I use PandaDoc for sending contracts to potential members, and it really helps by making the process of sending contracts and collecting payments easy. Members love how easy it is to use, and it saves them the drive to sign a contract in person. I find it incredibly easy to customize documents and tailor them to exactly what I need. Saving templates and creating different versions of documents makes getting one sent timely so simple.

Proposal workflow has become faster and more detailed but complex quotes still need better options
What is our primary use case?
My main use case for PandaDoc was preparing proposals. We had a lot of one-off projects, and we used PandaDoc to prepare the quotes for these projects. These could be very small projects and PandaDoc would just have one or two pages, or very big projects such as campaigns where we would break down things in even more detail and the document could have quite a few pages. The projects I worked on with PandaDoc were creative projects, so anything ranging from simple design requests such as designing a banner to videos, to full-blown tenders where we would have to present a quote in lots of detail. In general, I worked on lots of creative projects and campaigns. In the creative realm, the complexity and the type of service offered changed a lot, and so did our quotes, and PandaDoc was used for them.
How has it helped my organization?
It made preparing proposals a much quicker job when comparing with Google Docs.
What is most valuable?
PandaDoc offered the best feature in its template functionality, which made things a little bit easier. We would have everything saved when it came to all the legal jargon, and it allowed us to quickly fill in the table with the job titles and the services, and it would calculate everything immediately. It also allowed us to add video, which was a game changer. More specifically, it really made our lives easier when it came to tracking if someone had opened the proposal or not because we could send them specific links and we could see how much time they had spent even reading a specific page. PandaDoc has positively impacted my organization by enabling faster turnaround times.
What needs improvement?
I wish PandaDoc included a database of rates, or perhaps I didn't see that at the time. It would be helpful to have some sort of dropdown option, such as an accordion option. When it came to very complex quotes, we ended up having lots and lots of pages and having an interactive quote where the client could see the total for a section and if they want to get into more detail, they could open that up. That could make things much easier to still provide the clients with the details they might need to pass procurement, but at the same time, offer something that is digestible at first sight.
It would be good to have something in PandaDoc that allows us to toggle different options for the total. In complex projects, there are a lot of clients that ask for optional deliverables and therefore, the total changes quite a bit. If there would be an option to offer a total that shows the base value, and if you click there, you see the base value with this extra element that you ask, and if you click somewhere else, you can see with this extra element that you ask as well, that could really help. Basically, a kind of dynamic total, a dynamic sum up of the tables where we could tell PandaDoc to mark table one and two as the base value that is unchangeable, and table three and four correspond to optional deliverables that the client can select or not and that will naturally affect the total value.
For how long have I used the solution?
I used Pandadoc for around 2-3 yers.
What do I think about the stability of the solution?
From time to time, PandaDoc was very slow. I remember one or two days where it was very hard to use it, but that was rather the exception than the rule.
What do I think about the scalability of the solution?
PandaDoc did handle my growing needs as my team or projects increased. However, the pricing I mentioned before was an issue for scalability, and also, perhaps connected with that, only a few people were allowed to create templates in PandaDoc, which limited our action when dealing with new scenarios. As a normal user, I didn't feel that PandaDoc was scalable, at least in the context of my company at the time.
How are customer service and support?
I don't remember reaching out to customer support at the time, or if I did, I think it was okay. Generally, they tried to solve the issue within 24 hours or at least flagged what was going on.
Which solution did I use previously and why did I switch?
Previously to PandaDoc, we just used Google Docs. At my current company, I use another solution, so that has been after using PandaDoc.
Which other solutions did I evaluate?
I wasn't responsible for choosing PandaDoc, so I cannot answer that question, but I use an alternative now at my current job. I'm currently using Scoro, and when it comes to proposal preparations, it seems to hold a little bit more data. That said, Scoro misses the part of PandaDoc where we actually have some more information in a document format while Scoro is more geared towards numbers only.
What other advice do I have?
My advice for others looking into using PandaDoc is to keep things organized because there is a folder structure, and when several people are inside your company, trying to keep that folder structure organized can be very challenging. If one person doesn't do their job, things start to get disorganized. That said, the search feature in PandaDoc helps quite a lot, and it is able to search not only by the name of the proposal but also by items included inside that proposal, which was very helpful. I would recommend looking at the competition. My overall rating for this product is 7.

Getting agreements signed very quickly…helps keep the sales momentum
Efficient Integration but Needs Easier Setup
What do you like best about the product?
I like how things are encrypted in PandaDoc. I also like how it is easily integrated with Salesforce for the most part. It has fields that are directly pulled from Salesforce, which means we don't always have to manually enter information.
What do you dislike about the product?
Mapping the fields can be a little bit confusing sometimes. And we do have to outsource a contractor to help us with this, which is a little bit frustrating. I wish it was a little bit more direct and easy to use in that aspect. I do think that it could be a little bit easier for teams to use on the back end when setting things up.
What problems is the product solving and how is that benefiting you?
I use PandaDoc to get agreements signed and encrypted, ensuring industry-standard compliance. It integrates with Salesforce, saving time by pulling fields directly, reducing manual data entry.
