tools.

It's easy to build processes in UiPath. I am from an engineering background, but UiPath is a low-code solution, so it's easy for a user with a nontechnical background to understand.  It's simple to explain things to business users. If I need to explain things to my clients, it's easier for them to understand how UiPath works. 

I have developed multiple end-to-end processes, including SAP, web automation, Excel, Outlook, PDF, and directory automation. For example, we might extract the information from the PDFs in a folder. A recent one involved invoice process automation. Invoices for rent and expenses needed to be processed for nine websites, which were automated in UiPath. It included SAP, web, and Excel automation.

The UiPath community has been helpul in cases involving clomplex logic. By getting in touch with the UiPath community, we could see all the new things that have been developed or released in the latest versions. We have community meetings. 

I've also obtained multiple certificates through the UiPath Academy. There are foundational and advanced courses. I was certified in solution architecture, fundamentals and methodology, SAP automation, administrator automation, AI Center, and Document Understanding

The time needed to learn UiPath depends on how much time you're willing to spend practicing. I completed the UiPath foundational and advanced courses in a month because I was working on it day and night, practicing with the different tasks we got online. Some of my colleagues took three or four months.

We use UiPath's AI features for Document Understanding. We have to train the AI model repeatedly so that it extracts the data correctly from the PDF. We correct it when there are mistakes so that it trains the model. Similarly, we have the AI Center, where we can choose from different models available from the UiPath or create our own.

What needs improvement?

A lot of the UiPath processes are capturing information from government websites. It's difficult to capture the correct format, so we need to use a third-party application to capture the information correctly. It would be better to have that capacity with UiPath, so we don't need another product. 

For how long have I used the solution?

I have used UiPath for more than two years. 

What do I think about the stability of the solution?

I rate UiPath seven out of ten for stability. The stability varies from machine to machine. If you have enough RAM and CPU, it should be fine. Sometimes it lags on computers with older processors. I'm using an i7 11th generation, and it works perfectly fine. Also, sometimes there are issues in new versions, but it runs smoothly in the latest stable version. 

How are customer service and support?

I rate UiPath support seven out of 10. The response speeds and the solutions they provide are excellent. I have contacted them multiple times to open up cases. Recently, a URL was not working due to some architecture issues, and they responded within two hours.

Which solution did I use previously and why did I switch?

I have done one process on Automation Anywhere, but it was only an Excel automation.

How was the initial setup?

The implementation varies from process to process and the availability of the process team. I have done processes on various timelines. It sometimes takes a week if the process is small. A few took around three or four months because the scope was larger. It covered 10 to 12 human steps and involved manipulating data in SAP and Excel. It doesn't take as long if it's a simple process that involves moving a PDF, copy-pasting, or bulk emails. It depends on the process length and the testing needed before we can move the process into production.

I handle the deployment because the infrastructure team does all the installation and orchestration. I have admin access, so I can publish and upgrade packages and maintain the licenses, machines, bots, queues, etc. It is all published in the Orchestrator and run on the production machine. Maintenance is required of ther are changes in a URL or some input. 

What other advice do I have?

I rate UiPath nine out of 10. UiPath's license costs more than other tools, but once it is all set up, it's easy to use and is effective at multiple types of automation. If you don't have experienced developers, you can learn to use the UiPath Studio to develop some basic code.
