Configurable workflows have organized my tasks, recipes, and shopping into one consistent system
What is our primary use case?
I have been using Notion for about five years.
My main use case for Notion includes personal notes tracking, shopping cart, and projects and task separation.
A quick specific example of how I use Notion is that I have a list of shopping items that I need in general. I have a flag configured there, also configured by the stores and by the recipes I want to make. I can easily go to a recipe and click the products that I need to buy for it.
In addition to my main use case, I also track the things that I need to do for my house in my day-to-day routine or any improvements, any repair items, and so on.
What is most valuable?
The best feature Notion offers is configurability.
Configurability helps me because Notion provides the very basic functionality and then on top of that, I can configure whatever entities I want, whatever behavior I want, and group them in any way I want. I can build anything on top of that.
Notion has positively impacted my organization because I use it mostly for personal activities and it helps me to be consistent with my tasks and less chaotic.
Notion helps me stay consistent, for example, with my shopping cart. Previously, I just had to remember or go aisle by aisle, trying to understand if I need something or not. Now I can check my shopping list and go directly to the places where the goods are.
What needs improvement?
Notion can be improved, and the main downside comes from its pro feature, its configurability. It is a little bit bulky and it is a pretty steep curve to learn how to use it easily.
I choose eight out of 10 because it is a little bit bulky and very hard to onboard. When I try to do something new, I have to go all the way to configure without any presets.
For how long have I used the solution?
I have been working in my current field for almost 20 years.
What do I think about the stability of the solution?
Notion is stable for me, as I have no issues with crashing.
What do I think about the scalability of the solution?
Notion's scalability is good because if I ever needed to expand my use or add more data, it would handle it well.
How are customer service and support?
I have not tried customer support and have had no need to reach out to them.
Which solution did I use previously and why did I switch?
Before Notion, I used OneNote for that. I switched to Notion because it provides more possibilities and more configurability for any use cases I can think of.
What was our ROI?
I have seen a return on investment using Notion because I became more organized as I can track easily all the things that I need to do.

My experience with pricing, setup cost, and licensing is that there is zero pricing as I use a free version.
Which other solutions did I evaluate?
I did not evaluate other options before choosing Notion; I decided to try Notion right away.
What other advice do I have?
My advice to others looking into using Notion is to be patient. I would rate Notion an eight out of ten.
Notion AI Is a Game-Changer for Onboarding and Finding Answers Fast
What do you like best about the product?
Notion AI has been a genuine game-changer for me, especially as someone currently onboarding at a new company. Being able to ask it questions in chat and get answers grounded in the company's knowledge base, with references back to the original sources, has dramatically reduced the friction of finding information. Regular search is fine, but the terms I'm searching for don't always match how content was originally written, and AI bridges that gap really well. It's basically been my onboarding shortcut.
What do you dislike about the product?
The biggest friction for me is around formatting and content portability. Pasting Markdown in from outside sources is unreliable, sometimes it lands in the page title or doesn't structure correctly, and copying content out is similarly inconsistent. Converting between block types is also frustrating, for example, changing a quote block into a callout often produces a callout with a quote nested inside it, rather than actually transforming the block. Discoverability is another pain point. Even with starring or saving pages, I sometimes can't find them again, and the search relies heavily on matching the exact terms used in the original content. I recognize some of this is a learning curve issue on my part, but the formatting friction in particular slows me down even when I know what I want to do.
What problems is the product solving and how is that benefiting you?
Notion gives the company a single, central knowledge base, which directly benefits me as a new hire by giving me one place to go for documentation instead of hunting across scattered tools. What makes that even more powerful is Notion AI's ability to pull from connected sources like Slack, so it can answer questions grounded in conversations that haven't been formally documented yet, and even surface cases where Slack discussions contradict or update what's in the docs. That combination of central documentation plus AI that bridges into adjacent communication tools is genuinely valuable.
Versatile Collaboration with Notion, Minor UX Hurdles
What do you like best about the product?
I use Notion as our primary collaboration hub for product development, and it helps solve version fragmentation by ensuring the entire team is always aligned on the most up-to-date product specs in real-time. The block-based interface is my favorite feature as it allows us to build, edit, and share granular units of content effortlessly. I also appreciate the highly flexible access control, which allows for granular permission management across different projects and team roles. The initial setup of Notion was supereasy.
What do you dislike about the product?
The UI for AI-powered editing and content enhancement feels somewhat unintuitive and has a steep learning curve.

Central Hub for Note-Taking and Documentation
What do you like best about the product?
I love the Claude connector that allows me to easily write documents in Notion and capture all my work in one place. I also enjoy that I can chat with my Notion notes inside of the app, which allows me to get quick summaries. It's really helpful to work out of a single application with the integration, as it helps me focus on my work better. The initial setup of Notion was super easy, and I appreciate that it helps me keep all of my notes in one location.

What do you like best about the product?
I like using Notion for organizing content for my courses because it keeps everything in one place with its database feature. The interface is aesthetic and user-friendly, which I appreciate. I also enjoy the ease of inserting images and text, along with the note-taking feature for meetings. The initial setup was easy with a straightforward sign-in process.
What do you dislike about the product?
The formatting of text. It's difficult to change color in a way that looks neat - the page is like a giant canvas.

I like being able to consolidate various workstreams into centralized places - keeping my meeting notes combined with email threads and then linking files is helpful, especially since I consult and have multiple clients

I wish that I had a mail app for my desktop, I don't like using and having to constantly find the tab

I am a consultant who works across companies and, within those companies, across various projects. Notion helps me keep various workstreams organized. I struggled with keeping information from email threads, notes from meetings, and then documents centralized . Big time saver
Pageless Structure, Seamless Integration
What do you like best about the product?
I like Notion because it's pageless and provides ample diversity in writing document design. It serves as a common place for the company's knowledge, and I can easily share links directly with teammates.
What do you dislike about the product?
I can't justify paragaphs and content. Also, mermaid charts aren't zoom-able well when they're big. Check the way mermaid does it.

What do you like best about the product?
It’s easy to format while I’m writing notes, and the AI integration feels deep. It makes it much simpler to ask questions and create summaries.

Perhaps due to easy-to-use, it comes with less flexibility. Harder to make certain page more distinguishable than others.

Streamlined Content Management, Needs Automation Improvement
What do you like best about the product?
I like how Notion lets me put an idea in a place, like a brainstorm, and save it there for later. It's helpful because I can go back to it when I'm ready, knowing the idea is safe and not lost. I've been using Notion AI mostly, and it's really good. I find Notion easier than Asana and Google Spreadsheets because everything I need is in one place, and it simplifies tasks that would otherwise require making or updating a spreadsheet. The AI capabilities are super helpful for keeping things managed effortlessly.
What do you dislike about the product?
I'm trying to figure out how to automate a daily briefing where I get a daily briefing of everything that's on my calendar because I have, like, three different calendars. It's not seemingly doing that. The only thing I can figure out is the automation. I've tried to set up Notion on my own before, and I could not do it. I had Claude set it up for me.
What problems is the product solving and how is that benefiting you?
Notion helps me stay organized and keeps things on track with managing my content calendar and brand trackers.

I really like the organizational aspect you can create a system that works for you.

If you don’t upgrade, you can only add a limited number of files.
