Large organizations are grappling with increasing volumes and variety of information. Managing the lifecycle of structured data and unstructured content, while simultaneously providing efficient access to it, has never been more challenging.

Increased regulations, evolving content types, and new ways of working can make the task seem overwhelming. Information—from official company records like invoices and employment contracts to the ad-hoc, collaborative content used to engage customers and foster product innovation—fuels almost every business process regardless of industry.

Information is every organization’s most valuable asset, but locating accurate content for a specific task can be laborious and time-consuming if it lives in complex folder structures scattered across various silos.

The solution to this challenge is found in a new generation of content services technology that help organizations maximize the value of information in the enterprise. The leading content services platforms and applications are cloud-based, ensuring remote workers have access to information and functionality while simplifying deployment and upgrades.

Containerized architecture provides the agility and deployment options needed to integrate with highly varied cloud and on-premises environments. They are easily customizable, as well; connectors and open APIs enable tailoring to meet any organization’s unique needs.

In this post, we will look at how the combination of Documentum and Amazon Web Services (AWS) offers more secure, reliable, and compliant solutions to organizations looking to deploy information management workloads in the cloud.

Introducing OpenText Documentum

OpenText is an AWS Partner and global information management leader that helps organizations manage and gain value from their business content.

Documentum from OpenText is a content services platform that got its start two decades ago providing industry-leading governance and lifecycle management for information generated in highly regulated sectors such as pharmaceutical, energy, and engineering.

It’s a model that’s grown to offer content management solutions to other highly structured industries like financial services, manufacturing, and the public sector.

Several years after joining the OpenText suite of content management solutions, Documentum continues to innovate. The development and integration of content services technology offers a broad set of capabilities to manage and extract value from content of all kinds across the enterprise.

The Documentum platform allows organizations to establish control of their critical information, while simplifying access to the most recent, approved content needed for tasks and workflows.

Documentum case management supports its content lifecycle expertise with productivity and automation features that streamline mission-critical business processes for greater efficiency, consistent quality, and faster cycle times.

By keeping content secure and searchable, users can quickly address information requests and respond to regulatory inquiries, while ensuring employees do not access unapproved or outdated information.

Dive Deeper into Documentum

The Documentum platform offers a robust, adaptable, cloud-ready architecture to manage and control all information content, with multi-language support and localization for global environments.

It scales to meet the most strenuous governance requirements, regardless of location, and supports collaboration throughout the lifecycle of a wide range of content types, from common office documents to rich media and more.

Documentum enables organizations to deliver highly personalized, role-based user experiences and task-based case views that drive productivity and optimize user adoption. It infuses traditional business process management with content to coordinate actions and tasks, presenting relevant information in context to drive consistent, high-quality decisions.

By integrating with the applications at the heart of business processes, Documentum enables solutions developers to leverage standard technologies to integrate disparate repositories and eliminate information silos.

The Documentum platform is the repository and foundation for the content services technology that it provides.

The platform can contain billions of documents and content objects, and customers can choose from several user interfaces for Documentum that are configurable to their unique requirements, or use REST APIs to integrate with cloud services and other applications or even build their own interface.

Documentum is built on a modern architecture so it can be deployed and run in containers virtually anywhere, supporting both on-premises and cloud deployments.

Choose the UI That Best Suits Customer Requirements

Documentum D2 provides a highly configurable user interface (UI) to search, create, and access information, review and approve modifications, content submission, and basic workflow.

Documentum D2 also comes with iOS and Android apps that make content securely available on mobile devices. Content is encrypted in transit and at rest on mobile devices and can be remotely managed by administrators and wiped, if necessary.

Documentum xCP is the dynamic case management UI built directly on top of Documentum for more task-based solutions, such as loan applications or insurance claims.

With Documentum xCP, customers have full composition ability to customize the look and feel, while also providing a task-based representation of the repository.

Instead of working with content in folders, information is presented from a task perspective. For example, when evaluating a customer’s loan application, the information relevant to that case is presented in context.

Documentum on AWS

Documentum allows customers to adopt new AWS deployments, while continuing to support legacy environments and hybrid implementations. Cloud is the future for data management and enterprise workloads, and OpenText encourages customers to consider the cloud over an on-premises solution.

The Documentum platform and client UI components are delivered as Helm charts for easy deployments to Kubernetes. The cloud-native technology enables continuous updates to accelerate deployment, reduce the upgrade risk, and access new features.

Customers can deploy Documentum on Amazon Elastic Kubernetes Service (Amazon EKS), which gives customers the flexibility to start, run, and scale Kubernetes applications on AWS or on premises. Amazon EKS helps provide highly-available and secure clusters and automates key tasks such as patching, node provisioning, and updates.

AWS benefits are not just limited to the deployment of Documentum. Cloud storage services like Amazon Simple Storage Service (Amazon S3) and Amazon Elastic File System (Amazon EFS) can be easily configured as fully protected content store locations for Documentum repositories with seamless availability to all Documentum solutions.

Amazon S3 is an object storage service that offers industry-leading scalability, data availability, security, and performance. Customers of all sizes and industries can use it to store and protect any amount of data.

With Amazon EFS, a simple, scalable, fully managed elastic Network File System (NFS), customers benefit from on-demand scaling to petabytes without disrupting applications, eliminating the need to provision and manage capacity to accommodate growth.

The move to deliver Documentum as a managed service on AWS allows customers to reduce the total cost of ownership (TCO) of content management, establish control over critical information, and power the content-centric processes that are essential to winning in the digital economy.

The combined security, scalability, and performance capabilities of OpenText and AWS ensure business information is safe, protected, and always available to employees, partners, and customers when and how they need it.

Documentum is fully containerized, supporting Kubernetes orchestration and multiple containers to offer high availability.

Running Documentum containers on AWS allows customers to move from high-cost, on-premises installations to more cost-effective cloud services. Documentum customers can now take advantage of Amazon Aurora PostgreSQL database that combines the speed and availability of high-end commercial databases with the simplicity and cost-effectiveness of open source databases.

The PostgreSQL-compatible edition of Aurora delivers up to 3X the throughput of standard PostgreSQL running on the same hardware, enabling existing PostgreSQL applications and tools to run without requiring modification. The combination of PostgreSQL compatibility with Aurora enterprise database capabilities provides an ideal target for commercial database migrations.

Moving to AWS-managed relational database services lets customers focus on creating value instead of managing database tasks like patching, replication, and backups.

The microservices-based approach allows Documentum customers to scale up or down based on demand, reducing idle resources. Cloud resources are charged per usage instead of building for the peak workload, so customers no longer need to buy massive infrastructure up front in case they need the room over the next 10 years.

The shift to cloud is not just about lowering the cost of computing, network, and storage. It also translates to a lower cost of infrastructure and database. Unlocking the lower operating costs at scale with a higher level of automation results in lower overall operating costs. This means less people in operations and more people working in development and innovation as a proportion of IT staff.

One key area where customers see value is automation of the deployment process. For Documentum installations, it reduces hundreds of manual procedures to just a few steps so administrators can build their production environment quickly and deploy Documentum to start using it immediately.

Documentum customers are able to benefit from:

  • Trusted information: Quickly search and access the right information in context, and have confidence that information is ready to meet compliance needs.
  • Increased productivity: Benefit from intuitive user experiences and streamlined business processes, while reducing cycle times with integrations to business systems.
  • Reduce risk: Protect the organization against future legal or regulatory risks with security, records management, and retention services.
  • Enhanced agility: Rapidly modify or augment to meet changing business conditions with flexible user interfaces configured to meet specific role requirements.

Conclusion

OpenText Documentum and AWS deliver the content management capabilities needed for a new world of work.

The combination of Documentum and expertly managed services, together with the scalability and performance of the AWS Cloud environment, offers more secure, reliable, and compliant solutions to organizations looking to deploy information management workloads in the cloud.
