My entire team can work in the sheet at the same time and see live updates.

Great tool for project management and Gantt chart preparation
What do you like best about the product?
The thing that I like most about Smartsheet is that it works very well as Gantt chart for managing the works, availability and timelines of different members of my team. It makes tracking and organizing work very simple. Multiple people can collaborate and edit the smartsheet at a same time and it works well. It also provides visual dashboards which gives a good high level overview of project status.
What do you dislike about the product?
The thing that I dislike about Smartsheet is that it feels a bit heavy for large sheets with lot of contents, as it takes some time to load. There is a learning curve for the advance features like complex formulas and it is hidden behind few clicks.
What problems is the product solving and how is that benefiting you?
The main problem that Smartsheet is solving is that it helps in organizing and managing the project tasks at one place, instead of being it scattered on different places like slack threads, email chains, etc. It makes lot easier for my team members to collaborate and update their task status, dependencies, and blockers at one place. It makes lot easier to keep track of deadlines.

What do you like best about the product?
What I like best about Smartsheet is how flexible and intuitive it is. It feels like working in a spreadsheet, but with way more power behind it. I can easily track tasks, deadlines, and statuses without needing to learn a complicated system.
I especially appreciate how I can automate workflows, like sending alerts or reminders, without needing any coding skills. It saves me a ton of time and keeps everything moving smoothly.
Collaboration is another huge plus. Everyone on the team can see the same live data, leave comments, attach files, and stay aligned without endless email threads.
I also love using forms to collect data. Whether it's from study staff or participants, the information flows directly into my sheets, which makes tracking and organizing so much easier.
The dashboards and reporting tools are great for visualizing progress. I can quickly see how a study is going, track enrollment, or monitor regulatory deadlines at a glance. And since I work with sensitive research data, I really value the permission controls. I can decide who sees what, which helps maintain confidentiality and compliance.
Finally, Smartsheet integrates with tools I already use, like Microsoft 365 and Adobe Sign, so I can streamline processes like consent tracking or document approvals without switching platforms.

I often wish I could customize fonts, colors, and layouts more freely, especially when preparing sheets for presentations.
Another challenge is that Smartsheet doesn’t function like a true relational database, which makes linking data across multiple sheets more cumbersome than I’d like. The mobile app is convenient for quick updates, but it’s not ideal for managing complex sheets or building out new ones—I usually wait until I’m back at my desktop for that.

Smartsheet is solving several key problems in my day-to-day work as a research regulatory coordinator. One of the biggest challenges I face is keeping track of multiple studies, each with its own set of deadlines, documents, and team members. Smartsheet helps me centralize all of that information in one place, so I’m not constantly switching between spreadsheets, emails, and shared drives. It also solves the problem of inconsistent communication—by allowing me to assign tasks, set reminders, and leave comments directly in the sheet, everyone stays on the same page. The automation features have been a huge time-saver, especially for repetitive tasks like sending reminders for consent form signatures or IRB renewals. I also benefit from the ability to create dashboards and reports that give me a quick overview of study progress, which makes it easier to communicate updates to PIs and leadership. Overall, Smartsheet helps me stay organized, reduce manual work, and improve collaboration across research teams.
Task Management Platform
What do you like best about the product?
I like that it is fully customizable to my needs. I use this multiple times a week to track the status of projects/tasks. It's easy to use once a template has been selected. I like the ease with integration like google; the ability to add links and connect sheets for reference is very helpful. Overall the product has been easy to implement into our workflow.
What do you dislike about the product?
The workplaces are confusing it would also be helpful if there was a guide within smartsheet and users can type what they want to see and have articles they can go to that gives them the answers to what they need.

Keeping tasks under one roof and being able to see what my teammates are working on.

The option to automate and dispatch between third party app's like docusign.
What do you dislike about the product?
The new license model that prevents those with a Smartsheet Server to use free collaborator accounts. Instead they have to have a paid license or sign in with a third party domain to continue to use that service. That is a huge impact for us and how we decide to use smartsheets. A majority of our users require the free collaborator accounts where we do not have a issue buying a license for those developers. Not every user requires a license just to "click or type into a box".

it is reducing duplicated efforts by triggering automations using third party apps to send and collect data making the process LEAN and less friction for the user and client.

What do you like best about the product?
Smartsheet provides a framework for a multi-person team to work on multiple projects, give updates, meet deadlines, and measure progress.
What do you dislike about the product?
I am still learning the various features, but it is easy to delete work.
