Helpful platform, better than Excel, keeps us organized

it has a lot of capabilites and offers a lot of different ways to organize our items

Smart Way to Manage Projects and Processes at Scale
What do you like best about the product?
Smartsheet stands out for its flexibility, ease of use and ease of implementation, especially for managing complex workflows without writing code. I love how intuitive it is to build project plans, automate repetitive tasks, and collaborate in real time with stakeholders — even those without a Smartsheet license. Features like automated alerts, Dynamic Views, and integration with tools like Microsoft Teams and Outlook have significantly improved our project visibility and efficiency. The platform scales well from simple task tracking to full enterprise-grade process automation.
What do you dislike about the product?
While Smartsheet is powerful, there are a few areas where it could improve. The reporting and dashboard visuals, though functional, lack some of the advanced customization and design flexibility seen in dedicated BI tools. Additionally, the user interface can become cluttered when managing very large or complex sheets. It would also be helpful if permission controls were more granular at the cell or column level.
What problems is the product solving and how is that benefiting you?
Smartsheet is helping us solve several key problems — from fragmented project tracking and manual reporting to inconsistent workflows across departments. By centralizing data and automating repetitive tasks, we’ve significantly reduced time spent on status updates, approvals, and coordination. It’s especially beneficial for managing cross-functional processes like faculty allocation, resource planning, and compliance tracking. With real-time dashboards, alerts, and collaboration tools, we’ve improved visibility, accountability, and decision-making across the organization — all without needing IT support or coding skills.

What do you like best about the product?
I like the Gantt view and the simple UI which is also easy to adjust and share.
I believe that the most powerful feature is the dashboards.

Sometimes it takes a while to log in and the Smartsheet logo appears for a long time.
What problems is the product solving and how is that benefiting you?
It's like Excel on steroids, I can write a plan and update it daily.
Then I can create a dashboard which is updated automatically from the plan which is great, then I use it in presentations.

bit of a learning curve but incredibly valuable tool that outperforms regular spreadsheets

Smartsheet is so versatile I am still learning all the ways to leverage its capabilities, but what I like best is the ability to build project plans that help me track everything in one place.
What do you dislike about the product?
The downside is not everyone is aware of its capabailities so often I am the sole person on a project regularly updating/referring to it.

It makes it simple to build and manage project plans

What problems is the product solving and how is that benefiting you?
Timelines and milestones.
I have used Smartsheet across two different companies now. It is now part of my regular tool set.
What do you like best about the product?
I find the ability to link information and data across sheets and workspaces to be a powerful feature. In addition, the ability to switch my perspective on the data (Gantt, Board, and the new "Table" view) is very useful for coordination during team meetings.
What do you dislike about the product?
Although the ability to generate Dashboards is very useful, I find the workflow for chart generation and the limited options on chart types to be frustrating.
What problems is the product solving and how is that benefiting you?
Provides a project planning platform with the additional flexibility to provide relevant task visuals for the project team during meetings. It has benefited me and my company by providing me a feature-rich alternative to MS Project at a lower cost. The broader team appreciate the ability to view plans (and various Sheets) without the need to have an additional license or software installed.
An excellent collaborative tool for tracking and management
What do you like best about the product?
I love that Smartsheet has a simple and intuitive starting point, which I can then build into a more integrated data analysis of whatever project or activity I am tracking. I often use the email feature to remind colleagues of updates, and I love that comments allow for real-time feedback.
What do you dislike about the product?
Building a dashboard does take a bit of knowledge and time to implement correctly - the insights are only as good as the data that is put into it. I don't necessarily dislike this, but I wish there were more bite-sized ways to gather insights from information added.
What problems is the product solving and how is that benefiting you?
Smartsheet specifically allows me to request real-time updates with due dates, without having to constantly send multiple emails to various vendors.

there are some things that you'd want free users to be able to do in collaboration with paid/premium users (like for independent contractors only using the sheet for a month), and that can be a little annoying for provisioning

I also appreciate how intuitive it is to set up dashboards and reports for at-a-glance visibility across projects. Integration with tools like Microsoft Teams, Outlook, and Google Workspace is seamless and helps keep everything connected.
What do you dislike about the product?
The learning curve can be steep for new users, especially when dealing with formulas, automations, or permissions. While it’s powerful, Smartsheet isn’t always the most user-friendly out of the gate. Some features—like advanced reporting or resource management—can feel buried or require an additional license tier. Performance can lag when working with large or complex sheets, and formatting limitations sometimes make it harder to create polished, client-facing documents.

I use Smartsheet for project planning, task tracking, progress monitoring, and team collaboration across multiple initiatives.

Easier to manage project plan, create dashboards and see the overall picture through gantt chart
What do you dislike about the product?
Sometimes it gets slow but it has improved tremendously. The other aspect is that when you use resource management tool with it and try to adjust allocations it gets hard to do it as if you add or split a task it doesn't exactly has an option as to where you want to add it in the project plan, in other words, in which header that task will be added.
What problems is the product solving and how is that benefiting you?
Resources management is the biggest problem that is being solved.
