Smartsheet in Higher Education
What do you like best about the product?
Smartsheet has been a solid addition to our workflow—it’s flexible enough to handle project tracking, task management, and even light automation. I really appreciate how easy it is to collaborate across teams and keep everyone aligned without needing a ton of training. The templates and integrations save time, and the ability to customize dashboards helps us stay focused on what matters. There are a few quirks with permissions and reporting, but overall, it’s been a reliable tool that fits well into our day-to-day operations.
What do you dislike about the product?
While Smartsheet is great for collaboration and flexibility, there are a few areas that could be improved. The permission settings can be a bit clunky, especially when managing access across multiple sheets or teams. Reporting features feel limited compared to more advanced BI tools, and building complex dashboards sometimes requires workarounds. Also, performance can lag a bit with larger sheets or heavy formulas.
What problems is the product solving and how is that benefiting you?
Smartsheet has helped solve a few key challenges for our team—mainly around project visibility, task coordination, and keeping cross-functional efforts aligned. Before using it, we struggled with version control and scattered updates across email and spreadsheets. Now, we can centralize timelines, automate reminders, and track progress in real time, which has definitely improved accountability and reduced manual follow-ups. It’s made it easier to keep projects moving and stakeholders informed without needing a full-blown PM tool.

What do you like best about the product?
What I like best about Smartsheet is the view. It allows users to easily see which tasks they have assigned so they can complete their assignments in a timely manner. I also enjoy how you can group tasks under different sections. This allows the user to be able to easily find different tasks by going to the correct section without having to read through a whole list of tasks that might not pertain to them.
What do you dislike about the product?
Sometimes setting the predecessors is difficult and it takes a little more time than necessary to figure it out. If there could be a simpler way to set the predecessors this would be very helpful. I also dislike that if there is more than one person assigned to a task you can't tell which of the people assigned to the task have completed it unless you ask outside of smartsheet.
What problems is the product solving and how is that benefiting you?
Smarthsheet allows you to quickly identify your tasks that are due, and you are able to customize the view so you can see certain time periods and know when you have to complete the task by. It also allows you to see who is responsible for other tasks so if there is a client question about a specific data set I can use smarthsheet to determine the best person to reach out about it.

What do you like best about the product?
The ease of use with smartsheets is fantastic, it is very easy to setup, manage and review data collection across projects. The automation features are very easy to create and integrate thanks to smartsheet's native ai building tool.
What do you dislike about the product?
Smartsheets could offer more native integrations and automations. Whilst it is very easy to develop with 3rd party apps for integration with certain software, I feel they could have more of these options integrated into smartsheets itself
What problems is the product solving and how is that benefiting you?
Allows for very accessible and easy data submission and collection and has allowed us to reduce the time spent managing emails and documents.

What do you like best about the product?
It is very intuitive. Due to the similarity in the design with Excel you do not need to spend much time to explore and configure the forms.
What do you dislike about the product?
The limit on the number of the fields in the forms - would be better to increase the limit or not to have it at all.
Also, the restriction to have the duplicated names of the fields. Sometime you should have two or more fields with the same name, and it cannot be worked out with the logics.

What problems is the product solving and how is that benefiting you?
We were collecting requests from different stakeholders from all over the world. Even though we had GMS, Smartsheet made it easier and faster for all sides.
From a creative manager perspective, it's great, but designers? Not so much.
What do you like best about the product?
Easy to use, lots of available features, ease of inviting members to collaborate within the proofing tool
What do you dislike about the product?
I am a frequent user of the proofing tool and I really wish there was a capability of going into a designer view and be able to check off any edits that were made as a designer to mark as complete. We could have hundreds of edits, it's hard to keep track.
What problems is the product solving and how is that benefiting you?
Connecting everyone through smartsheet rather than having to email separately and have threads, which could be a lot and get lost easily.

I like the ability to make checklists that can be assigned to individuals/ departments for large projects.
What do you dislike about the product?
I find that it can be difficult to navigate at times and I wish that it would automatically save your work so you do not need to always remember to hit save.
What problems is the product solving and how is that benefiting you?
It keeps information/ task lisks in one central place for my team to reference when working on various projects.
Dashboard flexibility could use some work, but basic functions are good.
What do you like best about the product?
I like the dashboard interface and the ease of having a Gantt display in it. I mainly use SS to display relevant information to clients while burying the driving internal dates/info. I like how flexible SS reports can be.
What do you dislike about the product?
I do not like how new rows cannot be added in reports and there is an extra step to enter sheets to do this. I do not like the dashboard Gantt view and how it does not show all paths, the critical path, or relationships between lines. I would like it to be similar to the report Gantt view. Also, PPT and SS integration is a little choppy, with it going through the PPT links (that expire in a few months). Having a pdf upload would be easier for things like that. I also think the dashboard "widget moving" needs some work, as the widgets move out of place too easily when hovering, and don't move back to their existing spot when hovering off.
