Dynamic But Cost Inefficient
What do you like best about the product?
I like the layout design. It's very accessible and easy to navigate. This especially becomes prudent when onboarding new team members, as the ease of implementation allows the onboarding process to move more efficiently. Our team uses it to build out schedules, forms, simple databases to track information on our students, and lists to track previous, current, and future class sessions.
What do you dislike about the product?
The biggest downside of the Smartsheet platform is the cost. While the multi-function integration is great, the price has risen to a point where our organization is getting priced out for business/enterprise use. We also don't have enough integration into Microsoft Outlook to effectively assign tasks to individuals that will then appear in their calendar and/or automate reminders.
What problems is the product solving and how is that benefiting you?
It helps solve content management and storage as we have an online platform that is accessible via different devices to collaborate and/or reference commonly shared information

Smartsheet is powerful and it help to remove the manual actions inherent in using tools like standalone excel files. It consolidates large amounts of data and enables multiple people to work simultaneously on multiple sheets at the same time

Some of the interactive actions that need to be done on a sheet are not very user-friendly or obvious

Easy to use and learn
What do you like best about the product?
Smartsheet is designed similar to Excel spreadsheet. I work with Excel daily. Therefore, I feel comfortable to understand the logics/functions used in Smartsheet and cell–row interactions largely mirror Excel’s. Again, it's so similar to Excel that I learn how to use it quickly.
Also, Smartsheet adds some helpful features: conditional formatting to color-code or highlight cells and rows when criteria are met, built-in dropdowns for controlled selections, and cross-sheet cell linking so I can pull everything I need into one place for review and action.

What do you dislike about the product?
I once had to build a survey in Smartsheet. It was great for capturing responses and tabulating them, no problem there. But the form builder felt pretty limited. Simple forms are easy, but when I tried to create something more complex—like letting respondents enter multiple products and prices in a little table with some conditional logic—I hit a wall. There wasn’t a native way to do multi-row inputs or more advanced branching, so I had to simplify the form.
What problems is the product solving and how is that benefiting you?
I oversee data team's work across multiple projects, and each one has its own Smartsheet that the PM updates. I can't go through every Smartsheet to pick up information related to data side. It will take a lot of time. So, I built a roll-up Smartsheet that links key cells from all of them. Now when a PM updates something, it pops up in one place and I can spot requests or urgent data tasks immediately. It’s saved me a ton of clicks and cut down on misses.
Practical, Flexible, and Mostly Seamless
What do you like best about the product?
I use Smartsheet daily to track tasks, plan events, and send out surveys. One of its biggest strengths is its ease of use - the spreadsheet-style interface feels familiar, yet it’s packed with powerful features that go far beyond Excel. I appreciate how versatile it is: whether I’m coordinating logistics, managing timelines, or collecting feedback through forms.
The automation tools are a huge time-saver. I’ve set up alerts, reminders, and conditional workflows that reduce manual follow-up and keep projects moving. The survey functionality is solid - forms are easy to build and customize, and responses feed directly into sheets for quick analysis. I’ve used this for event RSVPs, internal feedback, and even scoring project proposals.
Collaboration is another plus. Real-time updates and comments make it easy to work with colleagues across locations, and the ability to share sheets with different permission levels helps maintain control. The dashboards and reporting features are visually appealing and useful for summarizing progress at a glance.

The learning curve for advanced features like cross-sheet formulas or resource management can be steep, and some integrations (especially with external survey tools or calendars) require extra setup. While mobile access is available, the experience isn’t quite as smooth as desktop.

What do you like best about the product?
Smartsheet has helped to simplify how we manage and track multiple project data sets which is our main focus in what we do on a daily basis. It has allowed us to consolidate multiple excel files and projects into one centralised platform, making it easier to access and visualise information across multiple project files at the same time. The use of Dashboards has been especially helpful for providing real-time insights and improving data visibility. Additionally, the built-in forms have reduced our reliance on external tools like Snapforms, saving time and reducing manual data entry.
What do you dislike about the product?
One area that has been challenging is the row summary reporting. While summaries are useful and we need them a lot, the need to collapse sub-rows to view the amin summaries and the inability to print just the main row summaries without all the underlying data has been a point of frustration. This limitation makes it harder to share concise reports especially when working with large datasets. It's a small issue in the broader context, but one that has a huge impact on the data our team collects.

Before using Smartsheet, we were managing project data across multiple Excel files, which made it difficult to maintain consistency and track progress in a centralised location without doubling up on work input. Smartsheet has allowed us to centralise this information and improving visibility across multiple projects.

What do you like best about the product?
Its easier to work with and i love the fact that my staff are finding it useful. It helps bridge commication in a way that has not been done before
What do you dislike about the product?
Training on some of the advance features seem ambiguous. The training that ive seen only focus on the fundemental and not based on how we are using the platform

Communication and transparency of user activity is the number one thing we have noticed
very great experience, but subscription is expensive

Great Software for Automated data and forms

It's a fantastic platform to build forms to collect data from people, and allows the right level of customization and restriction to get a good sample

It does take a bit of time to learn how to get everything set up properly

I don't like the copy/paste difference with SS and Excel

What do you like best about the product?
I like how easy and intuitive Smartsheet is to use. I'm able to streamline several of my tasks using different Smartsheet functions.

There is a learning curve involved with getting started with Smartsheet.

Smartsheet helps me streamline my research administration pre-award tasks, including PIs sharing their grant ideas and getting started with the applications.
