Structured notes have boosted developer collaboration and save time on documenting workflows

What is our primary use case?

My main use case for Notion is making developer and software engineering notes and then sharing it with team members.

I use Notion for documentation of technical work that I have carried out, and because I use so many different command-line tools, I have pages within Notion for different commands that I have commonly used. I appreciate the feature within Notion that allows you to insert code blocks, which makes it very easy to read the documentation when going back. For a specific example, when I set up a Jenkins pipeline, I was writing a piece of documentation for how I did that end-to-end, including the command-line arguments that I passed in.

What is most valuable?

The best features Notion offers include a user interface that is very easy and clear to navigate, the fact that pages are embedded within other pages which makes it easy to structure your pieces of work, the ability to share it quite easily with other team members, and the ease of inserting emojis.

The page embedding feature is something I quite appreciate, as it avoids the need to create folders and then documents within them. You can create elements within Notion with one being within another, so a page within a page. That is quite beneficial and it makes it very quick and easy to use the tool, which speeds up my workflow.

Notion positively impacts my organization by improving productivity, as it provides a great way to organize documentation. By using Notion, I would say you could probably save at least 10% of your engineering time just because you are able to write documentation which is easy to read and easy to share with other team members. Teams could expect at least 10% time savings just from using a highly structured documentation tool such as Notion.

What needs improvement?

There is not really anything that stands out as a key limitation of Notion; I use it for documentation and just need somewhere to write my notes quite easily and structure them well.

There is not anything that is a standout limitation, but if I had to pick something, it would probably be that the offline mode could be improved, as most of the time you need an active internet connection for most features. The one thing that could be improved is the offline mode to make it easier to use in an offline environment rather than having to maintain an active internet connection.

I have been using Notion for around four years.

What do I think about the stability of the solution?

Notion is highly stable.

What do I think about the scalability of the solution?

Notion is highly scalable; I do not manage the infrastructure running Notion itself, but I presume Notion's infrastructure can scale to however you want to use it, so there are no issues with scalability.

How are customer service and support?

I have never interacted with the customer support.

Which solution did I use previously and why did I switch?

I previously used Google Docs for taking engineering notes, which works fine, but I do not appreciate the code block feature within Google Docs. Notion is very good because it is very clear and very clean to read, and you can also select from numerous different languages that you want to write in, whereas in Google Docs, it is limited to probably five or fewer languages compared to Notion's over 15.

Which other solutions did I evaluate?

Google Docs was probably the only other option that I was looking at, but it is not really built for software engineering notes.

What other advice do I have?

I would recommend people try using Notion, as there is a free trial feature so people can see if they want to use it. It has many great features, including the code block feature, the ability to insert tables, and you can insert many different types of elements, making it a powerful documentation tool. I would rate this product a 10.

What do you like best about the product?
I love the ease of creating new documents and how well you can format them. There are so many options available, which makes it really flexible for different uses. It's honestly my favorite note taking app.
What do you dislike about the product?
The main thing I’m still wishing for is stronger protection against accidental edits. I’d really like a feature that lets you lock pages so they can’t be edited unless you intentionally press a button to unlock them. That would give me more peace of mind when I’m working with important documents—especially ones I’ve spent time organizing and formatting exactly the way I want.
What problems is the product solving and how is that benefiting you?
Notion is solving the challenge of having all my information scattered across different apps and tools. Instead of juggling multiple note-taking apps, databases, and organizational systems, I can keep everything in one centralized knowledge base.

The biggest benefit is that I can organize and format everything exactly how I want it. I can create a structured knowledge base where information is easy to find, with good indexing and search capabilities. Everything is in one place, well-organized, and searchable.

Convenient Yet Needs More Clarity

What do you like best about the product?
I like that Notion is convenient. I like that you can use it as a place to save text, and you can organize it in a really useful, user-friendly way.
What do you dislike about the product?
I wish there were more informational materials like video tutorials to show how to use the features. Also, it would be helpful to have some basic calculations available in the table view. I find it inconvenient and unclear on how to switch between different accounts. Sometimes it logs me out, which is super inconvenient for me.
What problems is the product solving and how is that benefiting you?
I use Notion for tracking tasks, taking notes, and creating a team knowledge base to review informational material.

What do you like best about the product?
I use Notion professionally to organize tasks and in content production. With Notion's artificial intelligence, I can provide quick responses to my manager, know what to prioritize, and access the history of what I've already done. I like the block model because it gives me the feeling of being able to create whatever I want. I use the calendar, smart search, graphs, and AI assistant a lot. The shortcuts to get emojis are very useful when working in content production.
What do you dislike about the product?
I think that because it is a very creative space, sometimes the many options and possibilities end up hindering more than helping, because instead of doing something simple that works, I end up testing everything and wasting time with it. It could be more integrated with Microsoft, which is what we use in my company.
What problems is the product solving and how is that benefiting you?
I use Notion to organize tasks and produce content. With artificial intelligence, I can provide quick responses about the status of demands, prioritize tasks, and access the history of what I've done.

What do you like best about the product?
It does a great job of organizing both my personal life and my work life, which makes it much easier to stay on top of everything.
What do you dislike about the product?
The AI doesn’t always do exactly what I want it to, but it’s still a pretty good AI overall.
What problems is the product solving and how is that benefiting you?
I’m always juggling several projects along with personal life decisions, and things can easily fall through the cracks. Notion helps me organize everything so I can clearly see what needs to be done and when. I really like how easy it is to capture ideas quickly, and the many free templates it provides make this system work for me. I also love that it’s searchable, so I can find what I need without digging around.

Intuitive and Powerful, But Room for Table Improvements

What do you like best about the product?
I like that Notion is quite easy to interact with. For instance, if I want to change a particular font style, Notion already has some predefined formats like drop-downs and header drop-downs. It also comes with multiple templates, including preview templates, that are really helpful. I can create a framework within Notion, imagine and compile my thoughts using its features. I can utilize tables and hide important information within a dropdown. It's possible to create pages within a single page and manage visibility and access on sections of those pages. Overall, the flexibility and ease of creating structured documents and filing capabilities where I can file multiple documents within one category make it easier to manage everything.
What do you dislike about the product?
I find Notion's table preview a bit restrictive. When I have tables with a lot of columns and rows, they get hidden behind the comment section. It would be helpful if there was a better preview option for tables, especially when I'm ideating on a Google Meet and sharing a Notion doc. Right now, I can't preview them outside or on a model, which makes it less convenient.
What problems is the product solving and how is that benefiting you?
I use Notion for planning, product specs, and documenting. It solves organization by allowing me to create structured frameworks and manage multiple documents under one category. Its multiple templates and easy interaction enhance productivity, while its intuitive setup made the team’s transition seamless.

What do you like best about the product?
I think the layout, UI, and UX of Notion are quite practical for me. I like the bright coloring. It's not too complicated, especially if you're not tech-savvy.
What do you dislike about the product?
I think just a personal thing is that I was never that exposed to Notion before, so I didn't really know how to work with the structure in the layout if I want to change it. The settings.

Notion helps me dissect root problems of my tasks and scope them properly, making it a great documentation and file storage tool.

What do you like best about the product?
I love that I can use Notion for basically everything. I use it as a database and a place to collect and share everything with my colleagues. I appreciate that I can share links and integrate Salesforce with Notion, which is really great for connecting tasks. It's really easy to build databases and organize information, like creating charts and tables. The AI of Notion is pretty good; it saves me a lot of time by doing tasks when I ask. I find it really helpful to have everything in one place where the whole company can access it. Plus, the transition from using Google to Notion was straightforward, and the AI makes building stuff easier.
What do you dislike about the product?
I think integrations could be maybe a little bit easier. For example, the integration with Salesforce, if I could build it much more easily, that would be great.
What problems is the product solving and how is that benefiting you?
I use Notion for everything, from database building to sharing information with colleagues. Its ease of use, integration with Salesforce, and AI capabilities save me a lot of time and keep everything organized in one place.
