The Ultimate All-in-One Productivity Toolkit

  • November 20, 2024
  • Review provided by G2

What do you like best about the product?
-Notion now features a powerful free plan, making it accessible to everyone for essential productivity needs.
-Advanced AI tools are embedded, allowing users to generate content, summarise notes, draft emails, analyse project timelines, and even produce meeting notes automatically right within the app. The AI can also assist in setting up custom workflows with natural language prompts, making the organisation even more intuitive.
-Seamless integration capabilities continue to expand, allowing you to connect Notion with other tools and automate repetitive tasks. Notion’s acquisition of Automate.io has led to increased automation for workflows, letting users set up triggers, send notifications, and streamline operations efficiently.
-Database enhancements mean users can create complex databases with unlimited rows and columns and now benefit from recurring database automations, such as auto-generating weekly status docs or reminders.
-Offline mode is being rolled out, finally allowing users to edit and view their Notion pages without an internet connection, which will sync automatically once online—this addresses a major long-standing user request.
-Notion Calendar (integrated from Cron acquisition) offers advanced scheduling, time blocking, and shared calendars directly linked with databases and tasks, elevating time management.
-Upcoming tools like Notion Mail (currently in beta) and Notion Drive (an integrated file management and storage system) are set to consolidate your productivity environment even further, potentially rivalling tools like Google Drive.
-Enhanced collaboration and brainstorming features, such as visual whiteboards and real-time teamwork tools, are rumoured to arrive soon, making Notion a more versatile platform for creative workflows.
-More personalisation options and improvements to forms (like conditional logic and access restrictions) provide greater flexibility in data collection and workspace management, enhancing user control and customisation.
What do you dislike about the product?
-Offline Mode Still Limited: Although Notion is rolling out offline capabilities, feedback shows these are not fully reliable or as robust as users want—editing and syncing can be inconsistent, which is frustrating for those who need true offline productivity.
-Steep Learning Curve & Interface Complexity: The abundance of features and high customizability can overwhelm newcomers. Many users report that onboarding and mastering Notion’s workflows require significant time and experimentation before they feel comfortable.
-Mobile App Functionality Gaps: The mobile experience is notably weaker compared to the desktop app. Key limitations include slower loading, missing features (like certain database and block options), and less intuitive editing, making it hard to quickly manage projects on the go.
-Performance with Large Databases: As databases grow, Notion can become sluggish. Users managing sizable workspaces experience delays and lag, which disrupts productivity, especially during searches and navigation.
-Advanced Features Locked Behind Paywalls: Some capabilities—like granular permission controls, audit logs, and advanced AI—are restricted to higher-paid tiers. This limits power users or small teams who rely on the free plan or more affordable options.
-Cumbersome Organisation & Setup: Notion’s flexibility means building and maintaining an organised workspace often requires hours of manual setup, frequent tweaking, and troubleshooting, which can detract from getting actual tasks done.
-Limitations in Design and Visualisation: There are ongoing complaints about a lack of built-in charting tools, block formatting flexibility, and design improvements (e.g., more text and page layout options, richer colour palettes).
-Occasional Bugs and Slow Updates: Users report instances of bugs, glitches in text editing (like content disappearing or duplicating), and a slow pace of meaningful feature rollouts relative to competitors
What problems is the product solving and how is that benefiting you?
-Notion helps to maintain and track the tasks we are doing.
-It helps to collaborated with other SaaS tool. So that we can access all info in one place.
- It's AI feature benifits me a lot in handling my writing in summerized way.

Highly flexible, with its effectiveness varying greatly depending on how it is used.

What do you like best about the product?
We utilize this tool for task management in internal projects. Since management items can be freely configured for each space, it’s highly convenient for adapting to the specific needs of each project or individual management level.

Additionally, integrating it with Google Calendar allows the home screen to display a combination of scheduled events and tasks, making it very easy to check what needs to be done today.

We also link meeting notes transcribed using another tool into Notion and leverage its AI features. For example, by asking questions like, "What opinions were raised about xxxx?", we can quickly extract the information we need, which is incredibly valuable.

With so many features available, I feel there’s still much to learn in mastering its full potential. However, it’s clear that this is a versatile tool with great potential for expanding its use depending on your ideas.
What do you dislike about the product?
For instance, having a feature that allows tasks from another space to be referenced and synchronized with private tasks would be incredibly helpful. This would enable individuals to manage their personal tasks while also reflecting updates in shared project tasks seamlessly.

In terms of UI, while the tool is highly functional and user-friendly, the overall screen design feels somewhat faint, making it challenging to create visual distinctions. As the number of pages and tasks increases, it becomes harder to navigate. I believe it would be much more intuitive if conditions or settings could allow for color changes or emphasis, making it easier to visually organize and distinguish elements.
What problems is the product solving and how is that benefiting you?
Sharing tasks within the team has become much easier.

Since we are handling multiple projects simultaneously and across various areas, organizing and sharing tasks effectively has been a challenge. While we are still exploring the best ways to utilize the tool, we are optimistic that improvements can be made.

What do you dislike about the product?
Notion can slow down significantly when working with large databases or complex workspaces, which can be frustrating for those managing multiple projects.
What problems is the product solving and how is that benefiting you?
